Adaptive Insights

It is well suited for mid-size companies to have a budgeting, forecasting, and reporting platform. The system needs data and someone to maintain it so it would not be well suited for a small company or one without a dedicated finance team.

Depending on organization size and the amount of data that you collect, that will strongly determine if this is appropriate for you. For less complex scenarios, I may suggest Excel/Google Sheets because you're probably already familiar with the tools. I only suggest it if you have more basic things to analyze.

Pros

  • Infinite ability to group accounts and departments for reporting. The only limitation is the number of ways that you think of in terms of consolidating the information.
  • Being able to build scalable, complex, distributed, budget models. With the data we can bring into the system and the formulas we can use we have all the functionality of the spreadsheet, but with the flexibility to allow leaders across the organization to participate and update their section.
  • The platform allows multiple forecast/budget versions which allows for version control and sensitivity analysis. I can lock versions from changes while quickly creating a new version to see the impact of a +or- scenario to the company’s profitability.
  • With the OfficeConnect tool we can leverage Excel to provide repeatable reports for the board and other business leaders that are repeatable from month to month. While the platform provides more flexibility than an accounting package it still has limitations. Using OfficeConnect I can leverage the power of the Microsoft suite of Excel/Word/PowerPoint directly.

  • Looker needs some improvement in the visualization aspects of the product, they are very good at getting the data, but the choices for visualizing that data are somewhat limited, there are workarounds for some of the weaknesses but they tend to be labor intensive and fragile. For example, there is no way to define a custom color palette for use in our charts, we could define a set of colors on an individual graph and tie those colors to individual values, but it's more trouble than it's worth.
  • Looker dashboards are an area where the needs often exceed the capabilities of the product. The dashboard layouts are done with a drag-and-drop interface which is not very responsive, and we often wind up with a dashboard that is "good enough" rather than what we were aiming for. This isn't a show stopper for us as the data is all present, but it can be frustrating.
  • Looker does not provide a lot of feedback to users when it is processing data or even when there is a problem getting the data (possibly because of user/modeler error), you have to know to look for little spinning circles to see that it is still "thinking", or know that if a dashboard shows "No Data Available" that you have to dig deeper to find out what the actual problem is.
  • Looker allows you to explore a large amount of data, this is both good and bad, it's great because you can probably find whatever you're looking for, but on the flip side, it's easy for users to get lost or overwhelmed with the number of choices they are being given.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Looker has been adopted company-wide, and Looker dashboards are displayed on screens throughout the office. It is the single source of truth, and as the company grows, so will the number of Looker users.

Alternatives Considered

We previously only used Excel for budgeting and reporting. We now use Adaptive for all budgeting and use an add-on product called Office Connect to build reports that automate our data each month. We find the Office Connect reporting a little more user-friendly than the in-house reporting feature.

We find Looker much easier to develop and manage. The LookML central data repository is far more robust and easy to use. The fact that Looker manages the server for you, means you never have any downtime. The other products have you managing all sorts of servers, which is a lot of overhead.

Looker's great about sharing, but collaboration could use some work. Sharing reports is pretty easy. Collaboration does not work on "Looks", but it does work in "Dashboards" and LookML modeling. Access controls are good if your model is built around it, but otherwise Looker could use a little more flexibility with sharing "explores" with users as opposed to entire "models"

Return on Investment

  • Month-end reporting: It's hard to say how much time Adaptive Insights has provided, but I can say we no longer have formula errors in Excel reports and refreshing financial statements every month only takes a couple of clicks.
  • Budgeting/forecasting: We have saved a tremendous amount of time in our budgeting cycle. After importing a budget in Adaptive Insights and setting up the model with formulas, we are able to copy the most recent budget version into the next budget version and review. Being able to budget in Adaptive Insights also removes the possibility of formula and linking errors that come with Excel.
