Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams.Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Tenrox

We have discovered over the last few years using Tenrox that we could adapt our needs or processes to fit in the Tenrox box rather than adapting Tenrox to fit in ours completely. I feel like Tenrox would be better suited for a company that has fewer clients and projects over the course of a year, as well as fewer users. We have approximately 350 clients, 21,077 projects in Tenrox at this exact moment (we close projects as we can), 188 active users currently, and 415,635 tasks (some of course assigned to now closed projects).
With this much information hosted through the Tenrox cloud server, we experience increased lag time frequently. This causes a lot of unwanted rejection towards Tenrox in our company.

Pros

  • Very nice interface for all user roles in the system.
  • Effective notification of pending tasks and optimal management of the equipment.
  • Organized work flow, productive tasks and correct execution.
  • Creation of filters to better locate artifacts for daily use.

  • As a systems administrator, I enjoy the Tenrox system itself. I would say of the systems I have worked with in the past and those that I currently work with, Tenrox is one of my favorites relative to my current business needs.
  • Tenrox has a huge range of capabilities and options and its very easy to select and use particular components and ignore those that aren't valuable based on the need.
  • It is a well-structured system and once you understand the basic mapping it is very logical.
  • When our PMs and hourly resources are first presented with Tenrox they often feel overwhelmed at a glance, but the vast majority of the time after only a small amount of training they are able to use the system quite well.

Cons

  • I would like to supplement the mobile application with the functionality that the service has in the desktop version, for more efficient work.
  • Sorting projects and tasks is not always convenient, I would like to customize it for myself.

  • Tenrox needs improvement in the reporting area. It is extremely difficult to report off of and to pull individual or client reports. It's hard to enter projects to show up on the sheets and it's difficult to change project names where you enter your time in. There are other tools out there where this is a lot easier to enter specific line items and projects. Automated reporting is something that they also need to make easier and more efficient to install. It takes a while to get this going today!

I feel like if the user interface could combine time and expense for users to be entered on one screen rather than two completely separate locations it would greatly improve usability. If the expense entry process could be improved completely, it would greatly improve the usability as well. Everything else within Tenrox, makes everything very user friendly.

The support team is always very helpful and strives to ensure they have met your needs and corrected your issues in a timely manner. If they need more information or cannot recreate the issue themselves, then they will follow-up to gather the necessary data themselves. They are constantly striving to meet the needs of all users and understand so many different industries and types of environments out there, it is very impressive.

The main thing with implementation is to make sure you have taken full advantage of the "sandbox testing" site that Tenrox provides to you during development. Try out every scenario you can think of, have other people enter information if needed, so that you can make sure you have not missed any big items. If you have the opportunity, roll out implementation to small groups of users. Depending on how your company is set up, I would choose groups that are not all in the same department so that you can address questions across all areas before adding in more users in the next wave of implementation.

Alternatives Considered

ActiveCollab has all the functions that are in these services, unlike them. Not everywhere there is a diagram of gantt. And somewhere the interface is very rewarded and in general looks obsolete.

The Tenrox software looks and feels older and is not as user friendly! Harvest, for example, is an upgraded version that is easier to track and compile. This is what I'm comparing it to and it's not even close! We only selected Tenrox because it was cheaper and we had a connection in the company with someone at Tenrox to use that platform. We are currently looking for a change.

  • Tenrox has caused headaches across offices and the frustrations with reporting is huge. It's been great to have a starting point to track hours and try to see what is billable and non-billable, but after this was implemented across our company where are seeing the negative ROI as its been so difficult to pull these reports accurately across teams, individuals, and clients!
