Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams. Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Planview Projectplace

From our experience Planview Projectplace works perfectly well for small to medium sized distributed Lean or Agile teams developing projects where usage of Gantt charts is beneficial. On the other hand, according to our research Planview Projectplace is not an excellent fit for companies with huge user base i.e. thousands of concurrent users.

Pros

ActiveCollab

  • Great for project and task assignments, project workflow and communications.
  • Solid web-based platform that doesn't require software downloads, also includes great mobile platform.
  • Great reporting tools for managing billing, estimating, project workflow and other essential project details.
  • Allows for both the agency and its clients to interact on a single platform using role-specific permissions.

Cons

ActiveCollab

  • Individual comments cannot be linked to. This makes it more difficult to reference a comment or question.
  • Unnecessary features cannot be turned off. Since we use it primarily for communication, it would be ideal to turn off tasks etc. that are not needed or be able to move discussions as the first screen.
  • There isn't an easy way to set up different projects under the same client.

Planview Projectplace

  • It is quite pricey for smaller organizations when you compare the annual cost, there are many other solutions that can get the job done for less. In this regard, it is viewed more as an enterprise solution than a solution for any business of any size.
  • While it is a good project management tool, it can be overwhelming to use if you have a lot of tasks and project info to sort through since it is not as intuitive as other project management tools. You may need to have a dedicated person to keeping bigger projects organized.

We probably will renew our plan with Planview. When we first started, it was a little bit of a struggle because we had to train up the new hires on how to use this software. But after some time, everyone got the hang of it and really sees when it is such a great program.

The overall usability of Planview Projectplace was difficult to get familiar with, and the aesthetic seemed dated compared to minimalist solutions, and heavily refined tools of other software sets. Certain features such as Zoom integration and excellent cross-platform functionality were easy to use and powerful, but not enough to keep us interested.

Here and there we run into little errors, but overall everything works pretty smooth. When a project does have lot of data in it, it will lag and take a little longer to load, but I don't see these as issues. It can mean my computer is slow or even my internet is slow.

Similar to my earlier response, overall it does load quickly. When our project does have a lot of files in it, it does take a little longer to load. When running reports, they get finished in a timely manner. It does depend how much information that the report does have. But it is pretty fast overall.

The support team is responsive to requests and their annual support fees are reasonable. Honestly, we don't have to contact them much. Updates happen automatically and the platform is very solid and does not require a lot of support. Documentation is good and the platform is easy to learn.

N/A - I haven't used any of the support features. I haven't been in touch with our CSM, though I don't believe that they have reached out to us to discuss upcoming or new features since we have purchased the tool. The only time we talk to Projectplace is during our renewal phase.

I don't have any key insights on the implementation of Planview Projectplace, but we were very satisfied with how the software was implemented in our organization. We were able to hit the ball rolling. It took some time to setup, but once we were all setup, everything worked very smoothly.

Alternatives Considered

ActiveCollab

I have used multiple project management platforms such as ActiveCollab, JIRA, Trello, etc. Trello has great visualization with their (Kanban Board) board system and support drag and drop functionality for managing tasks. ActiveCollab, however, does not have the fancy visualization, but is very powerful when it comes to ticketing, task management, task delegation, time tracking, etc.

Planview Projectplace

There is no added hassle involved due to the availability of the mobile applications. Other than this, due to the collaborative facet of the software I can always make edits and update on the other end. Planview Projectplace has a quite easy user interface which is very easy to use for the non-tech personnel as well. Moreover, the software is intuitive and fits perfectly with all types of organizations, it can be a small business or a mid-sized company.

We haven't scaled this to a larger level yet, as this is still in one of our organizations. We do see the potential where it can be scaled to a larger scale, but we taking it one step at a time. This is the reason why I rate it a 9, we know the big potential but have not done it yet.

Return on Investment

ActiveCollab

  • It has saved us a TON of money (literally thousands) in project management software.
  • It has helped us gain clients because we can show them the template of what they will see and give them access to it. When others don't have software that does this.
  • Positive impact on ROI based on the time it's saving compared to our previous PM software.

Planview Projectplace

  • No one has the functionality of an operating system, such as Skype for Business or GoToMeeting which is very important.
  • Excel's export policy is very ugly and often contains more information than necessary.
  • I can't think of any points worth mentioning for improvement.
