Simple conversions from Acrobat PDF docs that have been created by Word, Excel, etc., probably do not need this program. But if you are ever faced with anything more than simple, straightforward conversions, this program is definitely worth it and will save hours of work. I have not found anything else that even comes close.

Confluence

It works well for remote teams that need to communicate and keep track of many projects happening all at once. It keeps everything all in one place so that everyone can find things and we all know where stuff should go. If you are tracking KPIs using complicated formulas in excel, you will find it annoying to try and replicate that in confluence.

Pros

  • Creates editable spreadsheets from Excel documents that have been scanned.
  • Allows certain segments of documents to be selected for editing.
  • Allows bulk conversion.

  • Live-editing. This was a key component for us as some of our teams were used to using Google Docs specifically for this feature.
  • Site-wide searching. The search tool is fantastic and does search document contents so it's not just metadata that is being queried.
  • Tie-in with other Atlassian products. We use JIRA for task and project management and being able to link Confluence pages to JIRA tickets or have JIRA Service Desk use Confluence as a Help Desk Knowledge Base for simple Tier 0 support was a key selling point for us.
  • Out-of-the-box templates. While you can definitely define your own templates for pages, the OOTB templates provided are sufficient for 90% of what we need. Meaning that documentation is standardized and simple for our users to create new pages or content.

Cons

  • It's a little challenging to edit the row breaks.
  • Sometimes selecting all the pages in a document is cumbersome. "Select all" with custom conversion does not always choose all pages.

Confluence remains well worth its support renewal price, and features continue to be improved and added. We are adding internal users to Confluence even without an internal push (which we hope to do within a year, where we expect a major uptake by labs)

Overall I find Confluence to very pleasing to use. I don't feel like it's getting in the way of the task at hand. It just feels easy. Creating pages, editing pages, finding pages, sharing pages, exporting, printing, organizing all feel natural to me. Occasionally using certain macros can be cumbersome inside the WYSIWYG editor but for the most it's smooth.

Pages load quickly. If something closes abruptly (such as the browser), it lets us know when work needs to be reviewed/saved/deleted to avoid any unintentional overrides.

I have not had a lot of support experiences with Atlassian, but of the few I have, I wasn't very satisfied with the results. I found that multiple people would respond to the issue at various stages, requiring re-communication (even though the support system stores everything and shows it to both them and you). Often responses came at odd hours, resulting in 24+ hour turnaround on basic responses, even if you respond right away. Support often asks you to do things which require downtime, and don't seem sympathetic if your organization requires that downtime to be done off-hours. This makes it difficult to resolve issues in a timely manner, if at all.I must note that I have not opened a support incident with them in close to 2 years, and it's my understanding from colleagues that there has been much improvement. My comments and ratings reflect my older experiences.

Mediawiki was our previous knowledge repository. It works well as a standalone system but does not have the integration with other Atlassian products or crowd authentication that makes user management uniform across platforms
