Abacus

Abacus has been great for our small startup of 37 employees, it has grown with our team since we were very small. Since we have not experienced it as a bigger company, I am not sure what the scalability would be like. If you're looking for a site with a cleaner look that is easy to use, Abacus is it. I haven't had to reach out to customer service yet because I haven't had any issues. If that isn't proof positive of how easy it is to use, I don't know what is!

Concur Expense

Concur Expense is well suited for business expense and travel reporting for medium to large businesses. Concur Expense would likely not be well suited to small businesses. However, if the need is present then it is robust, helpful software. Being able to take receipt photos on the go is very helpful and should be a strong consideration point.

Pros

  • It is very easy for employees to upload their expense receipts to abacus.
  • Abacus has an easy UI.
  • We haven't had any issues with their customer service team not responding when asked.

  • The automated factor of tracking history, active requests, and ultimately the update features for all end users is exceptional. In large organization’s it’s not uncommon to submit a reimbursement and not see or hear of it for 30+ days. With Concur you receive updates along the way at each approval and verified estimated payout.
  • Team members seem to enjoy the system and have little to no trouble navigating it to efficiently and effectively enter their own reimbursement needs. Additionally, this holds true for managers of users and their ability to quickly and easily review and approve expense reimbursements.

Cons

  • Reporting is almost non-existent
  • Account reps seem overwhelmed with not enough time to dedicate to each client
  • Pro-active communication regarding new models, etc. could be improved

  • User profile setup can be very time consuming and confusing. This setup is also critical to ensuring a good user experience.
  • Online & phone support is underwhelming and not very helpful. The key problem is that many issues are related to travel bookings and Concur support typically defers to Amex travel for those issues.
  • Users have limited ability to changes settings in the mobile app. Most seem driven by admin/global settings.

Alternatives Considered

I used expensify in my last role, however it was at a bigger company so I was not involved in the process besides being a user. Abacus seems easier to use from a user perspective. It would be great to have a better integration with our payroll system, but it seems like with all softwares, you can't have it all

Concur is definitely in the lead for what we’re utilizing it for (business and mileage reimbursement). The other software I use has functioned and been utilized for various payroll, procurement, and reimbursement needs, but none are in line with needs that Concur has met. The PeopleSoft tools are still valuable for other functions, but there is less automation and the user interface is a little dated compared to the sleeker, streamlined system that Concur has. Concur was much easier to set up to speak with other business systems we utilize (far more than Oracle or Kronos systems), and Concur was also able to better communicate with our affiliate organization health systems in which we have moonlighting and contract workers through.

Return on Investment

  • It does seem like they are still working out some kinks in the web and mobile apps – a few times the app has crashed. But they're also very fast to push updates.
  • The benefits are simple. No one likes taking time out of their day to do expense reporting. Abacus speeds that process up considerably. The interface is clean, and I'm able to see what expenses are pending vs. expenses that are already cleared.
  • The benefit from a user standpoint is that it adds an element of organization to a process that is typically disorganized. It has saved us numerous hours.
