ContractZen

ContractZen is perfect for a team or SMB use case. We use it to store all contracts: HR, services bought, subcontractors and sales. The benefits are somewhat different for different types of contracts, but having all in the same place is a benefit in and of itself.

Pros

  • Security - whilst no security measures are without their weaknesses, the protection of our documents and web assets afforded by Acrobat DC does allow us to have a greater level of control over content we release to some of our clients and customers.
  • Ease of use - the tried and tested Adobe interface is relatively intuitive and easy to use which is definitely an advantage when training new members of staff.
  • Universality of the format - I know this isn't something that's specific to Acrobat, but they are, in my opinion, market leaders when it comes to pdf creation and editing. We use a range of other Adobe products and being able to deliver information to clients in a way that they can always access without needing to invest in Photoshop or Illustrator is invaluable.

  • The easy storage of contracts is important. Easier than a shared hard drive folder or a jointly administered Excel sheet, both of which we tried to use in the past.
  • The alerts of key contract dates is crucial. Knowing what needs to be terminated or at least considered has saved us money.
  • Simple signing of contracts electronically has saved us money in getting from an agreed to contract to a signed one in minutes.

Cons

  • Some of Adobe Acrobat's features do not work on scanned PDF files. That makes them very difficult to edit.
  • Sometimes my browser will hang up when trying to open particularly large PDF files.
  • The download of this application is bit difficult as it takes some time to download.

  • The iPhone application is underpowered, I suggest using the web version also on mobile devices.

The data is stored and presented in a logical fashion. The main screens are straightforward and simple. The email to sign -functionality with the signing directly on a mobile device is easy enough to get some real traction.

The capture of the new contracts is more important than the old contracts, somewhat counterintuitively. Once you start saving time using the electronic signing and retrieval, adding old material is easier. Old material additions fit our annual schedule as we've done them during periods of less administrative work.

Alternatives Considered

I use Adobe Acrobat Reader on a daily basis according to my business requirements. But till now I did not find anything to dislike in this software. I complete all my designated tasks easily and on time with the help of this software. It is a good product; this software multiplies the productivity of any employee.I personally like all the features of Adobe Acrobat DC because you can do all your tasks with one software, like editing, creating PDFs, etc.

Return on Investment

  • It allows us to adjust forms to our needs. So we can change the wording from one department to another without having to create entirely new forms.
  • Creating fillable forms allows work to be done quicker because you don't have to mess with formatting due to filling in.
  • We can lock the forms so we can send to people outside the organization and not worry about terms being changed.

  • Some of the alerts have saved us money as we've been able to terminate SaaS services prior to being billed for yet another year.
