If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

I'm biased because I've used Crystal for so long and there's very little that I've needed to do that I haven't been able to do with it.I particularly like being able to write my own queries instead of having Crystal write them for me. With this feature, I've been able to do some very complex reports this way. I could have done most of these reports by linking tables together in Crystal and using Crystal's filter and suppression features, but putting the logic in the query means that Crystal is processing less data so the report is faster.Crystal is less suited for showing graphs, unless you just need very simple line or bar graphs. It's also not really suited to doing ad-hoc reporting for most users because it is more technical than some other reporting tools.

  • The report outputs can vary across different types such as HTML, PDF, and Excel
  • Their open source offering is very sufficient
  • There are great boards and blogs for developers and engineers to expand and use their features.
  • The people from the company that I've worked with are professional and courteous.

  • In addition to linking together tables and views from the database in order to get data into your report, Crystal allows you to write your own SQL queries using an "Command". This feature allows for the use of very complex queries to get data for your reports.
  • Crystal can connect to MANY different types of databases. It has native connections available for a number of them, including Oracle, and will connect to almost anything else using either ODBC or (less common) JDBC.
  • Subreports, when used correctly, are a powerful feature for bringing additional data into a report.
  • There are SDK's available to integrate reporting into either .NET or Java applications and websites.

Cons

  • Report rendering can take a long time for large reports (250,000+ pages) - we run these in batch over night
  • The deployment of production code from development to test to production enviroments can be complex due to the number of components that must compile

  • It would be nice if there was a way to search your .rpt files for a specific field or table using a normal search engine. There are secondary tools available for purchase but it would be nice if there were a way to do this without additional purchase.
  • When I first started using Crystal Reports the learning curve was steep. That being said I had never used a reporting tool before. I think if you are familiar with reporting tools the learning curve would not be as steep.
  • If you do happen to get an error message they are sometimes very cryptic and require internet searches to figure out what exactly is wrong.

If you're a technical user who understands databases, it's pretty easy to get up to speed with Crystal quickly. However, if you're an unsophisticated business user without database knowledge and skills, it's going to be very difficult to use.

The support community can be difficult to navigate. I've also run into issues with my login. The SAP system has a bizarre mechanism for validating users that requires users to have what is called an S-ID. A basic ID may not give you access to all the features in the portal. The limitation may include not being able to perform a simple task like downloading patches and updates. This isn't a big deal for single user license but for teams it can be a pain.

Breadth of Deployment

The design tool is useful for basic reporting, but many reports require some experience in SQL and JavaScript. Java programming, though not a required skill for basic reports, is needed for better reporting and to access the more advanced features (such as debugging).

It is not widely adopted; Crystal Reports is a niche that is allowed to co-exist with the Cognos corporate standard. If it came up for a vote, Crystal Reports would not be adopted.

We looked at a few other competitor's products but based on value for features chose Actuate for its total cost of ownership.

Excel has some competitive features with Crystal Reports, especially if you have it connected directly with the database, however, it's overall very different. With Crystal, it allows you to enter values before running a report to really compare between different parameters. It also requires a lot less customization to get results from.

Engineers can share and collaborate building tasks - e.g. One develope builds the report design while another builds the query. But I can't pass in a requirements template from a spreadsheet to construct the report. Collaboration is still strongly based on comminication between stakeholders and engineers rather than through automation

You can share reports fairly easy and provide users who have Crystal Reports options to customize the reports to their needs, or you can export to static PDF and basically share with anyone. It also provides export solutions that can be used by 3rd party platforms to adjust parameters and export as PDF.

While there are many options listed in the software for connectivity with data sources, it's not obvious how to set up these data sources properly. While it is possible to set up multiple disparate data sources and access the data in real-time it is not easy and there are no user-friendly wizards to walk you through it. Also, there are many newer data source options that are not available in Crystal Reports.

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.

  • Employee Empowerment - Now that our Crystal Reports are written and published, all of our team members have access to run the same reports across the company. Previously, there was only 1 point person in charge of running reports, which took a lot of time away from other job duties.
