I honestly can't think of a situation where the system would be ill-suited to anyone. It's more appropriate for those who have more than one service to sell, I suppose. And it might not be as helpful when you're selling products (vs. services), so that would be one thing to improve.

This software is great for all service and class-based businesses. It's nice that your employees can log in when not on site to see upcoming appointments.

Pros

  • One strength is that it is fairly intuitive to set up. We tried some other systems and they were WAY too complicated compared to AcuityScheduling.
  • Customer support is awesome; professional, responsive, and thorough. They seem to genuinely care about my business and try to make it fun.
  • They are constantly upgrading and working on improvements to the system, including new features. They are always open to suggestions about what other things would be helpful or what I need.

  • Tracks the use of class packages purchased by students at our center. It easy for both instructors to use and for students to see where they stand with their purchased packages.
  • Tracks the number of students in classes to generate time sheets for instructors.
  • Generates helpful reports such as one for students who have not attended in a while.

Cons

  • I guess the design of the app could be prettier (I don't really care about design if the app functions properly.
  • I'm not going to say it needs to be more affordable - they offer a free version if anyone's upset about that. These people deserve a chance to earn your money and pay their bills too.

  • Improvement in the area of receiving purchase orders. If I want to receive and print out bar codes, I have to do one and click out of it, go back in and do the other.
  • When purchasing items, having take out the "add item" button, takes way too many steps to purchase something. A lot of our clients are in a rush.
  • Take away and add permission to distinguish ringing up an employee.
  • Al la carte permissions for employees.
  • The system needs to be faster, period.
  • Come up with a system that allows us to have things show up on sale when they are rung up instead of adding a promo code.
  • Before a transaction, instead of having people log in and out completely, have a 4 digit code that the employee types in really quick or scans so they can ring the client up and it goes under the correct name.

Usability

It's a pretty simple tool. You view a calendar. You determine if you can make an appointment or not. You schedule it. You show up. They do a good job making the application easy to use for both the user and the client. I can't really go much deeper other than that

I think that some of it is easy to use and see what you're doing, but the complexity and the amount of steps needed makes it difficult and requires a lot of training

Alternatives Considered

We also use Baritrax and CloudApp for scheduling tasks elsewhere. Acuity, despite its limitations, is much better. Again, I do not think we can scale across the organization with Acuity, but compared with the others, I would pick Acuity 9/10 times. The other tools are much more difficult for the end user and the content managers.

Schedulicity is better suited for scheduling appointments and not as useful for tracking class attendance and payments.

Return on Investment

  • Very inexpensive, so ROI happens very quickly
  • Embeds well on Drupal (with some customization), meaning we do not have to redirect users of the site.
