With Abila MIP's versatility I think it would be well suited for any industry, but especially for any industry where you wanted to be very specific on tracking or cost accounting. The ability to segment your accounts allows you to track by just about any method you would like to be successful.

Workday Financial Management

It was suited for our brand new operation; we 'opened the box' and implemented it from scratch and did not have to sunset older systems and replace with Workday Financial Management. This was well-suited for this. The cloud functionality was a core requirement for the organization, we did not need a Cadillac with all of the trimmings, we moved relatively quickly and installed.

Pros

  • It allows you to create folders in which you can scan invoices, business associate contracts, and contracts in general by vendor. This allows us to keep everything in one place digitally. The good thing about this is that it speeds up finding old invoices, and allows you to send audit selections to the auditor faster due to the items selected already being scanned in digitally.
  • MIP allows for the creation of distribution codes. These are nice as they allow you to charge out common costs to multiple departments in a quick manner. Without this feature, one has to key in manually many line items into the system each and every month. Plus this feature allows for consistency, and elimination of keying errors.
  • If you have the Chart of Accounts set up properly, this system allows you to better track items by departments, Revenue/Fund codes, Location, and by GL. This is important as it allows for better analysis, tracking and reporting.
  • As for the budgeting module, this is also nice as you have the ability to upload your budget via a CSV file or you can manually cut and paste your numbers from excel into the system as well. The key thing though is setting up your budget template to match the format in MIP when cutting and pasting.

  • We specically wanted a cloud financial management system that we could use in China and communicate reports to the headquarters organization and roll-up reporting. It performs well.
  • It was reasonably priced since we are not a for-profit company and need the Workday flexibility for finance and accounting operations. Most of our requirements are met with this one system.
  • The system worked efficiently with the additional security we built on to keep confidential. Many reports are ready off-the-shelf or easy to develop, which is a strength.

Cons

  • I wish it was a little simpler to reverse a single invoice during the AP void check process.
  • In the payroll system improved reporting, being able to pull information from both the employee profile and the payroll system would be appreciated.
  • The ability to hide discontinued vendors from selection lists. As well as some way to improve vendor id conventions.

  • We were surprised by the lack of user guides and supporting information for day-to-day users. Granted, we could find this, but our users like guides.
  • The system could improve with contact help and chat functions if you need the answers quickly. We figured this would all have been built in.
  • Quite surprised by the lack of treasury management functionality. SAP and Oracle have it, although their modules are not that comprehensive or user friendly.

Again, I was not directly involved with the planning and setup of the software. However, I was involved in training my staff during the implementation phase. As with any software implementation, consistency of training is key and a willingness to seek out help from Customer Support helps tremendously to insure accuracy of information and training.

Alternatives Considered

I have not had an opportunity to compare this system to others. I had no input in selecting this system. I would have liked to have compared it to other systems in terms of ease of use/intuitiveness, flexibility and granularity of report development, and capabilities in dealing with prior year adjustments and their effect on trial balance reporting. On those counts, I do not think the system scores very high

Stacking up it was a faster and more inexpensive implementation. Granted it was still early in the system development years, but the results and the five years of using it speak for themselves. Cloud we wanted, comprehensive financials was a core functional requirement and this was met - it would have taken much longer to implement Workday's competitor systems and we did not have that flexibility. Adding new functionality was relatively painless.

Not real sure what you mean by scalability. It seems to be able to handle all of the funds we are currently working with. If you mean the looks of it, some things are small and it would be nice to increase the size according to the user.

Return on Investment

  • As a non-profit, our main business objectives are to stay within regulations so that we may be paid by our funders and continue to contract with them..MIP allows us to track information to assist in this objective.
  • Cash management is very important, since we are often paid in arrears. MIP helps us track cash and outstanding program balances.

  • As a new starup affiliate five years ago, we did not have a huge budget. The ROI was met relatively quickly, no surprises here.
  • With minimal consulting assistance, this made the implementation cost reasonable, if any software implementation could be considered reasonable.
  • It was a risk to implement Workday Financial Management in one country but we did leverage it with HCM in the states.
