Abacus

Abacus is great for smaller companies that need to automate expense management. It is a very user-friendly system that makes it easy for all employees to understand without any training. We have heard of issues with their AMEX program. Companies that have tens or hundreds of corporate AMEX cards should likely explore other options

Concur Travel and Expense

This is well-suited for a large organization with multiple departments, no question. Any organization with a layered approval process, and especially those in which a number of employees are traveling regularly, could benefit from Concur Travel and Expense. It doesn't seem like it would be as necessary for organizations of 50 employees or less.

Pros

Abacus

  • It is very easy for employees to upload their expense receipts to abacus.
  • Abacus has an easy UI.
  • We haven't had any issues with their customer service team not responding when asked.

Concur Travel and Expense

  • You can implement a lot of controls for travel/expense reimbursement (setting reimbursement limits, setting limits for flagging review, you can set a 2-person approval if the expense reaches a certain limit)
  • There is an audit log for every action (great doing financial audits)
  • You can easily track the status of each expense report along with e-mail notifications on the status of each report.

Cons

Abacus

  • Running totals within the app for incomplete expenses would be useful.
  • Delete receipts within the app.
  • I exclusively use the app, would love all of the same functionality as the web version.

Concur Travel and Expense

  • Concur Travel and Expense is by far the worst expense reporting application I have used in 30 years. It is a nightmare of 1980s mainframe thinking build by people who have no clue what usability and simplicity mean.
  • It literally takes hours to book a trip using Concur, hours of lost employee productivity that the company has no idea they are losing. It is so bad, that I have to used a free web app to find the appropriate travel itinerary (Kayak, Skyscanner, Booking, etc.) and then fight to get that proper schedule into Concur.
  • I have used a wide variety of travel reservation software apps and expense reporting apps at many Fortune 100 companies since 1985. It is amazing how horrible the design of Concur's user interface is -- I don't think most average programmers could make something this bad if they tried.

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

ITs not ERP software. It's T/E software. I believe that the thing to point out here is this: The software is supposed to be simple and easy. The software is going to be used by every person in the company. It has to be easy for adoption to remain high. Concur does this. I think that the competitors do this as well but with out all of the functionality that Concur offers

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

I never even needed support... It was very easy to use and I never needed it explained to be for that reason, or had any issues. When bugs did happen, generally I just closed out the app, restarted it, and it worked just fine after that. Never needed to escalate beyond that

If I were being asked to rate each section of support, different department would get different ratings. My Service Administrator is the best - always fairly quick to respond to my cases and for pressing matters I can contact him directly. It is my understanding that some of the User Support Desk employees do not have the level of knowledge needed for some the calls and questions they receive. Clients look forward to improvements in this area by Concur.

It's live (you can ask questions), it's free, it's good. What's not to like. Only reason it's not getting a "10" is breadth and depth, more would be better.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Other co-op databases, such as Wiland, Next Action (Oracle), etc. are all useful and can be part of your marketing mix. Each has their own strengths and weaknesses. Never put all the eggs in a single co-op basket.

Concur Travel and Expense

Expensify was the legacy system I first used prior to Concur. While I am big cheerleader for the price and usefulness it had for my company in its early stages, there was a definite point in which we outgrew Expensify and its limited flexibility to grow. Concur does a pretty good job of linking existing systems and making a nice "ecosystem" between all of your existing systems. My example is we could sync with Quickbooks for expense report recording in our General Ledger but at the same time we can create a importable file that can feeds into ADP payroll, eliminating the need to do any hand jobbing of reports during your payroll cycles. Most companies do not have a integrated travel system and in both of my companies we had to use a corporate travel agency that is very pricey. The use of the Travel module in Concur has lowered the fees we use to pay to the travel agency which offset some of the cost of Concur in general.

Uptime has been generally excellent, with the glaring exception of 3 weeks (yes, weeks) during 2014 in which Concur had repeated site-wide service disruptions affecting all users.
