Abila MIP Fund Accounting

Abila is a great product for medium to small size county governments and businesses that need a good fund accounting, payroll and HR system for a good price. Abila will aid you in modernizing your outdated systems and help integrate these areas for you. Abila has a number of modules from HR to digital time clocks to fit the needs of your company. I think you would be hard pressed to find another system with these features for the price.

We're a marketing agency and it's worked perfectly for our recurring payment retainers (same amount each month).
It would also work well for a company with a set product line up or a company that wants a more traditional "store" setup.

Pros

  • Provide information in a variety of time periods, fiscal year, grant period, or custom time periods in either a detail or summary style.
  • The ability to track information in a variety of ways, by program, by subsections of a program, by department, by division, by agency, by county, by project, and etc.
  • The ability to enter budgets in the way our agency wishes to track them and to be able to compare the budgets to the actual costs in the time frame we want.
  • The ability to import from an Excel spreadsheet is a nice feature.

Cons

  • The budget module has improved over the years but still needs more flexibility to customize comparison data and budgeting options for the non-financial manager. Currently it needs a well versed MIP user to create a budget via the budget module. The program managers need to have input in this process so we still have the bulk of the budget work done outside MIP and then imported.
  • Teh AR module is still cumbersome to process billings especially when working with government grant funding.
  • The Allocations module needs more flexibility in terms of the basis for allocation and easier updates for customized allocation basis like square footage. We should be able to import the user define field to be used for allocations.

  • There are some features that we used in Classic PaySimple that did not migrate to the new Point of Sale solution that we've grown to love. Unfortunately because of those oversights we are operating through both interfaces. However the fact that the option was available so that the features were not entirely lost is impressive in it of itself.
  • There is an ability to add custom fields per transaction which for us would be extremely helpful if when added to a recurring payment schedule they would translate from a reporting standpoint with each subsequent payment. However... a custom field about a specific payment that is part of a larger payment schedule is not eligible for reporting purposes and therefor is essentially a useless feature at this time.
  • PaySimple should implement a feature I've heard referred to as 'account updater'. If a customer receives a new card replacing one that is soon to expire, there is technology available to recognize this and update the information with the merchant so that a recurring payment scheduled doesn't fail when a customer forgets to call with the updated expiration date.

Since our system has been in place for almost ten years, we occasionally talk about doing a new implementation. We do not talk about moving to a different product. Abila has many options for support, including cloud support, that we can evaluate. The overall satisfaction between HR, Payroll and Accounting is high. We have taken advantage of training and have developed a good level of expertise and the program upgrade features do not require reworking our processes. We have not found the product to impede any of our process improvements and find new ways to utilize the features as time goes on.

Alternatives Considered

MIP has had a long history with our organization. It was purchased over 15 years ago for this organization. At this time we are not even considering alternatives. I am very satisfied with the product with a few small caveats. As stated earlier, I have only worked for this agency for 3 years; therefore, I did not take part in the selection of the software.

Scalability

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Return on Investment

  • Although I am unable to quantify MIP's impact on our overall business objectives, I will emphasize that its ability to supply information quickly and efficiently as well as the availability of add-on modules to tailor to one's specific business makes it a huge asset. I am required to report financial information to multiple stakeholders (e.g., state/federal funding sources, private grantors, auditors, board of directors) and MIP's ability to categorize, analyze, and summarize all of our complicated and diversified financial information saves me a significant amount of time and energy.
  • We have not yet transitioned to MIP Advance from our on-premise solution. We looked into it but found the price tag to be a huge barrier.
