Likelihood to Recommend

ActiveDocs

There are not a lot of competitors to compare this product with, but ActiveDocs holds its own as a very useful software for the need. I recommend doing a demo to see how the process works, but it's rather streamlined and easy to create a template and produce a document from it.

1) Attorneys' pages handling, where there are hundreds of existing litigations documents and we need to select some pages and create new ones.2) Filtering out sections of very long documents and create new ones only with the selected ones.3) Apply images to documents even signatures and logos.4) Office automation, especially manual forms evolving to electronic PDF forms.5) Consolidation of several document types such as Word, PowerPoint, Excel and many other non-MS Office into one single document.

Pros

ActiveDocs

  • Easy to use for basic users, extremely configurable for advanced users.
  • Deep Microsoft Word integration ensuring consistent document output.

Kofax Power PDF

  • It is very easy to use and straightforward for figuring out the basic and intermediate level usages. I was able to switch from Adobe almost seamlessly.
  • They keep the cost to a minimum compared to other options. As a smaller company, this allowed us to purchase the product for each of our employees and the cost has easily been paid off in paper usage savings as well as productivity.

Cons

ActiveDocs

  • The built-in template designs are a bit lackluster. While there are numerous, they all have the same blase style and formatting
  • The built-in template designs are not very diverse and could be expanded upon.

  • When saving as PDF using the Microsoft Office add-in, there needs to be a confirmation box asking if the user is happy to continue with the current settings or whether they need to be modified. There are too many times where I have forgotten to configure the settings beforehand and then realised only after the document has been converted. This is particularly painful when working with large documents as they take time to convert.

Usability

ActiveDocs

ActiveDocs 9.0

Very good usability overall. Any user can pick this up and run with it. HotDocs, the closest competitor, has similar end-user usability, but from a designer of templates perspective, ActiveDocs definitely has the edge in this regard. I would recommend this for any company that mass produces documents from templates as deliverables.

Most tasks are intuitive, but the ones, I have cited already. To get a 10, the Help file should be rewritten. It is not thorough, confused, and sometimes inconsistent.Menus are well structured, although the Page Rotated section of the ribbon looks a bit out of place.Recent files are well located front and center.

The software overall is very excellent. It responds quickly and produces documents well. The integration with systems makes data input easy. Questions can be designed to allow further expansion of template creation/customization. The rules section is very useful for complicated If/Than/Else style templates. Although experience and training help, the software is very user-friendly out of the box.

Support Rating

ActiveDocs

ActiveDocs 8.0

ActiveDocs can be a considerably complex product because your use cases can be potentially endless. In our experience, when we have come across a problem or issue with the product ActiveDoc's support has always responded to our queries within 24 hours. Support is only provided via email in 95% of cases. Each year your support and maintenance includes support hours. These are used when you contact support and your issue is not found to be a bug or problem with the product (completely fair and understandable). When we've identified or discovered bugs (mainly with the latest version of Word) it is patched by the next release. They typically release about 4-5 updates per year.

I have had to contact PowerPDF support on two occasions that I readily recall. In both instances, I worked with very high level technicians that truly understood the capabilities, features and use of their product. In both case, the resolution required several interactions with support and a lot of trial and error. The technicians worked with me every step of the way to get the bottom of the issue and determine the best way to move forward.

Alternatives Considered

ActiveDocs

ActiveDocs and HotDocs are very similar. HotDocs requires training or a technically savvy mind to pick up and run with. ActiveDocs seems much more user-friendly and easy to use. HotDocs, however, can produce some very intricate documents based on the templates. Both use rules and question-based information intake. Another benefit of ActiveDocs is its integration with numerous systems including Office 365.

I stopped using Adobe products primarily because I was CONSTANTLY being marketed to, both via email and through the products I already paid for. They were always trying to upsell me and get me to subscribe to more monthly/annual payment plans. I am sick and tired of ridiculous software subscriptions and would much rather make a one-time payment for "native" software that is not running in the cloud.

Return on Investment

ActiveDocs

  • Repeatable, consistent output ensures document generation isn't where time can be wasted.
  • Stringent logic ensures compliance and removes the opportunity for user error.

Kofax Power PDF

  • Power PDF has increased my ability to provide quality documents to my clients without working what software they use (Office, QuickBooks, etc.).
  • The learning curve for Power PDF was very short, which enabled me to get up and running quickly.
  • Power PDF is a lot less expensive than most alternatives.
