If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

High level reporting is very good. However, when you try to zero in on things, it becomes more difficult to extract the information you are seeking. For example, I would like to be able to determine the next 5 tasks due in all projects across the board and be able to pull the comments for those tasks. That is not something I am able to do at present.

Pros

  • In terms of extensibility this is the best reporting platform we have seen. You can build very sophisticated reports with different data sources, and extend the basic functionality with javscript code
  • Securing the BI system is also a strength and the system can be configured relatively easily.
  • Reports can be available on mobile devices
  • Good Javascript embedding framework does not require the site to be built in java

  • Simplicity of the web page. Our non-technical owner was able to even create his own report.
  • The examples are a huge benefit to use a template for our own sales team.
  • The ability to export to PDF/HTML or Excel is very nice.

Cons

  • Limited report writing ability unless you implant the iServer applications
  • End users have little or no control over data displays

  • iPhone support (i know it is hard because of the screen real estate, but still that is the only way sometimes to view on the road).

Breadth of Deployment

We have about 2300 licensed users, but probably less than 1/3 actually log in during a quarter time. Less than 10% would be considered proficient users.

Alternatives Considered

Actuate has been in the industry a while and the open source community make going with Actuate's BIRT a stable decision. Changing report engines can be expensive, so going with a company with a good reputation helps long-term

Zoho Reports has the features that we were looking for -
  • Import of data from an API endpoint in JSON format (no specific schema)
  • Scheduled imports
  • Drag-and-drop creation of visualisations
  • Export of visualisations in PDF, CSV & Image formats
  • Fairly easy to use
  • Scheduled emails
  • Privacy settings per visualisation
  • Cloud hosted
  • Embeddable visualisations
  • Rebranding option
The best part is that these features don't cost us zillions of dollars. The pricing tiers are reasonable, and they provide a sufficient trial period.To top it all, Zoho Reports is not your entry-level BI tool. It has a comprehensive set of features that make it well worth the money, and more.We evaluated many other tools. In terms of features and ease of use, Tableau was the best. Zoho Reports came in a close second. Most others did not qualify our criteria - either because they did not work well with schema-less NoSQL JSON data, or they did not provide the kind of features we were looking for (e.g. embeddable visualizations, scheduled emails, rebranding).We chose Zoho Reports over Tableau because Zoho Reports comes with a better tiered pricing model.Not to mention, the Zoho Reports support team has been excellent!

Having more that one developer working on Actuate reports became quite a problem because once a report was compiled it was published to the server. The published file then could not be decompiled and the design files had to be stored in a particular shared location on the server. Also, I experienced issues leaving code notes in the SQL statements of the reports when I tried to compile them

Data sharing is excellent. I really like the ability to share with or without a password. Sometimes it is confusing whether I'm sharing with Zoho or the white label and the white label displays a blank page when I log in so I have to have the link to the data. Other than that this is a fantastic piece of software.

This was a feature of Actuate I almost forgot. You could connect to number of different data sources across the organization from Oracle to MySQL and just about everything in between. Also if you have multiple environments of the same system (DEV,QA,PROD) you can change the connection string each time you compile the same report to promote changes. This was easier then changing the connections in alternative software like Crystal Reports

It's easy to use and update. I like being able to have multiple data sources on a single dashboard. The multiple ways data gets into the system is very convenient and an excellent fit for the LeadMaster CRM. The step-by-step setup is great - the learning curve for getting data into the system is almost zero. I'd suggest a help button to teach people that if they have two different date formats they can convert the one(s) that came in as text into dates using formulas.

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.
