Adaptive Insights

We are a medium-sized holding company, and Adaptive Insights has worked tremendously well for us! We do not currently use it to consolidate our business units, but we plan on exploring that soon. If you find yourself spending numerous hours creating financial statements and budgeting in Excel, then Adaptive Insights may be for you! It saves us an exponential amount of time in variance analysis, refreshing financial statements, and budgeting.

The tool is fast, visually attractive and intuitive to use, but we also have an implementation of Qlik Sense and Pentaho pales in comparison to the overall capabilities. I recommend the tool, but everyone’s solution need is unique, so it may not be the right fit. Larger tools like Qlik are more versatile and easier to recommend. More expensive, yes, but you usually get what you pay for.

Pros

  • Adaptive handles the concept of "versions" very well. This makes budgeting, forecasting, and scenario planning particularly easy. You can compare actuals vs budget, vs budget @ different rate, vs forecast or vs prior year all at the quick click of a button.
  • Multi-user, multi-location, multi-currency handled with ease within the system.
  • Adding or removing GL codes, levels or dimensions is really easy and is updated across the entire model.
  • The reporting writing part of the solution is excellent. Once the data is in, you can report any parameter against any other.

  • Being able to use the OLAP Analyzer tool saved our organization a lot of time in not needing to develop an OLAP tool on our own.
  • The ability to customize the tool and integrate all the internationalization we required was pretty straightforward.

Cons

  • Users need more visibility for external reporting. If this already exists, then I would suggest more training or webcasts that cover this topic.
  • On the sales side of things, I would suggest ensuring that your NEW users are aware of the amount of training involved in learning to be an ADMIN for Adaptive Insights. Users need to be able to move beyond the implementation to active use. Yes, Adaptive makes things easy, but only if you know how to write the formulas and set things up correctly to run in the background. Hands-on training is a must! Our implementation was 3 years ago, though, so maybe things have improved somewhat since then.
  • More problem/solution-specific forums for users to interact with each other and find new and better ways of handling unique issues. Since Adaptive is so flexible, it often takes bouncing ideas off others to figure out the best way to plan for certain types of revenue or expenses.

  • Data Visualization. Provide richer library of data visualization capabilities. Ultimately the dashboards are the end result of all the hard work done at the back office. Yes, Pentaho has a lower TCO compared to other Products but richer data visualization capabilities would make it a winner! Pentaho has overcome this limitation by allowing external charting engines to be integrated with their product suite, but more needs to be done to strengthen core Pentaho Data Visualizaiton capabilities. Alternatively the external charting engine capabilities need to be documented and evangalized.
  • Alternative to Mondrian. In our case we needed to analyse data for a million subscribers over key performance areas like Churns, Activations etc. In these scenarios semi additive measures needed to be calculated and presented in a report across days to years grains of time. In such scenarios the Mondrian based ROLAP capability did not scale up to our expectation. Pentaho needs to address such issues and fast.
  • In the world of R/SAS/SPSS its hard to find use cases where WEKA was used in Production environments to solve a business problem. We would have needed some hand holding to replace our R/SPSS code to WEKA and help us build newer alogorithms on this platform ground up.

Adaptive Planning is intuitive and it's easy to train our users since the database looks a lot like an excel spreadsheet. I've been an Admin for five years and it's easy to maintain the system (setting up users, adding new accounts/cost centers, adding new mappings, controlling access, etc.). The consultants at Adaptive Suite are very accessible and we've engaged them on numerous occasions. For instance, we used consultants to assist with implementing structural changes to our organization (we added legal entities) and with modeling corporate allocations when new allocation functionality became available.

I would have liked some hands on help in trying to match what Customers were already used to. Plus having a team of Java/BI folks was difficult to assemble since what required to be done in an object oriented fashion could have easily been done via a SQL construct. This hash of technologies was difficult to manage.

Course Taken: DI1000 Pentaho Data Integration FundamentalsSetup A week before your class started, the instructor will start sending out class material and lab setup instructions. This is helpful so that you understand how the environment is laid out and can start reviewing the content. Ultimately it saved about a 1/2 day trying to setup with 10 other people online which was great! The CourseThe 3-day course was laid out like many other technical classes with 15-30 minutes instruction and 15-60 minutes of lab exercises. The instructor was very knowledgeable with the functionality from version to version and answered questions as we went along. I was amazed at some of the functionality that was available that I was not using at the time and quickly implemented changes to many existing transformations and jobs. The novice users seemed to catch on quickly and more experienced users explained how some of the functionality was used in their home environments. Towards the end there was enough time so that we were able to ask very directed questions about our own environments. Overall, I really found the class to be informative and deliver enough information to be dangerous. My skills improved and I was able to design better and efficient transformations for the HIE. In our experience the Adaptive Suite is quick and easy to deploy. Most implementations are facilitated in just a few weeks but may range depending on organisation complexity from say 2 to 12 weeks with only the very largest and most complex taking a little longer. When key stakeholders are properly engaged and the opportunities for skills transfer are exercised, we find that implementations proceed well and are delivered on time and to project budget

Get the right people in before starting implementation. Start small and build as you go approach is time consuming and involves lot of rework.Evangalize within the organization the capabilities and limitations equally so that correct delivery expectations are set.Set expectations with the Customer that the tool cannot replace proprietary software in terms of stability/usability and that timelines could change given the new ness of the product.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

I have used Hyperion, Prophix, and an internally-developed Access based solution for budgeting, along with Excel. I honestly never want to be in a non-Adaptive environment again. It has most of the flexibility and ease of Excel, without the version control and linking issues that come along with it. Since it's hosted, budget managers can log in easily to update their budgets and see their monthly financial results. The Finance team can maintain the system internally, without having to request assistance from IT. And with Office Connect, creating and updating reports is so fast and easy, it saves so much time we used to spend manually updating and linking new files.

The access control capabilities are generally sufficient, but not stellar. Most of the data sharing and access control is managed completely through pentaho's BI server, and there doesn't seem to be super strict security around the configuration and setup of permissions, who can view what reports, etc. The dashboarding capability of "putting a bunch of reports together" is extremely clunky, it's something we steer clear of trying to implement where possible.

Return on Investment

  • Our use of Adaptive could be expanded to bring greater ROI to Customer Service, Sales (especially with a better integration with Salesforce) and even Engineering but our own resources haven't allowed for this. I think that running your pipeline through Adaptive to model the true financial impact of prospective deals would be a great help in both your cash planning and in mapping your potential incentives to the Sales team.
  • Adaptive has allowed us to produce our Board packages with no additional outside resources. We anticipate this being even more streamlined once we can integrate Adaptive Connect to update our presentation automatically.
  • By providing an accurate and forward looking cash flow report, we can better manage our investments to maximize our return without the risk of short-term cash shortages.

  • Because of the security issue we have had to spin up an additional reporting portal using another vendor. This means we have two reporting tools that we must maintain and support.
  • Since Pentaho is used by a limited audience it gets sidelined as a solution that requires our customers and partners to access their reporting via the web.
