Be sure to ask about pricing. If I remember correctly the pricing is by processor core, which can get VERY expensive in a large organization with multiple locations. I would say Actuate would be best suited for a medium/large sized organization with 1000-2500 employees with a dedicated team of software developers. If the organization needs someone who can get up and running quickly developing reports and where it is not the primary responsibility then I would recommend an alternative product like Crystal Reports.

Adaptive Insights

We are a medium-sized holding company, and Adaptive Insights has worked tremendously well for us! We do not currently use it to consolidate our business units, but we plan on exploring that soon. If you find yourself spending numerous hours creating financial statements and budgeting in Excel, then Adaptive Insights may be for you! It saves us an exponential amount of time in variance analysis, refreshing financial statements, and budgeting.

Pros

  • The software can be tied to Actuate Basic which is much like MS Visual Basic and can provide an almost custom application feel to some reports.
  • Actuate had field movement tools that allowed a user to line rows up and disperse them across a report based off the width. Comparative tools like Crystal did not provide these.
  • The Actuate Server also gave easy access to review who had been running a report or reports via its web interface.

  • Adaptive handles the concept of "versions" very well. This makes budgeting, forecasting, and scenario planning particularly easy. You can compare actuals vs budget, vs budget @ different rate, vs forecast or vs prior year all at the quick click of a button.
  • Multi-user, multi-location, multi-currency handled with ease within the system.
  • Adding or removing GL codes, levels or dimensions is really easy and is updated across the entire model.
  • The reporting writing part of the solution is excellent. Once the data is in, you can report any parameter against any other.

Cons

  • Support for more databases, such as other BI tools.
  • There can be more graph types.

  • The in-house consultants who originally set up Adaptive were poor listeners - and as a result built a model that didn't work for my organization. I had to hire an outside consulting firm with more experience with nonprofits to redo my model. I lost about 1 year of usefulness as a result.
  • Mastering attributes for reporting takes time. The system can do many things, but not without lots of time and effort. I ended up hiring a consultant to build initial reports I needed. I'm comfortable enough now to edit and update, but still have some hesitancy building new reports. One difficulty I have is not knowing the impact a single change, such as the name of a field, can have on everything else associated with that named field or dimension or attribute. It would be nice to have a map showing the links between everything.

There are some very complex performance reports, which can not be handled in other tools. If we want to create our own framework in any reporting tool then Actuate is the best choice

Fairly easy to get trained on the system and how to build models. Within 3 days of hands-on training, we build out robust capacity models on our own. Reports and dashboards are drag and drop to create.

Support requests are always handled promptly and resolved favourably. Many user support requests arise during initial deployment and use and often represent questions relating to best methods or how to approach their particular situation, which we gladly assist with as we provide the appropriate skills transfer training and assistance. As clients become more knowledgeable in working with the product suite then they tend not to ask many questions.

Breadth of Deployment

Actuate is used extensively as a developemnt tool and by 10s of thousands of end users. Virtually every line of business in our large financial institution uses Actuate - many who are unaware because the components are built into our home grown applications.

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

Actuate has a HUGE number of features that can tie nicely into almost any ERP but it takes some time to learn and the development community was relatively small compared to the Crystal Reports alternative. Crystal was far easier to learn and had a massive support base. Probably because it is now owned by SAP.

We previously only used Excel for budgeting and reporting. We now use Adaptive for all budgeting and use an add-on product called Office Connect to build reports that automate our data each month. We find the Office Connect reporting a little more user-friendly than the in-house reporting feature.

Collaboration and Sharing

Engineers can share and collaborate building tasks - e.g. One develope builds the report design while another builds the query. But I can't pass in a requirements template from a spreadsheet to construct the report. Collaboration is still strongly based on comminication between stakeholders and engineers rather than through automation

This is one of the best features as personnel in different areas at different sites can work together on the budget, forecast or "what-if" models.

Data Integration

OpenText Analytics7.7

This was a feature of Actuate I almost forgot. You could connect to number of different data sources across the organization from Oracle to MySQL and just about everything in between. Also if you have multiple environments of the same system (DEV,QA,PROD) you can change the connection string each time you compile the same report to promote changes. This was easier then changing the connections in alternative software like Crystal Reports

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.
No photo available
  • Significantly decreased our budget cycle time. Fewer hours dedicated to running multiple excel scenarios for the budget season and more time spent assessing the overall assumptions/inputs.
  • Reduced our month-end reporting cycle to 2 days with forecasting ready.
