10000ft

I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

OmniFocus

1) Great for managing your work and personal activities.2) One of the best implementations of the Getting Things Done method.3) Not really suited for collaborative work management; OmniFocus is managed on a per-user basis so you can't share/assign tasks.

Pros

  • Tracks freelance resource hours.
  • Tracks multiple small projects and milestones within the projects.
  • Tracks budget information and scope creep.

  • Contexts! I use my own contexts to organize To-Dos. For example: Full Focus, Brain Dead, Short Dashes, Thinking, and Top 6. This allows me to easily find a short task I can do in the 15 minutes I have. Or if I'm mentally drained, I can find things that I can do at that time.
  • Perspectives is another great feature. These are custom searches that are saved as common "views". Using projects, context, due dates, defer dates, and Status allows me to have much more control over what I see. For example, I have a context that only shows me work To-do's that are due today. I have another that shows my personal/home to-dos. Another option is to use location services that can notify you or list things you can do based on location. This is a great way to separate home and work tasks.
  • Syncing across devices is important, particularly for productivity needs. OmniFocus sync works so well, you never think about it once it is set up.
  • The user interface is very easy to work with and looks nice. It is the kind of tool that allows you to work with it and not get in the way.

Cons

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.

  • I would like to see more ways to set priority. Context can be used, but I find contexts better used for other things. You can only assign one context per item. There is a flag status, but I would like to see something more like red/yellow/green status indicators to visually scan a list and see the urgent vs the normal vs. the low priorities.
  • It can be a bit pricey vs. some other options, but it is still a very good value.

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it

The market is flooded with productivity apps; I have field-tested a large number of these, and continue to do so.However, without fail, I always come back to OmniFocus - it outstrips the competition by far.The sheer richness and flexibility of the product has no peer worthy of consideration in my eyes.Key reasons for selecting OmniFocus versus the rest: - Supports offline working - Native applications across my devices - Non-rigid design - Constantly being updated by its author - Very high quality support provided by vendor - Supports full implementation of GTD

Return on Investment

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.

  • By introducing OmniFocus into my business I have been able to implement standardised working practices across the team; it has made the adoption of the GTD method much easier for the employees who had never come across it before
  • The flexibility and richness of the application mean that all team members are constantly living with OmniFocus - we have virtually eradicated all other modes of activity and planning capture, so no bits of paper or post-it notes, no emails to self, no accumulation of files with crib notes, no illegible notes scribbled in books, etc. Everything is captured at source in OmniFocus. Project meetings with clients and internal team meetings are driven via OmniFocus so we always know "what's next"
  • As a team I've seen improvements in morale and attitude as OmniFocus has enabled them to cultivate the right habits around effective productivity; these improved working practices in the office via OmniFocus are now also being put in place at home for some of the employees giving them a greater sense of control and visibility in their professional and social lives
