In our case we used it in a range of varying scenarios across internal functions as well as for external clients. It is fairly well featured and suited for use across multiple use cases. Albeit we ended up not using the pay features because it was an occasional requirement for us, I think one of the areas where it would be well suited would be processes requiring online payments based on variable logic. The pricing structure ironically makes it less suited for the same scenario for users with limited requirements.

Pros

  • Ease of constructing a form with requisite inputs
  • Customizable look and feel options based on varying requirements in our case
  • Logic based branching & validation
  • Spot on assessment with a well written, positively framed debrief/report
  • Development tool outlining strengths, cautions and self coaching based on PI pattern to foster self awareness and focused development
  • Tremendous resources within the Catalyst site for users and administrators - this has been an outstanding addition for PI
  • PRO patterns to be able to gauge applicant fit to a role

Cons

  • More question types
  • More fields that are free
  • The member website is probably in need of overhaul - searching for candidates etc., uses a dated screen and search tool. I think this is being addressed and doesn't stop us getting solid results.
  • Some of the materials appear to be a bit dated - although new materials seem to be coming online all the time.
  • Video tutorials are helpful but don't always appear that polished.

As with anything, there are always ways that the product can get better and continue to grow in its offerings and support. However, my team has been very impressed with the ease of use of the system. Our managers have their own log ins and there is no tutorial needed to explain how to use the website

I installed 123ContactForm myself and while I had some issues installing it I was able to visit their website and the troubleshooting information they provided in their faq section. They did offer other support if a user needed additional support, but I found the information provided on their website to be more than sufficient

Alternatives Considered

Looked at Zoho Forms, Google Forms, Form Assembly and a couple of others. In general there is a variety of features and it would not be wise to negatively rate any of the others. But purely from a price-feature mix, we chose to use 123ContactForm over the others and in that context it was ideal for us.
PI is simple to use, in a short time scale but provides startling insight into the individual.

Return on Investment

  • It helped with supplier/client information leakage. Occasionally during fast on-boarding information gets left out which later may create issues during filing (or in unfortunate cases of dispute).
  • Payment requests by suppliers & remittance info from clients was easily logged ensuring easy information flow.
  • Improved cost basis for information gathering for clients
  • It has helped us to increase the number of 'good' hires and therefore stabilize workforce in certain departments/locations.
  • It has lengthened the amount of time it takes to recruit candidates for a position since they must now have the appropriate profile in order to progress thru our hiring process.
