8x8 X-2 series seems to be particularly well suited for smaller, simple phone configurations with higher packages being more well suited for larger organizations with more complicated structures. It is very beneficial in scenarios where staff are working remotely but need to keep the appearance of working in the office, and for offices that have multiple locations but need their phone structure to work as if they are one organization.

HCL Sametime (formerly from IBM)

Sametime is well suited for very quick conversations, where you know the person is an active Sametime user. It also serves as an easy way to reach out to someone you may not know when looking for an answer to a quick question, as they are likely to be a Sametime user. Do not, under any circumstances, attempt to use Sametime for Audio or Video chat. The quality and reliability are horrendous.

Pros

8x8 X Series (Formerly Virtual Office)

  • Delivering voicemail via email and the ability to save, forward/share recordings with relevant parties is helpful and improves the ease and accuracy of relaying messages to the correct person.
  • The ability to setup numbers to which to auto-forward in the instance of a power outage or internet outage is essential for running a customer service business like ours.
  • The ability to record calls during training periods with new employees is great to improve customer service and sales abilities.

HCL Sametime (formerly from IBM)

  • Sametime's web-based interfaces are "zero load", requiring no plug-ins to be installed to join a meeting, launch a meeting, or use chat in a browser. A plugin is required only if you want to share your screen.
  • Integration with IBM Notes is very tight. Sametime's chat status can change according to your Notes calendar. You can easily see if someone who just emailed you is available to chat. Your chat History is right inside Notes as well.
  • IBM's mobile apps are top notch. We automated the apps for our users thanks to IBM's work with third party MDMs. This made it very simple for us to deploy the Sametime mobile apps -- Chat and Meetings -- and get new capabilities such as Audio & Video mobilized quickly.
  • No down time, ever. The rock solid WebSphere back-end of Sametime means the environment is always up. Period.

Cons

8x8 X Series (Formerly Virtual Office)

  • It is very difficult to schedule meetings in the future in the smartphone app.
  • The smartphone app should add the ability to temporarily disable incoming calls on the smartphone when someone is working in their office.
  • It would be nice to have better ways to configure assistants to manage the phone calls of their executives. There were limitations and the workarounds were not ideal. We did come from a Cisco Call Manager system offered much more functionality.

HCL Sametime (formerly from IBM)

  • Not convenient for a large group meeting.
  • Very basic tool for internal communication only not available for third party communication
  • Very basic and limited mobile app features.
  • High speed connection is needed to connect to Sametime

We've had an excellent experience with 8x8 Virtual Office. We have downtime very rarely and the service provided by all reps is excellent. The little quirks that I've mentioned as cons are minor inconveniences but I prefer working like that than hosting our own PBX.

Sametime is now an embedded experience for our users. They know it, they like it, they use it, and they expect it to be wherever they are. Because it is pretty easy to use and NEVER goes down, users know they can rely on it and won't be frustrated by it. Sametime is right up with there with Microsoft Office in terms of user adoption and appreciation.

It's really easy to use. You don't have to be technical at all to figure it out, you just have to be able to read and follow directions otherwise you will not set the system up properly and you'll need to call support. The system has so many checks and balances it's near impossible to screw it up.

Just about everything works the way you expect it would and it's relatively easy for users to figure out. Sametime was one of those things that we started with only a few people as a "test" and before the test period was done we discovered a few hundred people had figured out how to log in and most got it working all on their own. Many of our users want to use Sametime and do so regularly; we do not have to create policies enforcing its usage. Users find it practical to use Sametime to do things like chat, transfer files, share their screen, and so forth.

In the time I have used 8x8 Virtual Office, the core system has been up and running almost flawlessly though we do have a slight performance degradation from time to time as is expected of cloud software. The one recurring issue for us is that the fax connection is not always functional for outbound messages. We usually have to retry three or four times to get the fax to connect reliably to the destination machine. Once connected, it's smooth sailing.

Typically if Sametime is not available, it's because Windows Updates were done on the servers and they were not rebooted. However, that's not a problem with Sametime -- in fact, if you have Linux you could probably run Sametime for years without any hiccups whatsoever. We have no internal Linux expertise.

None of the features that are available slow down the application. The reports (even the ones with hundreds of records) complete very quickly and the web interface as well as the mobile application never struggle to load or complete a task. The analytics will sometimes take some time to reflect the online status of users but it is to be expected due to connection speeds.

The support team has not been very knowledgeable in my opinion. I have called for support assistance in a couple of instances and the rep didn't know what was wrong or they did and did not relay or provide good resources or knowledge on how to utilize the system correctly.

We previously used the Allworx on-site VOIP system. Having migrated away from Allworx, we are finding the administration of 8x8 very similar, so we came from a background of VOIP administration. Using that experience, helped us transition to 8x8 very easy. Also, not being tied to internal hardware made for a better, more flexible deployment.

We use Jabber globally in our company and Symphony (no relevant app in able list) in some of the teams as well. All these are instant messenger tools, but Sametime is the easiest one to be used and its chat history is easy to be searched. Sametime can be used to contact almost all internal staff as it’s included in default computer package. Symphony is used to chat with front end business while Jabber is used for call.

We've had periods where our organization has grown a considerable amount and we have had no issues in scaling our communications with 8x8. The number of possible extensions that we can use is far more than we expect to go through in a very long time. The only complaint that I have is a very minor inconvenience for me where I have to download activation codes for each phone. I would prefer to have the phones automatically activated as soon as they are plugged in.

Sametime is rock solid. It runs on WebSphere, DB2 and other related IBM technologies. This does mean the back-end is highly complex and very difficult to learn and get comfortable with, however.

Return on Investment

8x8 X Series (Formerly Virtual Office)

  • 8x8 has enabled us to totally streamline our voice calls.
  • We now no longer publish our mobile phone numbers as we receive direct line calls straight to the 8x8 mobile app, eliminating the need to give out additional and personal number details.
  • One single, fixed price gives us all the calls we need so we can budget precisely.

HCL Sametime (formerly from IBM)

  • Sametime keeps many of our team members in contact throughout the day which leads to increased productivity which makes everyone happy.
  • We use the team chat room feature every day. This allows a team to stay focused on the task without any extra messages that are not on topic.
  • The split between IBM Sametime, Slack and Google Hangouts has caused some issues when team members are not checking for messages on a certain app.
