8x8 Virtual Office is a convenient and cost-efficient office service. However, realistically be prepared that there will be issues that come up that are difficult to resolve. For example, our office is unable to use the computer to answer phone calls because our computer setup is not compatible with the VoIP system.

Google Hangouts

Hangouts is a great free option for video conferencing and chat on a budget. That's what makes it so attractive for my volunteer work with the International Institute of Business Analysis (IIBA). I'm not getting charged for anything except for storage, which is really cost-effective. You won't find a better, cost-effective tool than Hangouts. However, it just doesn't have that professional feel that makes me want to bring it to my organization to promote as a solution. Webex pretty much rules that space. But it's really hard to beat otherwise. I think it depends on exactly what you're using it for.

  • Remote access to my phone system to make changes or to use its many features.
  • The ability to view voice mail transcripts - very helpful during meetings when listening is not an option.
  • The new contacts search feature allows you type in partial names and all that apply pop up.

  • Super easy to set up. Any calendar event automatically becomes a Hangouts meeting.
  • Doesn't need any further steps, you just click on the event on the calendar, and voila, you're in the meeting.
  • So well known and widely used that you don't need to explain how the meeting will take place except saying "let's do it on google hangouts."

  • Virtual Office needs a "Lite" version, more than minimized but not using as much screen real estate as a full-size mode.
  • Would like to see Call Recording server replicating in near real-time to East Coast switch instead of residing at only West Coast switch.

Google Hangouts

  • If I send out an invite to a client who isn't a Google user (they use Outlook and what have you internally for the email), googl hangouts isn't useful. Of course, it's a Google product, but I'd love to see it being available to outside domain names so our clients who don't use Google for their organization can attend these meetings.
  • We can share screen but not "make someone a host" as in, I need to describe how they can share their screen instead of giving them the right to share screen.
  • I am super disappointed with having to use google hangouts in a separate window that won't support multiple accounts. I usually have 3 different Gmail accounts open at the same time and have different people and different chats going on at the same time. google hangouts automatically decides which account is the primary one and therefore which hangouts will be the main one. For instance, at work, I log in to my company Gmail and the associated hangouts becomes the work one as its default. so if I get a message on another account I have currently logged into, I can't switch accounts on the hangouts window, I have to go into that Gmail account and respond from within that window. This doesn't allow me to multitask. Having two screens allows me to do something somewhere else and read incoming chat on the other screen. this isn't possible when Hangouts forces me to use the Hangouts screen that's dedicated to the default account.
  • Incoming calls aren't visible enough. If google hangouts is open and I have someone calling, I expect to see a big notification on my screen. Well, it only says incoming call on the Hangouts, which means if the Hangouts window is not where I am looking at right that moment, I miss it. I also never heard an actual ring for an incoming call.
  • When joining a call, you can adjust which speakers you want to use from the drop-down menu under settings on the hangouts screen. I don't understand how hangouts isn't "smart enough" to see which default speaker I've chosen on the volume mixer and make that the default one on that particular Hangouts call. For example, let's say I actively choose my Bluetooth headset on my computer and all computer sounds (including notifications, music etc.) is heard through the headsets. Well, I have to re-select that when I join the call, because Hangouts won't communicate with the selected playback device (as stated on volume mixer).
  • I can test the sound before joining a call, but can't test my microphone. It makes so much sense to have the 'play test sound' option to make sure I am on the right headsets/speakers, but I don't understand why I can't test the microphone to make sure i'm on the right microphone and that sound isn't being transmitted through the built in mic of the laptop.

Even people unfamiliar with the product could likely use it the first time if you only told them to download the application. After that the product is so user friendly they would likely figure it out without additional instruction. There are finer features of course but they are easily found and at worst instructions are easily found with a quick internet search. You don't need a consultant or anything like that to get going with the product.

In the time I have used 8x8 Virtual Office, the core system has been up and running almost flawlessly though we do have a slight performance degradation from time to time as is expected of cloud software. The one recurring issue for us is that the fax connection is not always functional for outbound messages. We usually have to retry three or four times to get the fax to connect reliably to the destination machine. Once connected, it's smooth sailing.

None of the features that are available slow down the application. The reports (even the ones with hundreds of records) complete very quickly and the web interface as well as the mobile application never struggle to load or complete a task. The analytics will sometimes take some time to reflect the online status of users but it is to be expected due to connection speeds.

Google Hangouts

As mentioned previously, the Microsoft products are much better for working within Active Directory, and especially when on the local network. However, Hangouts is a nice, quick and easy option for communicating from anywhere, and outside of that structure, so it's better for collaboration, including asynchronous collaboration and especially in Google products.

We've had periods where our organization has grown a considerable amount and we have had no issues in scaling our communications with 8x8. The number of possible extensions that we can use is far more than we expect to go through in a very long time. The only complaint that I have is a very minor inconvenience for me where I have to download activation codes for each phone. I would prefer to have the phones automatically activated as soon as they are plugged in.

  • Google Hangouts lets me get the answers to questions I need way faster than instant messaging and adds to the value of each call due to screen share.
