It is really well suited for organizations that need to have a lot of tools but don't want a bunch of data silos. Our organization uses HubSpot as our CRM so we don't necessarily use the CRM portion of Accelo the way it is designed. Mainly because it isn't as agile as HubSpot from a CRM perspective.

Paymo

Well suited: tracking time, making notes to share with clients, live reporting. Less so: tracking and bookkeeping - they don't market it as a bookkeeping app, though they do allow for invoicing through it. Still, my needs are such that I use a separate app for tracking receipts against a project and then invoicing clients.

Pros

  • Retainer Management - I am not sure we could run retainers effectively without it.
  • Hour Logging and Tracking.
  • Customer Email Tracking.

Cons

  • The client portal needs to be improved. It does not have the same user interface as we have within Accelo and we get a lot of client complaints about it.
  • It needs more executive-style reporting and the ability to create your own reports and filters.
  • It needs to be faster. With all of the things Accelo is doing to give you all the data, it is kind of slow compared to other systems in the browser.

  • It would be really helpful if on the timer tool, they asked you to switch projects when you stop the timer, so it could fill that time in right away for you.
  • I never use the 'My Tasks' because I don't fully understand how to integrate it to be useful to what our purposes are in Paymo. Some Youtube tutorials might be helpful

Alternatives Considered

We used Workfront prior to using Accelo, mainly for project management and retainer management. There is no comparison between the two as Accelo blows it away.

Paymo lets me track to the minute - even going back to add in time that I wasn't able to track via the app. This has been wonderful as clients might call with something quick but when I'm not able to turn on the tracker, yet I'm still able to appear to them as if I was sitting by the computer eager waiting to help. Further, the amount of notes that I'm able to put into the tracker has allowed me to include more details on live reports and invoices that I was able to do with other apps. This meant that I didn't have to track those tasks in too many spots, easing potential confusion and saving time.

  • It substantially reduced the number of systems we use to run our business.
  • It reduced the need to train our staff on a variety of platforms.
  • It gave us the ability to have a client-facing portal that directly integrates with our backend systems.

  • Paymo has resulted in a positive ROI for my company. It should be noted that we're grandfathered in on their old billing rate, which means our subscription costs are substantially lower than a new client's would be.
