This is great for small to medium businesses, giving you more freedom to be where you need to be and not always glued to the office. Larger companies can benefit from the fact that they can have multiple office locations all tied to the same system. Businesses that need a more personal touch may not need all the features that the Virtual Office provides.

Jive

It's definitely worth considering Jive for the type of application we've developed i.e. a central shared repository for all employees to host and discuss information. I can't say I have ever used a superior tool, but they may exist. I'm just not sure I would want to use it exclusively for file hosting, though. It does integrate with various other tools, so perhaps it would be fine if used in conjunction with another tool for that purpose.

Pros

  • Unified solution for setting up virtual meetings/conference calls - these meetings typically go smoothly and the application works well on desktop.
  • Active directory of team members.
  • Adding conference call information to Outlook emails via Outlook integration.

  • Jive does not have too much of a learning curve - most of it is pretty intuitive for anyone who has used similar tools in the past.
  • In the right hands, information can be organized well.
  • It is quite highly customizable by users, which is always a plus - one size does not always fit all!

Cons

  • I'd like to see better connectivity between the call center system and the desktop user. 4 digit dialing is a must for us but we are waiting for that functionality.
  • I'd like 8x8 to understand that we are on the east coast and stop calling for follow up after our EST hours.

  • I have sometimes found previews of uploaded files to be unreliable - Jive has failed to correctly render some files and gave up completely on some others.
  • Information is only as well-organized as the user. It's a shame there aren't more guidelines or guardrails to help avoid confusion.
  • Tagging, at least in our implementation, is the wild west. Lots of duplicative tags because absolutely anyone can add tags, even if variations of those tags already exist and could be used instead. This is a common problem in tools like these, though.

It was very cumbersome to generate reports. Often I had to run several reports and then merge them offline to get what I needed.

Uptime was OK. But there was one day that the system crashed for a whole day. Our company was unable to operate. And all the plugins to word/excel froze causing those systems to freeze.

Jive posted a statement to the media saying all customers were up, but we were not.

They did an OK job when I needed them. Except for the one day the system went down. Jive pointed the finger at the hosting company, and the hosting company pointed the finger at Jive. No reliable information came to us.

Alternatives Considered

Only 8x8 offers a desktop phone solution, call center solution and equipment. Having one provider makes things much easier for all and allows for one call if there is an issue.

  • Very positive ROI, much more economical and more powerful than competitor products and mainstream phone systems.
  • Better efficiency has resulted in our using the suite of applications.
  • Support is excellent with quick service for issues that may arise.
