With Abila MIP's versatility I think it would be well suited for any industry, but especially for any industry where you wanted to be very specific on tracking or cost accounting. The ability to segment your accounts allows you to track by just about any method you would like to be successful.

This product is well suited for an organization that is focused on client services, project delivery, time tracking, expense reporting, and revenue recognition. From a pure project management perspective, this product is not as feature rich as say Microsoft Project Server. For organizations that are looking for detailed complex project plan and resource management (along with resource leveling, etc.), this is probably not the best suited product

Pros

  • Data conversion from our previous system to Abila MIP Fund Accounting was made as seamlessly as possible. We were able to successfully integrate without trouble and leaving us with continuity in our data.
  • The help that we received in developing SOPs for our growing organization proved difficult prior to using the help from Abila MIP. Once we were up and running with the service we got what we needed and were able to make our organization's procedures as ordered as a larger and more established company would have.
  • The ability to see where our funds would most effectively be spent helped us utilize them so that we could make best use four our investors.

  • OpenAir demos really well and NetSuite prefers early consultation to be product-agnostic. They encourage clients to share specific needs they require in a PSA application. They then take on the ownership of making those configurations and setting up the application to be successful (per your requirements) from the start. Take time to work backwards in preparation for implementation. Outline the reports you need, then identify the specific value fields needed to create the desired outputs. The OpenAir consultant can then educate how this will be accomplished within the application.
  • As legacy QuickArrow users, we were encouraged to implement OpenAir because it's the natural migration path. OpenAir made transfering our data easy with minimal adjustments. OpenAir helped us recreate our legacy reports using the appropriate new field values. While not every report could be replicated, we came "close enough" for our business needs.
  • When you inquire if OpenAir can do something, the reply is always "Yes." The application is so flexible (almost too flexible), which makes fielding executive managment requests much more easy than within our former application, QuickArrow.
  • The integration with Salesforce.com saves us a significant amount of time as we set up similar projects leveraging pre-created templates. After working with our references (more-so than our OpenAir consultant unfortunately) we were able to tailor this configuration to meet our needs perfectly. While this took a bit of technical collaboration on our end, this was an easy way to reduce our day-to-day manual effort.
  • OpenAir dashboards allow executive management to have the information they need at their fingertips. They can tailor the dashboard reports to reflect their KPI interests and access the reports when they need them 24/7/365. While this takes a bit of effort to set-up a good starting point for all interested executives, the education enables them access information independently vs relying on reporting specialists or administrators for report outputs. As an administrator, take time to invest time in this area, as it empowers others and reduces reporting requests.
  • OpenAir reviews enhancement requests often and they can be incorporated into the product quickly. When negotiating our contract, they were missing a have-to-have criteria element. Upon our contract signing, the product supported our criteria fully. When talking with other OpenAir customers, there are multiple examples supporting this strength!
  • NetSuite conferences are fully of energy, offer great key note speakers, and offer opportunities to have conversations with OpenAir, open-minded leaders. This group is focused on the customer experience and are eager to hear (and best of all incorporate) customer feedback. This dynamic team is full of energy at all levels of the organization. A very genuine company where anyone would be proud to hold a role.

  • The bookings calendar seems to want a Monday-Sunday style approach for long-term bookings. This makes it challenging to see how booked someone is on one day as the default view tends to prefer 'week' views.
  • The mobile app sometimes shows a receipt was attached and submitted even though the final report comes without the receipt. Improving/correcting this would be wonderful.

Overall, the software has many useful features and is generally east to use, however, when the Data Integrity Check function identifies a problem, it is not clear what caused the problem (so we can avoid making the same error in the future) and it requires us to call Customer Support to resolve the problem. This last step is unnecessarily time consuming.

Aside from Reporting, where there is some room for improvement, the usability is overall very strong. In Reporting, you can get the job done for the most part, but it might take a lot of creativity to get there.

We did a 3 day online remote course back in April. NetSuite prefers training to occur before migration. We went over the functionality of tool and three months later we migrated. Personally, I didn’t find it that beneficial. Certain parts of it were beneficial as they applied to me – talked a lot about invoicing capabilities that didn’t apply to me. They also have knowledge base / e-learning assets, but I haven’t referred to them

Again, I was not directly involved with the planning and setup of the software. However, I was involved in training my staff during the implementation phase. As with any software implementation, consistency of training is key and a willingness to seek out help from Customer Support helps tremendously to insure accuracy of information and training.

Alternatives Considered

This is the first non-profit I have worked for and I am fortunate they chose to use Abila. My previous account experience with a for-profit industry I used MAS 200. While the two systems have some of the similar appearances and functionalities, Abila is easier to use with multiple programs. I can't compare the two side by side as I use Abila in a much broader spectrum and I am unaware if MAS offers like-features.

Previously we used a custom application running on top of Oracle ERP. One of the reasons we chose OpenAIR was because it was covering our requirements for time tracking and project/resource management, much better than the custom app. In addition we got other features like: project teams, task assignments etc. Another reason we chose it was its integration with NetSuite which we have chosen to be our new ERP, integration that is still very basic.

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Return on Investment

  • We were using an outdated version of Great Plains previously. It was DOS based, and only one user could even use it. I can't even describe the difference that has obviously made.
  • We can produce information so much more timely and in a better format than with Great Plains.
  • We outsourced payroll for a while, but came back to Abila because we found it was just as easy.

  • It covers our requirements for time tracking and project/resource management better than the previous solution we used.
  • Project managers are happier having this tool for their job and also because it is running on the cloud as opposed to running on-prem.
  • It doesn't help in any way improving the "chasing" of the people that don't submit their time-sheets in time. This one stayed the same as before.
