OpenAir PSA

NetSuite OpenAIR PSA is well suited for time tracking and project/resources management. This is what we use it for and it does it well. As it happens with such systems, it is as good as the data it has, so if the team members are not entering their hours, it can be useless. Some mechanisms to notify/"force" users to enter their data will always help.

Pros

  • Creating packet templates

  • Time tracking - OpenAIR covers the corner cases as well, like when end of the month falls in the middle of the week and people are require to submit the timesheets for the current month only
  • Project management - using the project team, assigning tasks and using the existing reporting can really help a project manager in doing his/her job
  • Reporting - many built-in reports and the ability to create custom reports.
  • Okta integration - very helpful for single sign on, especially for cloud applications as OpenAIR

  • Email notifications - as a project manager I need to be notified whenever team members submit their timesheets so I can review and approve/reject. Currently these notifications are a little more difficult to be set up.
  • Reviewing timesheets - whenever there is a list of hundreds to be reviewed and approved, I find it quite difficult to do that in a timely manner. Going one by one is needed but the information to be reviewed is not standing out, like team member name, project and task, hours. Not sure if this is possible through configuration or not.
  • User Interface - in many parts of the UI there is a usage of a popup window that displays way too many options. Some functions are only accessible from that popup. To me, this is something to be avoided/improved.

It all depends. We are still looking at moving our consultants to Oracle PAC, in order to get our financial systems in line (we use Oracle Financials currently). We are feeling a lot of pain with integration and segmented systems.

Ultimately,it depends on how much pain is felt there. OpenAir has given us a path to follow on from QuickArrow. I foresee either moving onto Oracle PAC by end of calendar, or staying on OpenAir.

OpenAir to Oracle integration is not easy. From a reporting and process perspective, there’s been pain from being in different systems

Aside from Reporting, where there is some room for improvement, the usability is overall very strong. In Reporting, you can get the job done for the most part, but it might take a lot of creativity to get there.

They were responsive and knowledgeable. We had access to a single point of contact and we could contact him via phone/email as needed. It was very convenient and it made it easy since that person was already familiar with how we were using the solution, our configuration, etc.

Online Training

We did a 3 day online remote course back in April. NetSuite prefers training to occur before migration. We went over the functionality of tool and three months later we migrated. Personally, I didn’t find it that beneficial. Certain parts of it were beneficial as they applied to me – talked a lot about invoicing capabilities that didn’t apply to me. They also have knowledge base / e-learning assets, but I haven’t referred to them

It went fine. Everything came over the way we wanted. In addition to migrating the current projects we wanted to migrate historical data – did that seamlessly. The finished product looked pretty good – just needed to tweak – and they helped us with that

Alternatives Considered

I've only used Salesforce before and am now using Conga ActionGrid. Although Salesforce is great, it is only used to log candidate information and then log actions that have been performed. With Conga ActionGrid, we are able to log more specific details about candidates, activities and follow up items. Conga ActionGrid provides more tools that would benefit many departments

Netsuite is a better and more scaleable solution for our agency as we have grown from just a few employees in 2001 to nearly 100 employees today. Netsuite helps us track expenses, time reporting, getting approvals on large purchases, project management from a personnel standpoint. It's also easy to use for the simpler tasks, i.e., remote access via the web and mobile app. versions.
