ActiveCollab

Active Collab is great for small teams who want a web-based project management platform to help them on their day-to-day workflow tasks, billing, estimations, vendor assignments and even client communications. It is also great for agencies with users who are sometimes remotely working. Active Collab starts to show shortcomings when you have an immense amount of projects in the system (1000+), and, being a web-based platform, can sometimes experience downtime.

Clarizen

Clarizen got the job done with time tracking and expense reports, but it didn't do enough to make our organization continue using it. We ended up switching because the key stakeholders (resource management) were unhappy with its offerings. This might be a good fit for smaller organizations that require less feature and capabilities. Instead, our company switched to OpenAir, which has more robust time tracking, expense reports, and PTO accrual and monitoring programs.

  • Very nice interface for all user roles in the system.
  • Effective notification of pending tasks and optimal management of the equipment.
  • Organized work flow, productive tasks and correct execution.
  • Creation of filters to better locate artifacts for daily use.

  • Resource Utilization, Considering prior to using Clarizen resource utilization was guesswork on the part of the Project Manager I would have to say having any realistic visibility much less the excellent level Clarizen provides is only to be said as exceptional.
  • Clarizen API, We made heavy use of the API integrating Clarizen with two core systems already in use at TCiCT. We integrated actual effort with Service-Now and our homegrown time management software.
  • Project Reporting, Clarizen provides an excellent built in reporting tool that as of late is only getting better with the ability to create custom dashboards directly through the software. Providing management with well laid out project metric data is as important as keeping your project on schedule.

Cons

  • It is confusing when a review is made, before buying the product.
  • It lacks animation and pleasant forms for the user.
  • Does not allow effective communication when activities are reported. Since it does not provide a direct message chat.
  • The reports that are generated are basic, they do not have personalization characteristics.

  • License structure supports anemic customization capabilities (Professional) or robust (Enterprise); nothing in between.

Clarizen is extremely user friendly, I didn't give it a 10 because to truly configure the system to conform to your organizations processes requires a bit more education. This is not a negative mark.

Sometimes it is slow when everyone is entering their time on Fridays or Mondays but other than that we rarely see downtime and maintenance notifications are well in advance.

• We worked with a Project Manager on their side. He was very good about developing a project plan to hit our goal. I think we had weekly or twice weekly calls – very steady cadence over 3 month period.
• Their PM skills were great – kept us on task. For the last week, they sent 2 people on site and they did training for power users. After that a couple of them revisited here

I performed the implementation with our Clarizen provide trainer, who knew the product 100% and it went quickly and without a problem. It was a pleasurable process without the problems other software implementation often encounter. Kudos to the Clarizen team for making this a worry free process for their clients because it is worry free.

Alternatives Considered

Certainly, each of them has a particular advantage, which in the end makes it unique. ActiveCollab also belongs to a group of platforms created to be represented in particular, its way of project management is superior to JIRA or Trello. With this software, the work is more controlled and organized.

Return on Investment
