Great as a virtual attendant so as to support distributed teams, but not for a conference, video meetings, and screen shares yet.

Zoho CRM

Zoho is great for anyone who has to handle a customer database -- large or small. With the customizable views, reports, dashboards, you can be sure that you are getting everything you need from the software. The ability to add customizable modules is also extremely helpful. As for less appropriate scenarios, I truly don't have any. Being a portfolio of companies, we use this across the board... our companies range from large to small, and it's been great for all of them

Pros

  • One of the things that led to the purchasing of Zoho was it's flexibility. We have some unique fields and other data that we wanted to associate with our leads and making the adjustments in Zoho was very straight forward and required no external consulting assistance.
  • The Web forms component within Zoho is very strong, it's easy to create new forms and quickly embedded them into your landing pages.
  • Ease of use and accessibility is another strong point. There are video tutorials and manuals but in general things are intuitive so you can easily figure it out. From an access standpoint it's also nice to have the web and mobile support.
  • Reporting in another area that Zoho offers a lot of capabilities. You can create dashboards and export data when additional analysis is required.

Cons

  • Screen sharing is not an asset and leaves lots to be desired.
  • Audio quality suffers in a meeting when connected via computer.
  • I think the entire dashboard and interface could be more aesthetically pleasing.
  • I would like to see Zoho reduce the amount of "clicks" that are required to navigate and edit a potential, specifically when updating close dates, changing the name of the potential, or adding attachments.
  • On the Lead page I think it's great we can put "notes" in there, but I would like to be able to select which notes are carried over when the lead is converted into a potential. Many times I have information that is great for the Lead page or the Account page, but is really nothing more than a basic description of an organization. I don't want those notes in my potential as I want the notes there to be potential specific and not other information.
  • ZoHo could make the analytics easier to figure out. It's not tough - it just takes time to, again, figure out which module to pull from and some reports you run produce no-data even though we know there should be some there - then you have to work backwards to figure out where you added/didn't add something to the report.

Cost factors and ROI are always the driving force on adoption, implementation and retention. When and if our ERP systems are upgraded, we will see what CRM capabilities are offered and a decision will be made whether to keep Zoho or use CRM tools offered by ERP product.

Zoho CRM is extremely intuitive and allows users complete visibility of sales data through reports/analytics. The platform has wide native integration with other cloud-based business solutions. But, it's fairly simple to write scripts with their publicly available API.

The CRM is only as good as the data you put into it. Spend the time up-front to clean up your old data sources prior to importing them into Zoho

Alternatives Considered

I have evaluated a couple different IP phone systems and the others needed the user to configure their router and do things on their end in order for the phones to work. With 8x8, it was simply plug and play.
For the prices you're getting a lot of bang for you buck! I used several CRMs that cost substantially more and cannot say I received any benefit for the money over Zoho. Also with the additional suite of products Zoho offers you can have a one stop shop for your companies operational needs from CRM to Books to Customer Service.

Return on Investment

  • The impact on my business was a positive one. I was trying to operate with 2 cell phones and it just wasn't working. I needed a desk phone and a number that would stay the same for the business. I can also add more lines as we grow and they can be anywhere with an internet connection. As a small business, I work primarily out of my home office and my employees can do the same with this system.
  • The integration capabilities have driven business by playing a role in the automated gathering of web site visitor data, responding to visits, and managing follow-up communication weeks after first contact. The product has paid for itself several time over.
