Act-On

If you have an existing CRM system, like Microsoft 365, you can integrate campaign automation with Act-On, and then it is worth most of the time it takes to get less-experienced employees on-boarded. In other cases that require more minimal use, the on-boarding may be too lengthy. In that case, it may be better-suited to choose a different SaaS that tracks campaign, ROI, lead scoring, etc.

GoldMine

It is good for small organizations who primarily just want to be able to easily track communications and store contact information. It does not work very well if you have multiple sales people contacting the same customers as a way to easily track each opportunity each employee is working.

Pros

  • Digital marketing campaign integrations, like Google Adwords, email tracking, other tools that track audiences, and website integrations like WordPress or Square Space.
  • The customer support, from what I've heard, is very good.
  • Integrations with other CRM systems make this really easy to add to a company's workflow.

  • Communication history for each contact
  • Easy to update contact information for each individual contact
  • Easy to look up and do a search for contacts

Cons

  • Program automation: the only feature I miss from Eloqua, which I used in a previous role, is the drag and drop canvas for building out a drip campaign. Act-On's functionality works perfectly, but the fact it's all listed in one vertical line makes it slightly more difficult to visualize the flow. Having said that, the tools are all there, it could just do with some extra visualization when it comes to making complex programs.
  • Website prospector. This is one of the features I use very heavily and although the new version recently launched is a big improvement, there's still room for more info. It's by no means bad, but I'd like to see some extra info in here.
  • Forms: Id like to see a more visual formbuilder, in line with the landing page improvements recently made. The form works great but are quite plain visually. This could be improved and remove the need for extra tools in WordPress/other programs.

  • The opportunity tracking could be updated to make it automatically entered into history
  • Feature to allow you to make changes to customer status or primary contact option
  • Feature to allow better tracking of employee contact tree

These features are the right-size for us. Period. End. We could go cheap and go back to how we use to "market" but that wasn't engagement and we didn't know what our members were seeing and interested in. Through Act-On we have an affordable and easy platform that hits nearly every one of our needs.

For me, the software is bought, so its in place and can't be switched off, although upgrading and keeping it up to date are important in my view. In common with a lot of companies who have invested in CRM over the last 10 years, there is also a cost to move away, thus although we have reviewed this, due in part to functionality requirements over the years, for the foreseeable future, we will stick with GoldMine. I suspect the main reason is it's now embedded and everyone knows it very well and that I 've found usually there is always a way to do something in GoldMine if i need too.

Usability

There are some parts of the program that are easy, and there are a lot of parts that aren't easy to use. I find myself calling Act-On Customer Support whenever I build an automated program to ensure I set it up correctly. The menu categories are all over the place and could use better organization. List syncing and segmenting can be a pain

Personally, perhaps I should give it a higher rating, but I do genuinely think it was very easy to pick up and run with, but I did have a full training session and of course was keen on using it. In my previous marketing role many years ago, I 'd tried to create an MS Access database and this has taken ages, so being introduced to the power of GoldMine really impressed. People have comments on it, but my opinion is its still fast and a great workhorse

For me, its always been there, no worries here about downtime or the internet being down or switched off. Having it on a laptop as well with Goldsync means I'm always able to updated my notes and then synchronise. This to me is one of the benefits of purchased on-premise software, it cant simply be turned off!.

Pretty good, Yes, there are occasions when i may think there should be an easier way to do things, but over the years, I've always found a way to get the information out that i want, sometimes just needing a bit of help from the technical team. Day to day,. it works for me very well.

Lots of information acquired internally and we have a host of contacts to ask who have had similar experience. GoldMine's new releases seem nowadays to be pretty stable and robust, which is very good, although the first issue of Premium Edition in around 2007/2008 was a bit buggy, it appears lessons were learned.Experience in software industry means that unless there is a great new feature, that we tend not to rush at upgrades, which means they tend to bed-down before we would upgrade to them.

I was originally trained by the UK distributor and then subsequently trained my self and had access to GoldMine consultants. In the long run, this saved me a lot of time really since I knew the product on an advanced/administrator basis and able to perform day to day tasks. Some things, still needed the consultants. The trick was with the training, I knew when I was out of my depth

Act-On had a lot of resources, and their staff was great at answering any questions I had to make sure we got started on the right foot. Looking back, I would have preferred some additional training sessions since we didn't have any previous experience with Marketing Automation and best practices.

Implementation

What impressed me most is that Act-On showed full committment in making our implementation successful, even when it required additional support from their team. This gave me a lot of warm and fuzzy feelings. Most other software software vendors are not anywhere close to being this responsive and effective

As I said earlier, to me now with all this experience, it is ensuring that you focus on two things:-1/ Ensure core customisations only are required until you get users started and embedded in using the system.2/ Ensuring users get some good level of dedicated training time, internal or external, but I feel this is best done in a group rather than at your own speed.Afterall, no one really customises their MS Word or MS Excel each time, they just ignore the bits they don't need or ask if they do need them

Alternatives Considered

Compared to SharpSpring, Act-On has it's act together. SharpSpring is obviously a value tool in comparison. Our major issue with SharpSpring was Salesforce integration; we constantly had issues with leads being re-uploaded, data changing or not changing when it was supposed to, or many other syncing issues that caused many headaches and a lot of clean-up time. I did prefer SharpSpring's anonymous visitor tracking and e-mail creation, but it simply wasn't worth the discounted price to deal with the headaches. The ease of setting up automation and integrating it with Salesforce made Act-On 100% worth the upgrade, and I wish we hadn't spent a few months trying to make something else work for us.

I have used Salesforce CRM, NetSuite CRM+ and Zoho CRM. I would say Goldmine is a much better tool than NetSuite, but the features of Salesforce and Zoho make it much better tool than Goldmine.

GoldMine, when maintained well has always been pretty reliable and in over 10 years, I don't think we've ever lost a day or more than an hour or so when we cant use it. Occasional a 'blip' will happen and you will have to log out, the only thing to bear in mind, which I'm not good at is ensuring you keep the mailbox to less than 2000 mails in your inbound box, I hover around 1800 and need to streamline this to get rid of my junk or notifications from LinkedIn groups for example when i mean to read, but never get round to it

Return on Investment

  • Able to easily create emails for marketing with great designs and responsive design.
  • Lead scoring gives us a better picture of who are best leads are.
  • Able to easily create landing pages for our website in just minutes, instead of hours and hours manipulating HTML and CSS.
Elizabeth Lepisto profile photo
  • Positive return because it makes it easy to organize yourself and view history with a specific customer.
  • The negative return comes with too much time spent searching and it crashes often.
