8x8 Virtual Office Enterprise Suite

Some of the best scenarios are working remotely. It really allows you to get everything you need out of an office phone right from your computer/cell without any need for hardware. It's not great when you've already plugged in a dialer of some sort, or software like Outreach.io that has some overlap in features (click to dial, especially).

Well, I have been informed of newer cloud solutions that only rely on plugging the phones into the network and not needing any PRI or phone system on prem. This would make for a very inexpensive phone system. I am not sure how inter-office calls would work if the internet is down however.

Pros

  • Managing VM
  • Caller ID
  • Virtual TXT
  • Call quality is very good. Dedicated circuit for QoS is helpful.
  • Support is also very good. Receive US based support staff when calling in. Issues resolved quickly.
  • They are continuously growing in support and service.

Cons

  • Integration with Insidesales/Salesforce/Outreach/etc.
  • RAM usage could be lower
  • Cross platform?
  • The Shoretel Mobility app for iPhone does not work very well and is not very intuitive in my experience.
  • We have had many intermittent instances of employees reporting that call quality is bad, sounds like the caller is garbled and underwater.
  • I deployed Shoretel Sky to eleven branches in four states over a 6 month period and experiences were not very consistent. Had issues with not enough power bricks being sent with the phones, some phones not having the the face sticker showing messages, directories, etc., user guides (quick start guides) not getting shipped with the phones at some branches, and phones being programmed incorrectly. This made it very difficult to plan my trips to train employees and install these at the various locations.

The system has gone down on us MULTIPLE times. We asked them to move us to a different cluster. Shoretel declined. Basically we had problems or outages every month of the year from June 2012 to date. Our old phone system was just that: OLD, no bells or whistles. But it was up every day and I never had to think about it much until it was time for an upgrade. That's how I want Shoretel to be. I want it so reliable that I never have to think about it.

Tech support is quick. Very courteous on the phone. Unfortunately, they don't seem to know much when a major problem is happening. Sometimes I'm aware of an outage before they are. This is not a problem with their tech support workers as much as a company problem where they aren't sharing basic info with their front line help desk.

I attended the first ShoreTel installer class in Austin,TX. It was a week of intensive study with a live lab and having hands on experience made the class worthwhile. I have taken all of the sales courses and remaining technical courses either online or self study to keep costs down. I send my techs to the first installer course in Austin as I feel it gives them a solid foundation and most of teh other courses they have taken have been online.

Content is good and teh course material fills in any areas the instructor doesn't cover. Only pet peeve is the tests always have questions for things you don't learn from the course or course materials....

Just make sure you understand that porting your numbers is not an overnight process and is not exactly in ShoreTel's control.

Alternatives Considered

I had no control over this but we are using 8x8 virtual office enterprise suite to get some of the functionality, mostly click to dial and contact handling. It's not exactly a competitor, but if you're looking for an easy way to utilize your company phone system remotely, I've had a great experience, including working from home for an entire month on it.
When evaluating phone systems, we looked at Cisco VoIP in addition to ShoreTel. Cisco was more money, had a higher learning curve, and we received a bad review from a local business who was using it. In the ShoreTel demo, the engineer brought their equipment and set up a demo in our conference room. He was able to get a phone system up and running in a matter of minutes. The biggest selling point was when he turned the phone server off and the phone system continued to work, minus the voicemail and Communicator software.

I believe that ShoreTel can be used by a minimum company size of about 25 to almost any size of a company and this can be achieved while the company grows, hence makes it pretty scalable when required. For companies which are smaller in size i.e. smaller than 25, I am not sure how useful it would be, it may be depending upon the type of business

Return on Investment

  • I've reached more leads and contacts than before because I can text to set appointments
  • Since I was not working in departments that directly deal with ROI, I am not sure about it. I think that it was a positive ROI because of the purpose it served in the marketing department.
  • I think that in some cases, it has also helped in saving time. For example, in cases where a person is not checking his email, a phone call may alert him more spontaneously.
