AcademicWorks

AcademicWorks is well suited for large university campuses that have various scholarships across different departments. AcademicWorks can streamline the application, reviewing and awarding processes for these large universities. It is less appropriate for smaller colleges that have fewer scholarships and who choose award recipients manually.

Salsa CRM

As I mentioned before, I was the decision maker for Salsa CRM. I worked in software prior to moving to nonprofit. I reviewed several software platforms. Salsa CRM was the most intuitive and met my needs as a whole.

Pros

  • Customer Service - Although sometimes frustrating that reps are not immediately available by chat or phone, they usually do respond and resolve within two business days.
  • Implementation - Training and working with IT and primary users to get the most out of the system.
  • Listening - When users have suggestions to improve the program, AW actually listens and has an enhancement request list. If several users ask for the same thing, we are likely to see that addressed in an upcoming enhancement.

  • Managing donations - Salsa helps keep track of the donations coming in whether they are a one-time donation or a series of donations.
  • Automatic email series (set it up once and it will run without you once you initiate the trigger point.)
  • This software also allows you to set up roles within the company for controlling access to things like donations and data entry.

Cons

  • Customer Service - Has slipped in the last year, since merging with Blackbaud. Not as responsive or knowledgeable overall.

  • With the constant updates comes challenges. Often times, with an update comes several small bugs that Salsa has to work to fix.
  • I believe their customer support works from home so it is challenging to get a concrete answer on the first phone call. It often takes several follow ups.
  • The implementation was a bit rocky but customer service worked with us a lot and we got through it! We were moving from google drive and several other platforms for ticket sales, emails, etc. so we didn't have any experience with this. It eventually all worked out and the Salsa team really stepped up to accommodate our needs.

You do not have to be a tech-savvy person to be able to use the CRM. Reporting is easy to do.

Alternatives Considered

At the time that we made the switch, NextGen was not able to offer the option that committee reviewers could rank a student and that their ranking could carry over into multiple scholarships. We already had over 70 committee reviewers and the process to review some of the more general scholarship applicants was taking more than 10 hours. The AcademicWorks System allows each applicant to be ranked by a number of committee reviewers (you set the number of reviewers) one time and the score can be propagated across multiple scholarships. This is an efficient use of the reviewers time and keeps the time commitment manageable.

We used to use several platforms for all of our needs and we found that it was nearly impossible to maintain accurate records that way, the inconsistency was inevitable. Salsa has really helped us solve that issue by creating a system (with a reasonable price tag) that talks to one another. For example, a ticket sale online will go directly into a record! The majority of our tracking was in Google Drive initially.

  • Has helped increase our donor retention as we are able to track all communications with donors ensuring that they remain connected.
  • The improved emailing (with fewer bounce rate) has helped increase our website and donation page visibility.
  • We've sold more tickets to our fundraising events with an improved event management system.
