It depends on extensibility, set-up, access & style. Actuate performs fairly well, but has performance issues because it sits on top of eclipse, which sits on top of Java. Extensibility usually comes at that price. Set-up is fairly straightforward and it can be secured.

SAP Crystal

I'm biased because I've used Crystal for so long and there's very little that I've needed to do that I haven't been able to do with it.I particularly like being able to write my own queries instead of having Crystal write them for me. With this feature, I've been able to do some very complex reports this way. I could have done most of these reports by linking tables together in Crystal and using Crystal's filter and suppression features, but putting the logic in the query means that Crystal is processing less data so the report is faster.Crystal is less suited for showing graphs, unless you just need very simple line or bar graphs. It's also not really suited to doing ad-hoc reporting for most users because it is more technical than some other reporting tools.

Pros

  • Actuate has permitted us to create stronger visualizations of data and customer data for our clients so they can make better decisions about the course of their businesses.
  • Birt Analytics integrates with Salesforce.com, Microsoft Dynamics, Xcel in a short period of time and permits stronger massaging of data and integration with better "what if"scenarios.
  • The ROI on this product is remarkable.
  • Employees who visualize the data and other components who have been questioning the direction of management change their focus upon what they can do to improve the company. Managers who are "micro-managers of data" actually begin to visualize where some of the sub-strata they have wasted time is impairing company results.
  • Customer support for their products is excellent. If you need support on site they are there when you need them.
Jeffrey Fischer profile photo
  • Customized reports are great because they not only allow you to tailor the data and results to you needs but also allow the flexibility of changing reporting structures if needs change.
  • Multiple user access and permissions are essential to control who has visibility to what data as well as providing a common hub for everyone to collaborate and communicate about the data.
  • Relatively inexpensive compared to other products out there. This really goes hand in hand with their customer support because you feel like you're getting a much more expensive product for the quality of the program as a whole.

Cons

  • Anything that I would consider an area for improvement and have asked about from the company is a area where they are already doing development and refinement and when it is available it comes as a simple upgrade.
Jeffrey Fischer profile photo
  • Although the reporting structure is highly customizable, it is essential to have a developer who is well versed in coding the reports for you in SAP Crystal Server. This isn't so much a problem with SAP Crystal because in order to get customizable reports, you really need to know how to work the system which is very flexible.
  • Data security needs to be tweaked within each report for different audiences and so if you need different vendors or deliverables to have different security settings, then you need to set this up within each report that you generate.
  • From what I hear about how the licensing model is set up, there is a bit of layering confusion. Apparently, once your business licenses the software, you must then create different licenses for various users and vendors. I could see this getting confusing especially with different add-ons and multiple users.

Difficulty with some extensibility that should be fairly easy, lack of shading in the reports (even simple phong shading), lack of out-of-the box capabilities that seem like no brainers and instability with the design tools all drop the product a few marks, but the support community and the overall product experience is well above average. It's at least worth a try and its extensibility makes it a good contender

Crystal is very robust, but not always easy to use. It create wonderful looking reports, and so deserves a high rating. However, I have to take a couple of points off for the simple fact that I cannot hand it to a user and expect them to be able to do development with it.

SAP doesn't actively support SAP Crystal Reports unless you have other SAP software, although good support is available from some SAP employees along with volunteers on the SAP Community site. (I'm one of the people who answer questions there...)

Just like any other implementation: When designing the differing reports, get end users' input, make sure to design the reports so that they display the information that the company requires, in the best and clearest way possible.
Test, test, test, revise when needed, and, particularly, do sufficient training so users are comfortable using Crystal Reports!

Breadth of Deployment

The design tool is useful for basic reporting, but many reports require some experience in SQL and JavaScript. Java programming, though not a required skill for basic reports, is needed for better reporting and to access the more advanced features (such as debugging).
Bri Gipson profile photo
It is not widely adopted; Crystal Reports is a niche that is allowed to co-exist with the Cognos corporate standard. If it came up for a vote, Crystal Reports would not be adopted.

Alternatives Considered

Actuate has been in the industry a while and the open source community make going with Actuate's BIRT a stable decision. Changing report engines can be expensive, so going with a company with a good reputation helps long-term
Bri Gipson profile photo
It offers a balanced set of features and flexibility with a relatively low cost. Database connectivity makes it very useful for statistical analysis of your data. It's all about impressing the clients or higher-up people, such as the boss and it does that definitely. The difference between creating dull reports and really nice ones is huge when you see what it can do for your business. Also, the feature of converting it to PDF or Excel makes it more powerful.

Collaboration and Sharing

Engineers can share and collaborate building tasks - e.g. One develope builds the report design while another builds the query. But I can't pass in a requirements template from a spreadsheet to construct the report. Collaboration is still strongly based on comminication between stakeholders and engineers rather than through automation

I am always working with real time data and Crystal works flawlessly as long as you uncheck the 'Save data with the report' option in the file menu. The Crystal has options to connect to all sorts of different Data types the one I use most often is ODBC and Crystal has no issues. If you have access to a SQL data base you can write your own queries to pull the data however you choose.

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.

  • Employee Empowerment - Now that our Crystal Reports are written and published, all of our team members have access to run the same reports across the company. Previously, there was only 1 point person in charge of running reports, which took a lot of time away from other job duties.
  • Increased Employee Efficiency - One of the Crystal Reports my company uses has allowed me to take a task that took 3 days to complete and cut the time down to 4 hours. There was a lot of manual data collection and calculations that were done, which has also led to less errors.
  • Accurate real-time data - Since Crystal Reports are very quick to run, we are able to give real time data to our customers rather than maintaining oudated databases in other systems such as Excel.
