8x8 Virtual Office is well-suited in environments where those who administrate logistics are technology-literate and able to quickly grasp the features to save time and make phone system management ultra convenient and hassle-free. I think Virtual Office would be confusing or hard to figure out for people who may be less technologically-inclined, and may actually end up slowing them down.

It is expensive. It is warrented if your organization has a high volume of studies and is mature enough to do more than qualitative usability testing. On the other hand, if you find yourself doing many surveys (large or small), usability tests, etc. there is cost savings due to the recruiting cost being the only thing you pay for... by the way, you will have to figure out how the coordinate the recruiting, but UserZoom is so helpful with this process and I think recently they have made efforts to bring those solutions in house.

  • Voicemail management is great. Users don't have to sit and listen to all voicemails at once. They can target a particular voicemail and listen to just that one if they want.
  • Altering phone lines and extensions is as simple as the click of a mouse! Super convenient!
  • Auto attendant is a quick, easy way to direct incoming calls without having to have an actual person answer each call. Callers can quickly be routed exactly where they need to go with the wide variety of auto-attendant settings!

  • Their support team and customer service are very good, all staff is very knowledgeable and friendly.
  • Most testers we've used from their supplied tester panel, although it was not many, were pretty good at vocalizing during the test and expressing their opinions.

  • Virtual Office Desktop could be more intuitive for first time user.
  • Virtual Office needs a "Lite" version, more than minimized but not using as much screen real estate as a full-size mode.
  • Would like to see Call Recording server replicating in near real-time to East Coast switch instead of residing at only West Coast switch.

  • Block Randomization: There are some things you just can't do with the tools provided for creating sections of surveys and randomization. I can't recall off the top of my head what the issue was, but we were trying to show certain sections of a survey in a randomized order and it wasn't possible to do it at the level we wanted. Basic randomization of sections was supported.
  • Reporting: The reporting tool doesn't do any significance testing, and beyond filtering we don't find much use for it. The clickstreams are difficult to edit in the tool, and we typically just use Excel to do our analysis of any of the data.
  • Ability to link between surveys/studies: We have a repeating study that requires advanced screening and quota management, and would love to do it all within UserZoom. However, the logic available doesn't make it possible to distribute panelists based on age/HHI/etc., the way we would like to, so we have to pay a panel provider to program that portion and communicate constantly to fill quotas.

In the time I have used 8x8 Virtual Office, the core system has been up and running almost flawlessly though we do have a slight performance degradation from time to time as is expected of cloud software. The one recurring issue for us is that the fax connection is not always functional for outbound messages. We usually have to retry three or four times to get the fax to connect reliably to the destination machine. Once connected, it's smooth sailing.

None of the features that are available slow down the application. The reports (even the ones with hundreds of records) complete very quickly and the web interface as well as the mobile application never struggle to load or complete a task. The analytics will sometimes take some time to reflect the online status of users but it is to be expected due to connection speeds.

Alternatives Considered

8x8 Virtual Office

Although RingCentral and 8x8 provider similar offerings, I find the pricing and ease of use more appealing to 8x8. I also like the US-based customer support that 8x8 offers. I feel the feature set for Vonage for Business is not as strong as either RingCentral or 8x8. For smaller businesses needing less than 50 extensions or a large number of remote teleworkers, 8x8 has great price points and features compared to Ring Central. For businesses needing more than 100 extensions, 8x8 may not be the best-fit cost wise.

Loop 11 has no logic, so every user sees every question. This makes the surveys clunky and confuses the panelists, who have to decide whether they need to answer a certain question that doesn't seem appropriate. Additionally, Loop 11 conflicts with certain websites and the data capturing doesn't work. It's also very difficult to find bad results in Loop 11 and remove them from the data set, last I checked you had to click through panelists one by one to see their results and then remove them. Overall reporting is also very limited in Loop 11 in comparison.

We've had periods where our organization has grown a considerable amount and we have had no issues in scaling our communications with 8x8. The number of possible extensions that we can use is far more than we expect to go through in a very long time. The only complaint that I have is a very minor inconvenience for me where I have to download activation codes for each phone. I would prefer to have the phones automatically activated as soon as they are plugged in.

  • Practically a VOIP service isn't going to effect our ROI. We can always use our own phones if needed.
  • Nonetheless, not having to deal with a problem is an investment in any business.

  • Overall the ROI has been fairly useful. The price for the tool itself on occasional use cuts into our profit margin, and as I mentioned previously it's difficult to predict how much UserZoom will charge for a given project.
  • On a positive note, UserZoom allows us to run projects that we wouldn't be able to on any other tool. We have landed projects with new clients that wouldn't be possible without UserZoom, so that helps drive future business in other areas.
  • On the negative side, the fact that UserZoom also provides consulting research services means we can sometimes be in direct competition with them over clients, which allows them to beat our pricing since they own the tool. All's fair in love and war, but it is a tricky situation.
