Adaptive Insights

Adaptive is great if you want to create many what- if scenarios when budgeting and forecasting. Staffing scenarios has been particularly helpful for our HR department when analyze staff needs for future years and analyzing open and unfilled positions over a certain time frame.

Every so often Adaptive's response time when in the system has been slow but Adaptive has rolled out the Elastic Hypercube to take care of that issue.

For mobile and multiple users, this is a good platform that doesn't need much customization. Pricing is ok. The biggest feature it is missing is the compatibility to go back and forth with the desktop version - if it had this I would highly recommend it.

Pros

  • Adaptive handles the concept of "versions" very well. This makes budgeting, forecasting, and scenario planning particularly easy. You can compare actuals vs budget, vs budget @ different rate, vs forecast or vs prior year all at the quick click of a button.
  • Multi-user, multi-location, multi-currency handled with ease within the system.
  • Adding or removing GL codes, levels or dimensions is really easy and is updated across the entire model.
  • The reporting writing part of the solution is excellent. Once the data is in, you can report any parameter against any other.

Cons

  • Adaptive frequently releases software updates. I would like to see the company offer improved training on new features. Even though Adaptive holds a webinar following each release, it's very fast-paced and high-level and I don't learn much about the new functionality. It would be helpful if Adaptive could hold several webinars when rolling out updates, with each one focusing on just one of their products so that they could do a deeper dive on the enhancements.
  • While I very much enjoy the reporting enhancements offered with OfficeConnect, it's very easy for your spreadsheet to go sideways, meaning your rows suddenly become misaligned and the report becomes unusable. When this happens, it would be nice if the 'undo' option actually worked, but it generally doesn't. More often than not, it's faster to re-create a report from scratch rather than to try to repair a broken spreadsheet.
  • When working in Excel OfficeConnect, it's very frustrating to only have one spreadsheet open at a time. This isn't how most users utilize Excel. I would like the ability to work on multiple files simultaneously.

  • Invoice capabilities are limited - for example, % completion is not available.
  • The speed of the system is slower than desktop. When a transaction is saved, the window refreshes, rather than staying where the user was.
  • Having the separate pages in the bank register is slow - it would be better to have all information available at the same time, without having to go to another page.
  • Bank register should be able to be sorted by any field - check #, amount, etc. and in the entirety, not just on that page.
  • Unable to create a deposit to the bank - must be done through the bank download.

It like the product 'right out of the box' and I trust Intuit will continually improve it over the years based on my experience with their desktop products. The large providers of Apps makes customizing the entire package relatively easy and seamless for a wide variety of business types.

Adaptive operates like Excel and most business managers know Excel. Most of the effort and lift reside with the managers. There is more of a technical expertise required for maintenance, dash-boarding and report writing. But, the admin staff are fewer and can be staffed by subject matter experts.

The ability for us and clients to both be in the system, see the entries each of us have made and also direct a client to certain reports and views is very helpful as compared to getting an accountant's copy or getting a date in time copy that then needs to be uploaded by the client after we make adjustments. Still, the in ability to prevent someone from deleting an entry without knowing who or what was deleted is frustrating.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

Other than Excel, we did not look at other systems. Key for us was also a bridge or link to our current ERP system, Intacct. I also researched retention of customers with Adaptive. I could not find any vendors who left Adaptive. Strong retention.

QuickBooks Online (QBO) is a decent product that has some limitations. On the surface the product pretty much does what it is suppose to, however there have been some occasions where clients stated banking information was not imported, or imported incorrectly, the software was operating at a slow pace, and the add-on integrations were a problem. Depending on your needs a look at one of the other cloud based accounting softwares may be warranted

Return on Investment

  • Streamlined financial reporting is the obvious one but also we are happy with the products ability to keep up with our use. We are growing rapidly and adding business units and we are able to easily add to our org structure and not be slowed down by arduous remapping of Excel files, and the maintenance that goes along with it.
  • KPIs and dashboarding. This has always been high priority at my company but it was always Excel based. Now we use Adaptive and the metrics are more readily available and the ability to display them in dashboards will continue to evolve.
  • Long term financial modeling and improved modelling of HC and attrition. We are now able to sit down with functional leaders and determine the impact of attrition during a short meeting, something that used to take for longer.
  • Multi Version instance that allows for what-if-scenario's. We are also able to create groups, which in turn are given access to specific versions, so we can plan for attrition or we can plan for acquisitions and not be concerned with the security and also not be concerned with modifying or changing a forecast by accident.

  • Great return on its cost. Replaces the need to use expensive accounting services.
  • Payroll service also a great value. In most cases, you get excellent support (sometimes hold times are long).
  • Allows us to manage most accounting functions internally.
