Accounting by Wave

Wave is great at small business accounting where fairly simple quotes and invoices can be set up and payments can be received online or as mailed checks. Other or more complicated situations are not well suited to the platform. Any business that takes in Bitcoin or other alternative currencies will struggle to link the account types together

If you can use their provide Boomi integration, you may have a better experience because they say they'll have greater insight to data loads than we seem to have with our own Boomi integration. I also consider that we have had Host Analytics for several years and think we would benefit from a reimplementation (a somewhat common scenario with systems (or cars or girlfriends): "that system looks much more attractive, I'm ditching this... or maybe I should consider revisiting some basics")

Pros

Accounting by Wave

  • Quoting and Invoicing - This feature is huge to be able to manage customers and automate the process of sending invoices as well as reminding outstanding balance holders about their obligations.
  • Payment Processing - Once you get the invoicing down, the ability to process credit card and ACH payments in a single package is great. The fees are competitive and the turn-around time to money in the bank is quick.
  • Bank Integrations - I mean, this ought to be a standard thing these days, but Wave makes it super simple. There is no need to use esoteric APIs or ugly interfaces - everything is in the same Wave wrapper and the functionality is truly seamless.

  • Reporting is a huge strength in Host. It's extremely easy to build aesthetically pleasing reports for your company. In addition, dynamic reports make it easy to build ad hoc reports quickly.
  • The planning module helps simplify budgeting and forecasting. It's highly beneficial having it all in Host and moving away from the problems we were experiencing with maintaining our budget in several giant Excel spreadsheets linked together.
  • The learning curve isn't steep with Host. Any users that are familiar with Excel will feel comfortable with building templates in no time.

Cons

Accounting by Wave

  • The only disappointment I've had with using Wave so far is how delayed transactions can be with the bank connection. This is likely because of how slow the turnaround can be for check deposits and other transactions to register in the bank (24 hours or more) but it means I need to reference my bank account's website instead of Wave if I have checks arriving on payroll day.

  • A needs a solidly build-in Balance Sheet template that Host implementation consultant can manipulate to fit for any client.
  • Modeling is still not flexible enough. We will wait couple of more years for before adopting it.
  • Forecasting can certainly use some improvements.

I am a professional bookkeeper and I have no problems using Wave and all of it's features. I can see that certain individuals who have no accounting knowledge might struggle with a few different features and entries, but that is why Wave has an emphasis in connecting users to Wave Pro's who will walk them through things

While there is still room for improvement (and I know they are working on it), I think Host Analytics is very user friendly, overall. Breaking the modules down, I give Reporting an A. It's very easy to learn, especially for those already familiar with Excel. The Budget model is a solid B as it takes a bit longer to learn.

Wave does tend to slow down when filtering your transactions screen especially by date. This is more of an issue when trying to trouble shoot certain transactions or clean-up a set of books.

We have always had a great response from Host when we have a question or an issue. New tickets are acknowledged very quickly and resolution often follows right behind. Host has coverage from both the US and India so a live person always seems to be monitoring any critical issues. We have also had periodic discussions with Host representatives on possible new uses for the product or enhancement. They are always willing to listen and we have had some of our ideas incorporated into future enhancements.

Be sure you understand all the language in the initial contract as to what is included and what is not. The BRDD document although more detailed and also a signed document is not a contract and Host will not necessarily honor that document.Be sure your solutions architect has been with Host awhile and done numerous other implementations. The better qualified they are the better your implementation will go.Do you own homework, and be ready with your own documentation on process, what your proposed dimensions are and fields with the data to populate them.

Alternatives Considered

Accounting by Wave

Wave is better in being my one place to go for collecting payments. PayPal is nice if you're on the road collecting payments through their app and using PayPal Here, but if you would like to keep invoicing in the same place as your bookkeeping, I think Wave is a better-integrated solution.

I used Prophix at a previous company, although more as a user than an administrator. Budget expense templates in Host Analytics can mirror what we used in Prophix. Better than that, though, we use "drivers" to move expenses based on revenue, headcount, etc., which I don't know that we could have in Prophix. The Workforce Planning module in Host Analytics is miles above what Prophix had at the time. We managed all personnel assumptions in an Access database and imported the expenses to Prophix. Workforce Planning is seamless in Host Analytics.

  • We have reduced the time it takes for the finance area to prepare for a budget process - Setting up all the Excel planning files and links was a nightmare and we had to start a month before our planning process started just to get ready.
  • We have reduced the time it takes us to prepare the monthly results package.
  • When we added new locations using our old Excel planning process, it would take weeks for us to implement. With Host we are much quicker and able to meet the needs of our growing business in a more timely manner.
  • The ability to do ad-hoc reporting has given us faster response times to data requests.
