This is great for small to medium businesses, giving you more freedom to be where you need to be and not always glued to the office. Larger companies can benefit from the fact that they can have multiple office locations all tied to the same system. Businesses that need a more personal touch may not need all the features that the Virtual Office provides.

Well suited for basic sales and pipeline management. Not appropriate if those leads or prospects need to be transferred into other organizations or companies. Good to use on more individualized sales teams, but not particularly great when it comes to collaborations. Limited tagging and chatting options for collaborative sales.If you are planning to work a pipeline to generate sales and are not in need of a great deal of communication between employees, this will be great for you.

Pros

  • Conference call feature is great. We have created multiple conference bridges, we even have one tied to our virtual attendant.
  • We like the flexibility of the auto attendant and being able to have more than one profile saved that we can change as needed
  • Having Virtual office was especially great when hurricane Irma came through last year and our office had no power, it allowed us to continue to operate from our cell phones without the customer realizing there was anything different.

Cons

  • Does not support texting, which is a problem in the modern work environment.
  • Call recording/archiving features are seriously lacking, small storage and poor/slow management interface. No auto-archiving or backup, just lots of fees.
  • Sales reps outright lie about 1-year contract terms and no ETF/cancellation fees to get you to sign up and then if you try to cancel after a year they hit you with huge undisclosed fees. Basically despite what any account manager will tell you are ALWAYS under contract, and you can only cancel on your anniversary month by giving 30-days notice (they force you to keep service for another month no matter what) to avoid being subject to a year's worth of service fees. Basically predatory contracts with undisclosed details on hyperlinks (so you never see them when you sign-up!!) that are only brought up if you try to cancel.
  • Call routing is a bit tricky, and some features are not available in the admin/management portal. You will have to call tech-support to accomplish complex routing (eg. two or more auto-attendants). Should have more options for call flow and really needs a way for the admin to manage shared voicemail boxes and individuals greetings via the web portal instead of just the desk phone.

  • Sometimes when using different Wi-Fi's, information did not save
  • Uses a lot of clicks - sometimes takes too many clicks and opening new windows
  • We were not able to have it synced up with our scheduling software, Greenway - making it more difficult to transfer information from the two programs we utilize

We went through an exhaustive process doing this evaluation and in the process took the time to really understand the objectives and requirements of all groups within the organization. Now that the system is in place it needs to be used and refined over a long period to time in order to get the full value. As a result you need to consider the long-term and renewal knowing that the system will get better the more you use it.

Zoho CRM is extremely intuitive and allows users complete visibility of sales data through reports/analytics. The platform has wide native integration with other cloud-based business solutions. But, it's fairly simple to write scripts with their publicly available API.

Alternatives Considered

8x8 is definitely the winner if you're comparing RingCentral solely based on cost, however it will fall short on mobile, and administrative features/metrics compared to RingCentral. I would say Dialpad is in the middle, a bit more expensive than 8x8 but less costly than RingCentral. The mobile app behaves well and does texting which is great! I would say that 8x8 actually handles call recording a bit better than Dialpad but not as well as RingCentral. If you don't have a huge number of mobile-only users and cost is your primary concern 8x8 looks really good comparatively, just don't as many bells and whistles as the other two.

We jumped to Zoho CRM from previous trial periods with Hatchbuck and Insightly. Zoho CRM is better suited for larger, growing organizations as it has more capabilities and features than Hatchbuck and Insightly. We liked to think of those CRMS as "starters" for small businesses just entering the CRM world
