Abila MIP Fund Accounting

I believe Abila is suited for organizations that have complex funding structures. Especially those organizations who have multiple funding sources with agencies that require different expense coding to ensure expenses are properly classified. I think Abila is not appropriate for small organizations whose chart of accounts may be less complex in addition to a lower operating budget.

Paycor

As I noted earlier, the Paycor Ready Clock product has done a good job for us in tracking our shop time and attendance. Paycor's online payroll software is fairly straightforward and easy to use. It is also very nice that if for any reason I am away from the office I am able to handle the processing of payroll remotely.

Pros

  • I particularly like the copy/rename reports features. It allows the user to make slight changes to reports they may use frequently and save the report with a new name. This saves time when detailed reports are needed quickly.
  • I like the payroll function and the ability to allocate payroll between accounts rather than to calculate it manually.
  • I appreciate the recaps at the bottom of the AP & JV screens which show the accounts being referenced and whether the transaction is balance. It is a good double check.

  • Paycor's Ready Clock product does a good job for us in tracking our time and attendance for our shop employees.
  • Paycor's payroll product is easy to use and anytime we have any issues our Paycor payroll specialist team is available and is able to assist us quickly in resolving the issue.
  • Paycor's HR module is a good source of information for us.
  • Paycor's custom reporting is useful to us in pulling together adhoc reports using payroll information.

Cons

  • We would like to show budget, actual expense, and encumbered expenses in the same report so that we could compare budgets to a combined total of actual costs and encumbered costs.
  • We would like the payroll module to stop allocating benefits on both salary and expenses. If you use Microix to track employee expenses, like mileage, MIP will use the expenses and the salary, from Microix, as the basis for benefit allocation. Only the salary should be used.
  • MIP does not recalculate annual leave balances when an employee's salary changes so we have to use an outside program to calculate the revisions and import it back to MIP. Our old accounting software, Fundware, was able to make this calculation.
  • The allocation module is so complex that our auditors and monitors where unable to follow the path. This had to do with the number of segments we used. We now allocate on a spreadsheet and import to MIP.

Overall, the software has many useful features and is generally east to use, however, when the Data Integrity Check function identifies a problem, it is not clear what caused the problem (so we can avoid making the same error in the future) and it requires us to call Customer Support to resolve the problem. This last step is unnecessarily time consuming.

This is probably by far the biggest advantage that Paycor has. I reviewed a handful of companies that were a couple of hundred dollars cheaper each year, however I wasn't as convinced that they would be as easy to use as Paycor's system. This uncertainty made Paycor an easy choice for us.

Make sure Paycor realizes the importance of having your GL set up and to you in a timely fashion. Ours was so delayed, I had to approach our salesperson from Paycor and get him to push the issue up several management levels.

Alternatives Considered

I don't know when the decision was made, it was years ago. However, we are not looking for anything new and are sufficiently happy with the product that we are not looking now and have no plans to look for a new product.

We used Ceridian's Source Assist and later the HR/Payroll Latitude web Products for over ten years. Customer support at Ceridian was a big reason we chose to leave, and Paycor's dedication to client satisfaction has not disappointed us. The lack of flexibility in Ceridian's platform always frustrated us and Paycor makes it easy to customize the product to meet our needs, instead of having to modify our requirements to fit the product's abilities. At Ceridian it seemed that changes, when made, rarely made things easier for us. We have been pleased to find that Paycor listens to client concerns and makes changes that make life easier.

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Return on Investment

  • Using MIP's reporting on specific programs has allowed us to locate under performing programs and make corrections to them.
  • Being able to track expenses to contracts has made it possible for us to handle large restricted donations while staying GAAP compliant. This has allowed us to accept millions of dollars in revenue that might otherwise have been unavailable to us.
  • The lack of real-time reporting functions has caused delays in some decision making, generally concerning budgets. Opprotunities have been lost due to always being a month behind.

  • Has definitely been an upgrade from our previous payroll experience. From time keeping through the payroll submission process, the system is very easy to use and adjust, if necessary.
  • Hiring and entering data for new employees has also saved time by streamlining the process.
  • While we do not utilize all of the features, due to a being a small manufacturing organization, there are numerous reporting and report building mechanisms available to assist with most HR functions.
