Accounting by Wave

Wave is free to use, and they have some premium features you can pay for. For someone just starting out as a small business, freelancer or independent contractor, this is a Godsend. You can look professional, have something easy to manage, and yet also have excellent records come the end of the year. You won't spend a bunch of time having to learn the program, it's very intuitive and you get a host of great features that will make getting paid easy.

While Microsoft Dynamics Marketing is available for enterprise marketing teams it isn't well suited for most of our needs and isn't customized like the rest of the CRM is. The Microsoft Dynamics CRM marketing features out of the box are also limited - especially as it relates to delivery of high quality e-mail campaigns.

Pros

  • Quoting and Invoicing - This feature is huge to be able to manage customers and automate the process of sending invoices as well as reminding outstanding balance holders about their obligations.
  • Payment Processing - Once you get the invoicing down, the ability to process credit card and ACH payments in a single package is great. The fees are competitive and the turn-around time to money in the bank is quick.
  • Bank Integrations - I mean, this ought to be a standard thing these days, but Wave makes it super simple. There is no need to use esoteric APIs or ugly interfaces - everything is in the same Wave wrapper and the functionality is truly seamless.

  • The integration with Outlook is a HUGE plus in terms of user adoption, and if user adoption is not there, then any expense on a CRM is a waste of money.
  • When implemented correctly, I've seen a minimum productivity improvement of 5%, very often much higher than that. This is primarily because it creates significantly streamlined communications, both internal and external to the company. What this means is fewer FTEs needed to do the same job!
  • Ease of creating dashboards - A picture is worth a thousand words, and dashboards tell each user how they are performing on a continuous basis. When this clicks, you get a situation of all horses pulling in the same direction, and the results of this are terrific!
  • Mid market manufacturing companies have invested heavily in streamlining operations and supply chain to drive down the unit production cost of the widgets they make. Unfortunately, they have not been able to do the same for Sales and Marketing, and Dynamics CRM is a tremendous tool in enforcing good sales process. When you have the discipline of following a good process, and have consistent Sales activity (both measurable from the CRM), you have a situation where the CRM becomes the best Sales Coach the company could ever have and not pay for!!!
  • Business owners and managers must understand that it typically takes 6-12 months for the results to flow in. And it is often the case that when the bottlenecks in the Sales and Marketing processes are removed, other issues within the company get highlighted. Companies must be prepared for this, and the corresponding discomfort it creates. But it is all good, since we all want to work as efficiently as possible, and anything that brings inefficiencies to the surface is a good thing.

Cons

  • Not too much to complain about with Wave although I do wish they kept an audit trail of all invoice reminders sent, changes in the invoice, and have the ability to pull reports with this data. This functionality would be great to review clients as a whole to determine profitability and time spent with these clients.
  • 9% processing fees for all cards which is a bit higher than some of the competitors like Blue Pay. The pro to this though is there's no monthly commitment or monthly service fees.
Matthew Gehrman profile photo
  • Out of the box functionality from smart phones leaves a lot to be desired. Fortunately there are affordable third party products that are really great at this.
  • Complex marketing campaigns and implementing a digital marketing strategy unfortunately require third party offerings. I'm sure this will be addressed in the future, but for now, this is limited.
  • While Microsoft has addressed the issue of access from multiple browsers, the desktop "experience" is really only replicated on the Surface tablet, which is why some people have purchased this tablet (in addition to their iPads) because it just makes sense for them to do so. Others object to having another asset in inventory, but that is what the tablet wars are about anyway.
  • Dynamics CRM 2013 has the "Process" interface which has its pros and cons. Right now, the ability for developers to tweak the look and feel is limited, but it is expected that improvements in this aspect (giving developers more control) is imminent.

I think the tool is great for companies that have a call center platform. The tool provides all the details needed for a rep to view the details needed for the lead to be converted. I don't like the reporting feature in the tool currently and I think it needs to be modified more for a more robust reporting need. I also dislike the checkpoints that I feel are needed to minimize errors and feel that they could be adjusted.

I am a professional bookkeeper and I have no problems using Wave and all of it's features. I can see that certain individuals who have no accounting knowledge might struggle with a few different features and entries, but that is why Wave has an emphasis in connecting users to Wave Pro's who will walk them through things

Wave does tend to slow down when filtering your transactions screen especially by date. This is more of an issue when trying to trouble shoot certain transactions or clean-up a set of books.

Alternatives Considered

Each one of these cloud-based or desktop accounting services offer different pros and cons. It really comes down to the individual owner's wants and needs. While Wave is not going to be my first choice for a large, complex organization, it really shines when handling a one person shop who wants to keep track of their home and business finances in one place without all the complexity of traditional bookkeeping software. It's far less expensive than its competitors and has made constant strides to improve itself since day one. It also has a very friendly support staff who have a very fast response time.

I previously have used several systems that together did what Microsoft Dynamics does alone. At a previous company I used an applicant tracking system, HR management system, and we had digital files for each employee. At my current position, all these capabilities are available in one place, which is the most effective use of my time.

Return on Investment

  • Being as it's free software to use I'd say implementing wave has been a positive return for the business.
  • Providing us the ability to process credit cards over the phone has increased our turn time to receive payments thus saving time overall which equates to $1,000's a year

  • It keeps our customer's data safe and it helps with sales via marketing email blast
  • It is positive for our forecasting
  • No negative impact
