Accelo

It is really well suited for organizations that need to have a lot of tools but don't want a bunch of data silos. Our organization uses HubSpot as our CRM so we don't necessarily use the CRM portion of Accelo the way it is designed. Mainly because it isn't as agile as HubSpot from a CRM perspective.

Tenrox

Key questions to ask during the selection process: how often will you be running reports in Tenrox (daily, weekly, monthly?) and which of the reporting tools (OLAP or AdHoc) would meet your report needs? In our experience - OLAP is more flexible but takes more time to run a report. If you use AdHoc you can't combine as many fields into one report but the reports run more quickly

Pros

  • Retainer Management - I am not sure we could run retainers effectively without it.
  • Hour Logging and Tracking.
  • Customer Email Tracking.

  • You can create a report combining virtually any field that the application tracks, so in this way it's a very flexible tool. There are also very flexible workflows and security settings within the app so that you can really make it fit your organizational structure, whatever that may be.
  • You can download the report into Excel and work with the data in Pivot tables to get even more customized reports.

Cons

  • Difficult to upload targets
  • Not easy to modify a target
  • When uploading targets you can not attach them to tags until after they are uploaded.
  • When listing opportunities in the system, you are limited with what stage the opportunity is in and the star system is not very helpful. The status' are very vague and not always accurate.

  • The upgrades have been particularly frustrating. We have often lost useful functionality as a result of the software being upgraded, and have experienced some dissatisfaction around the communication about exactly what features are being changed/added/removed.
  • Especially in the beginning there were lots of bugs in the application. Many of these bugs have been worked out in upgraded versions but some still remain.

I feel like if the user interface could combine time and expense for users to be entered on one screen rather than two completely separate locations it would greatly improve usability. If the expense entry process could be improved completely, it would greatly improve the usability as well. Everything else within Tenrox, makes everything very user friendly.

The support team is always very helpful and strives to ensure they have met your needs and corrected your issues in a timely manner. If they need more information or cannot recreate the issue themselves, then they will follow-up to gather the necessary data themselves. They are constantly striving to meet the needs of all users and understand so many different industries and types of environments out there, it is very impressive.

The main thing with implementation is to make sure you have taken full advantage of the "sandbox testing" site that Tenrox provides to you during development. Try out every scenario you can think of, have other people enter information if needed, so that you can make sure you have not missed any big items. If you have the opportunity, roll out implementation to small groups of users. Depending on how your company is set up, I would choose groups that are not all in the same department so that you can address questions across all areas before adding in more users in the next wave of implementation.

Alternatives Considered

Accelo doesn't really exceed any competitors in any one area of their product, but in 2015 when we made the move this was the best option that included all the tools we wanted. However, user adoption was low in some areas due to the UI, so we scaled back Accelo and added other tools.

The Tenrox software looks and feels older and is not as user friendly! Harvest, for example, is an upgraded version that is easier to track and compile. This is what I'm comparing it to and it's not even close! We only selected Tenrox because it was cheaper and we had a connection in the company with someone at Tenrox to use that platform. We are currently looking for a change.

Return on Investment

  • Helps with tracking prospects through the sales/marketing funnel
  • Has led some employees to stop using the tool and going back to spreadsheets. When trying to attach targets to tags you need to do so individually and if you upload a large list you need to do this manually, one by one, and requires a lot of time. So people have gone back to spreadsheets where they could simply just cut and paste new people in.

  • It has helped streamline and provide accurate reliable resource planning
  • allowed for PM teams to address over allocation issues before it could become a problem
