Accruent EMS is great for booking (rooms, resources, people) and detailing events. It is a very robust system that allows you to capture and report on multiple areas (daily utilization, attendee count, utilization by the hour). Changes are captured almost immediately so information is kept up to date in real-time, making information available to our entire team instantly.

Archibus is well suited for organizations requiring heavy reporting functions, and that have complex processes for managing moves and space chargebacks. It is less well suited for organizations that require input from multiple users (such as doing an employee seating survey).

  • Easy reservation process - little need for training staff
  • Report creation
  • My Page - allowed me to post short video links and campus-related alerts.
  • Accessibility: Two ways of using it - one for super users and another for staff
  • Room Details: I could add images, directions, alerts
  • Alerts & Special instructions: Can be added for individual rooms as necessary to pop up when choosing the room.

  • Floor Plans provide dynamic reports group by floor, department, location, room type and function. It is very useful for space planning against budget.
  • Building Operations allow users to log a request for repair. The workflow will alert different business areas to respond in a timely manner.
  • Condition Assessment allows us to audit the current condition of building, equipment, furniture and others.

  • I would personally like to be able to upload attachments to a Client's profile. We have external clients in our database, and there are documents that would be better utilized if they could be stored in the Client's profile and retrieved as needed instead of the client having to submit with each request.
  • Having the ability to copy or move a Contact to a new Client would also be nice. I'm sure that many EMS users experience the movement of an employee from one division/department to another. The way EMS is currently configured requires the entry of a Contact into their new Client profile, which generates a duplicate Contact message. It would be nice to have the ability to add/remove a Contact within the database of Clients with just a few clicks.

  • User Interface could be improved - it takes many steps to get to features within Webcentral, too complex, created for power users.
  • Pricing and fee schedules - surprised to find that they charged separately for Space Chargeback features within Space Management and annual maintenance fees.
  • Slow interface.

I am frustrated with the customer service when calling for EMS support. When prompted to leave a message I never get a call back, and furthermore, not only do I have to leave a message, but I have to send an email to make sure someone knows to call me back. This method is unacceptable and I am currently seeking a new software.

Most new users would greatly benefit from (or possibly require) at least some training on how to use EMS, but the training doesn't need to be extensive for the users to get comfortable with it. Most functions are easy and straightforward, so users tend to not have many issues with it.

when looking at large reservations from say a year or two ago it does take a long to time for them to be loaded up but that may be because of the server and the way the software archives the info. that also goes along with running reports of old data that may of been archived that takes a long time to get

Since the merger, our team has found that there are a select few of the tech team that can actually support our questions. More often than not, we have already tried the suggestions that they give us and they are either unable to answer our questions and submit them as update suggestions or they have to be sent to supervisor for an answer. Once or twice in the last year we have received bad advice that resulted in system issues.Prior to last year, the customer support system was at the top of the list of tech support departments that I have ever had to deal with, especially during our upgrade to 4.0.

At my past institution, I started when 25Live was being introduced to the campus. Even though the scheduling software was easier (visually) to navigate, I find EMS has more potential - billing, requests, analytics, etc. I think EMS has the capability to do a lot - but it just takes time to figure out how to set up the framework

Archibus compares well with other IWMS software when it comes to integrating with BIM models and reporting capabilities. I selected Archibus as it has all the tools and processes needed to manage space and moves, with the intention to expand to other modules like Lease Administration and Asset Management. The constant upgrades to Archibus also helps to keep the software up-to-date with other third party products such as Revit.

EMS handles all of our needs very well. Even with a growing staff and growing resources and services, we're still able to work well within EMS capability. For example, while we have a limited amount of rooms, we have growing amount of items that are listed as "rooms" such as group tours and pre-set lunch reservations. We are constantly adding new resources and there is no danger of outgrowing EMS.

  • I have been able to use statistic reports generated by EMS to find efficiencies within the product and our organization. As an example of this, I found that our number of bookings had grown from a 8,000 to over 16,000 in just three years, with one staff member booking and managing all of those reservations. With that growth info, I was able to make a case to push clients to self book their reservations and cut down on the workload to my team. Now, of the 16,000 meetings, my staff books 40% of them and clients self book 60%.
  • I have been able to use utilization reports generated by EMS to influence decisions within my organization. The reports tracked when our rooms were utilized the most by room size, time of day, etc. With those trends I could show that our large rooms were being utilized 80-90% of the time and when I showed this to our leadership, they modified some of their meeting times and frequency. When planning for future upgrades to the medical center, they could show that we have a scarcity of conference space and make strategic decisions to increase conference and meeting areas.
