What are Document Management Systems?

A document management system (DMS) is an electronic system that stores and tracks electronic documents and images of documents. This category of software generally includes a tool for document capture, version control, the ability to add notes or annotations to a document, an easily trackable audit trail, restore points to previous documents iterations, and document access control via user permissions.

There are several advantages to using a document management system. A DMS helps collaboration across users, especially when employees are not co-located. Moving from paper documents to electronic storage helps decrease time and money involved in storage of paper, retrieval, and remote access to records. Finally, companies might use electronic document control to increase security and regulatory compliance. 

When shopping for a DMS, determine your needs and how you will use the product. You will want to start with an intuitive user interface. Determine if you will need integration capabilities with other productivity applications. Do your data or security needs require you to have continuous data backups to a secure server? Finally, determine if you need to extract and validate the data in your stored documents.
