Adaptive Insights

Adaptive is very robust for expense planning. We have a lot of formulas and our personnel planning model is complex. There's an easy to use allocation model within Adaptive Insights that helps us manage our corporate allocations efficiently. We don't currently use Adaptive to forecast revenue, sales commissions or cash flow, so I am unable to comment on how adept the software is with these calculations.

Noetix

If you desire to 'empower' employees to create or edit their own reports, Noetix is a great tool, though I am not particularly an 'empowerment' person. In my experience most people have enough work of their own, so to tell them they now have to create their own reports can cause problems. If someone is available, like I am, to create the reports based on user requirements, then the report can be shared with the user and they can make changes as needed. I have several users who use the same report over and over for slightly different applications, and they are happy to make the small alterations, but creating whole new reports can seem like a daunting task. I tell my users I don't want them to become frustrated. If they want to try on their own, fine, but don't waste more than half an hour, and if you start to get frustrated, stop and IM me. Ninety-nine times out of 100 I already have a report that will give them exactly what they need. I've done extensive training, and find it's quite easy for users to pick up

Pros

  • It's very easy to import financial data from Oracle. We import values and transaction-level details. The import (called a connector) runs every morning but we can run it on demand. The import only takes about 10 minutes to complete.
  • Adaptive launched a new reporting tool called OfficeConnect a couple of years ago. We use OfficeConnect Excel and OfficeConnect Powerpoint for nearly all of our reporting. It's very easy to build and maintain reports in this tool. Additionally, updating the Board Book each quarter can be accomplished very quickly since most of the content for the presentation is linked to Adaptive OfficeConnect excel reports.
  • It's easy to train new users on how to use Adaptive Planning. The input sheets look like an excel file and it's fairly intuitive to use. Our users enjoy being able to use one tool to access historical and forward looking data and to run their own reports. They don't need to access Oracle to conduct research since it's all available in Adaptive.

  • Noetix makes reporting easy. Users can combine vtables (the Noetix term for its views), add or delete columns, add filters or parameters, sort, add totals to columns, all from an easy to use interface. It comes with a very large number of already written reports for all areas of Oracle reporting, but it also allows for custom vtables to be written, for Oracle or any database, to expand the number of available reports.
  • Noetix has an Excel add-in that is marvelous. It eliminates the need to run a report in the web application and export to Excel. The add-in can run very large reports, up to a million lines. Once a report is run in Excel, it can be saved, and then refreshed whenever needed. It's a really good tool.
  • Noetix is flexible. Joins can be added to existing Noetix vtables and also to custom vtables, to give users a large amount of data configurations to choose from. It also allows users to create calculated fields to any report.
  • Noetix is easy to administer. Users can be added or removed and grouped by the level of permission. Although, in our case, it validates against Oracle, the level of security is dictated by Noetix.

Cons

  • Adaptive is adding new features and functionality very quickly. There are typically 3 major releases a year. Sometimes when new features are introduced they really do not work as demonstrated in training. Adaptive should do more vetting of new features and making sure enhancements are ready for wide scale use.
  • Loading data from NetSuite for companies with multiple entities. Now when data is loaded its all or nothing. Sometimes there are changes to only 1 or two companies , it would be nice to have an indicator of which company data has changed and have the option to only load changed data.
  • Some additional security features would be helpful, such as being able to allow access to one user if they need to do a quick update to the system, currently this is based on user role rather than individual user.
  • As and Admin, having the ability to have in system broadcast notes to user, such as " Adaptive will close at 5pm PDT today" and users would get the message if they are signed in or the message would pop up when they sign in.
  • Navigating between sheets could be improved, currently this is done via links, but sometimes it a bit bothersome to go between sheets
  • The ability to change the currency view on a sheet. Currently a sheet will default to the local currency of a sheet, but sometimes you might want a quick view of the sheet in USD. This is not possibly you have to run a report to see the USD conversion.
  • Being able to access reports from the dashboard. Dashboards are great for quick analysis but sometimes you have more meaningful data on reports. If you can put a link on the dashboard to reports this would be helpful for users.

  • I like the fact that the output is standard, but I would like to be able to move columns around on the output screen, rather than having to go back to the editing screen, move the columns, then rerun the report.
  • Drag and drop of columns would be nice on the edit screen. Currently if you add a column to a report, it automatically goes to the bottom. Relocation of the column has to be done a line at a time. I would prefer to be able to grab the field I want from those available, and drop it into the report where I want it.
  • When adding a filter (or parameter), the available fields automatically come up in alphabetical order, but on the columns screen, they don't. They come up in the order they actually are in the query. That means, when creating custom vtables, to have the fields in alphabetical order, one must put them that way. It would be nice if Noetix put the fields in alphabetical order for the user.

In our experience the Adaptive Suite is quick and easy to deploy. Most implementations are facilitated in just a few weeks but may range depending on organisation complexity from say 2 to 12 weeks with only the very largest and most complex taking a little longer. When key stakeholders are properly engaged and the opportunities for skills transfer are exercised, we find that implementations proceed well and are delivered on time and to project budget

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

We had meetings with several industry leaders and Adaptive was our choice in the end. We liked IBM and also liked Host Analytics for different reasons. In the end it was the combination of cloud, Excel add-in, Office Connect, Discovery, and cost that would ultimately end up with Adaptive. I've used a few similar BI products and it has become my tool of preference. One of the best things about Adaptive is that they are committed to being the best, and to do that they must evolve and enhance the products different modules, I have seen many updates while using the product and I can say that they are making impressive enhancements on a regular basis. I'm very excited to see where they will be in another year.

I believe Noetix is much easier to use than either Crystal Reports or InfoMaker. When I worked with InfoMaker I used to say it took 5 minutes to get the data and 5 hours (and sometimes days) to make it look good. The same can be true for Crystal Reports. Noetix has a standard format, and most people export to Excel anyway. Who prints reports? So formatting is not all that important.

Noetix has individual user licenses, but sharing reports is easy. It has subscription capabilities so reports can be sent hourly, daily, weekly, etc., to a distribution list. Using the Noetix Excel Add-in allows for sharing entire spreadsheets with people, and they then have the ability to refresh data when necessary without having to login. Security is very good, and easy to set up and administer. Report formatting is automatic, which for me, is a huge plus.

Gathering data from different sources is easy, and merging it together is seamless. Users are granted access based on job description, so making the correct data available is not complicated. Setting up new databases and connections is straightforward. We use a single system login which keeps it easy and uncomplicated. Reports also run quickly.

Return on Investment

  • Our use of Adaptive could be expanded to bring greater ROI to Customer Service, Sales (especially with a better integration with Salesforce) and even Engineering but our own resources haven't allowed for this. I think that running your pipeline through Adaptive to model the true financial impact of prospective deals would be a great help in both your cash planning and in mapping your potential incentives to the Sales team.
  • Adaptive has allowed us to produce our Board packages with no additional outside resources. We anticipate this being even more streamlined once we can integrate Adaptive Connect to update our presentation automatically.
  • By providing an accurate and forward looking cash flow report, we can better manage our investments to maximize our return without the risk of short-term cash shortages.
