8x8 Virtual Office

8x8 is a perfect solution for small businesses needing less than 50 phones in an office environment or for businesses that extensively rely on remote teleworkers.Once an office reaches somewhere between 75-100 extensions, it may be more cost effective to have an in-house VoIP telephone switch and then using SIP connections to connect to the outside PSTN.

The ability to have a business phone system "in the cloud", that allows my company to have the appearance of a centralized location, with no downtime on answering or returning calls is great. It also allows me to not have to give out my personal cell phone number to clients and contacts that I wouldn't want to have it. It gives me peace of mind and also adds efficiency for me and my team even as we are spread out throughout the country. For larger organizations with a centralized location where everyone works together it might not be necessary, and actually rather too cumbersome. In those cases, a dedicated VoIP phone system would certainly be a better option.

Pros

8x8 Virtual Office

  • Conference call feature is great. We have created multiple conference bridges, we even have one tied to our virtual attendant.
  • We like the flexibility of the auto attendant and being able to have more than one profile saved that we can change as needed
  • Having Virtual office was especially great when hurricane Irma came through last year and our office had no power, it allowed us to continue to operate from our cell phones without the customer realizing there was anything different.

  • Administration and setup is very simple
  • Recorded voicemails save time for staff
  • Easy to assign a new employee and extension so they can receive calls
  • Calls themselves are high quality and consistent/reliable

Cons

8x8 Virtual Office

  • The mobile app is good but can be too much at times, almost taking over the phone.
  • It would be nice if there was a way that when a voicemail is sent via email that it could mark it as listened to once the email has been opened.
  • The setup for the auto attendant is very intuitive, granted it works well once set up.
  • It would be nice if a call placed on hold could be picked up by another extension

  • Making calls from your Grasshopper phone number - Sometimes (well, most of the time) I'll just make a call directly from my cell phone because the process of opening the app, typing in the number I want to call and then making the call can take more time than the call itself.
  • Missed Calls - Myself and other coworkers have experienced frustration with Grasshopper and "missed" calls. Sometimes my phone won't ring, but I'll get an email with a voicemail. So it skips ringing my phone all together and goes directly to voicemail. I've had my phone in my hand before, ringer on, and never receive a call but received an email with a voicemail.
  • Checking Voicemails on your phone - In order to hear a voicemail from your mobile device, you have to log into the app. But the voicemail shows up under missed calls / voicemails like normal phone calls but when you try to listen to it, it's just a recording of grasshopper telling you that you have a voicemail.
  • Transferring Voicemails - You have to memorize all the extensions and the process for transferring voicemails. While it's just memorization needed to make the process work correctly, it takes a lot of time to remember how to transfer the call, the extension you want to transfer it to, and sometimes after going through all of the steps I accidentally hang up on the caller. It's user error, but I feel like if they made the process simpler, and they gave you a directory when you indicate you want to transfer the call, it'd make it a lot easier.

Reliability and Availability

In the time I have used 8x8 Virtual Office, the core system has been up and running almost flawlessly though we do have a slight performance degradation from time to time as is expected of cloud software. The one recurring issue for us is that the fax connection is not always functional for outbound messages. We usually have to retry three or four times to get the fax to connect reliably to the destination machine. Once connected, it's smooth sailing.

None of the features that are available slow down the application. The reports (even the ones with hundreds of records) complete very quickly and the web interface as well as the mobile application never struggle to load or complete a task. The analytics will sometimes take some time to reflect the online status of users but it is to be expected due to connection speeds.

Anytime we have needed support from Grasshopper they have responded quickly and they helped fix any issue. Honestly, I think we've only needed to contact support once or twice in many years.

Alternatives Considered

8x8 Virtual Office

In a previous business I consulted for they used a different VOIP service. It was such a pain in the ass. Always failed and always had connection problems. I think the problem was they were getting a free product from a start-up VOIP company. It was a cheap decision and not worth it.

These other systems are more ideal for companies that have employees with desk phones versus being mobile.

Scalability

We've had periods where our organization has grown a considerable amount and we have had no issues in scaling our communications with 8x8. The number of possible extensions that we can use is far more than we expect to go through in a very long time. The only complaint that I have is a very minor inconvenience for me where I have to download activation codes for each phone. I would prefer to have the phones automatically activated as soon as they are plugged in.

Return on Investment

  • The ROI is very good as long as you have a limited number of users and you don't require physical handsets.
  • This is a very good system for any company where the majority of the employees spend a lot of time in the field.
  • From day one, I've always been impressed by the features that were available.
