Abacus

Abacus has been great for our small startup of 37 employees, it has grown with our team since we were very small. Since we have not experienced it as a bigger company, I am not sure what the scalability would be like. If you're looking for a site with a cleaner look that is easy to use, Abacus is it. I haven't had to reach out to customer service yet because I haven't had any issues. If that isn't proof positive of how easy it is to use, I don't know what is!

Concur Travel and Expense

The audit log is one the important features that we looked for in travel/purchase request system. However, if you're a smaller company and doesn't need this audit history for financial audit, you can do fine with a less expensive travel and expense software.

Pros

  • It is very easy for employees to upload their expense receipts to abacus.
  • Abacus has an easy UI.
  • We haven't had any issues with their customer service team not responding when asked.

  • It is relatively easy to upload scans or camera images of paper receipts for expenses.
  • Many hotel chains, car rental companies, and airlines exchange their receipts automatically with Concur -- so it is very simple for the user to indicate which of those electronic receipts should be "attached" to which expense report.
  • If you install the Uber Business profile to your phone, all your Uber expenses are also electronically imported to Concur and easy to attach without scanning.

Cons

  • When you upload a receipt to abacus it would be great to port in the information from the receipt to the text fields.
  • It would be good to have a more automated way for Abacus to integrate in with other payroll systems.
  • It would be nice to have more levels of permissions, e.g. manager level, administer level and employee level.

  • Concur Travel and Expense is by far the worst expense reporting application I have used in 30 years. It is a nightmare of 1980s mainframe thinking build by people who have no clue what usability and simplicity mean.
  • It literally takes hours to book a trip using Concur, hours of lost employee productivity that the company has no idea they are losing. It is so bad, that I have to used a free web app to find the appropriate travel itinerary (Kayak, Skyscanner, Booking, etc.) and then fight to get that proper schedule into Concur.
  • I have used a wide variety of travel reservation software apps and expense reporting apps at many Fortune 100 companies since 1985. It is amazing how horrible the design of Concur's user interface is -- I don't think most average programmers could make something this bad if they tried.

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

The homepage allows both travel and expense management access – it is integrated. The homepage also allows you to see what you need to approve, your existing expense reports, travel itineraries etc. A front-end dashboard makes for quick access.

You can upload your receipt images via a scan from your iPhone. The manager approving can see all those receipts

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

It's live (you can ask questions), it's free, it's good. What's not to like. Only reason it's not getting a "10" is breadth and depth, more would be better.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Alternatives Considered

I used expensify in my last role, however it was at a bigger company so I was not involved in the process besides being a user. Abacus seems easier to use from a user perspective. It would be great to have a better integration with our payroll system, but it seems like with all softwares, you can't have it all

I did not select this software -- and anyone who really had to use it would not have picked it over any competitor. My guess is that some marketing group sold it to our executives based on grand claims of enterprise-wide integration -- and no one every tested it against more nimble, efficient competitors.

Uptime has been generally excellent, with the glaring exception of 3 weeks (yes, weeks) during 2014 in which Concur had repeated site-wide service disruptions affecting all users.

Return on Investment

  • It does seem like they are still working out some kinks in the web and mobile apps – a few times the app has crashed. But they're also very fast to push updates.
  • The benefits are simple. No one likes taking time out of their day to do expense reporting. Abacus speeds that process up considerably. The interface is clean, and I'm able to see what expenses are pending vs. expenses that are already cleared.
  • The benefit from a user standpoint is that it adds an element of organization to a process that is typically disorganized. It has saved us numerous hours.

  • Well, it has a huge ROI for the fact that when it comes to accounting we were losing a lot of money as staff would never turn in their receipts or they were lost so we couldn't write off these items.
  • The staff now can focus back on their work instead of wasting time with Excel spreadsheets and scanning and or faxing receipts to corporate.
