With Abila MIP's versatility I think it would be well suited for any industry, but especially for any industry where you wanted to be very specific on tracking or cost accounting. The ability to segment your accounts allows you to track by just about any method you would like to be successful.

Pros

  • It allows you to create folders in which you can scan invoices, business associate contracts, and contracts in general by vendor. This allows us to keep everything in one place digitally. The good thing about this is that it speeds up finding old invoices, and allows you to send audit selections to the auditor faster due to the items selected already being scanned in digitally.
  • MIP allows for the creation of distribution codes. These are nice as they allow you to charge out common costs to multiple departments in a quick manner. Without this feature, one has to key in manually many line items into the system each and every month. Plus this feature allows for consistency, and elimination of keying errors.
  • If you have the Chart of Accounts set up properly, this system allows you to better track items by departments, Revenue/Fund codes, Location, and by GL. This is important as it allows for better analysis, tracking and reporting.
  • As for the budgeting module, this is also nice as you have the ability to upload your budget via a CSV file or you can manually cut and paste your numbers from excel into the system as well. The key thing though is setting up your budget template to match the format in MIP when cutting and pasting.

  • One of my favorite things about SAP was the data integrity. Because of how easily the various modules tied together there was much less room for error.
  • Integration. The various modules that SAP has work seamlessly when configured correctly. SAP has a module for what seems like everything from manufacturing processes to Maintenance to Sales Forecasting and more.
  • Change Migration. Moving changes from a development, to testing, to production is very easy via SAP transports. Also refreshing DEV and QA environments from production can be accomplished easily.

Cons

  • Sometimes pulling reports or building the reports to give you the results you want is difficult to achieve.
  • Creating budgets was a challenge at first as was updating those budgets when revisions occur.
  • We would like to see a copy and paste function added so when entering or changing descriptions you don't have to continually keep typing them over and over.

  • Customization inside of SAP requires rigorous testing and specialty knowledge of ABAP to perform unique functions.
  • SAP is not cheap. The cost of SAP can be prohibitive to smaller companies looking for an ERP solution.
  • Almost all of the table names and abbreviations inside of the SAP database structure are in German which makes BI reporting and data analysis difficult for non-German programmers and analysts.

I am not part of the team that makes this decision but I would recommend renewing the contract. Most employees at Tennant are long term employees and would find it difficult to change to a different software. They are comfortable using SAP.

Alternatives Considered

I personally have used QuickBooks, Quicken, and a long-ago product by Software International. QuickBooks and Quicken are easier to use, but do not provide the reporting that Abila provides. Non-profits need an easy way to allocate expenses between grants, especially payroll. They also need to be able to provide reporting by grants. Abila seems to be able to provide this system.

There are many modules and SAP Products which can be evaluated against SAP ERP, but SAP ERP is the single product that can be utilized with its resourcing and features to manage and use for your complete business.

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Return on Investment

  • It has had a negative impact in that it remains too time consuming to get information that is needed out of the system.
  • It is not very intuitive in lending an easy way to figure out what types of reports to run and what information can be included.
  • Too many strange results are obtained when running trial balance reports. I get different results based on different date parameters.
