The key question to a client would be to ask if they want to be able to do their own web site site maintenance without the need of software. The added benefit of the CMS is that it also comes with the CRM, e-Mail campaign capabilities, reporting and much more.

One of the best use cases for SharePoint is for a document repository on the web where multiple users, in and out, of a corporate network need access to edit and view specific documents. We have bi-annual meetings and throughout the year users place documents on the SharePoint site. Once the first round of documents are posted we can then share them out for other program areas to add and change. SharePoint is perfect for this because all of the changes are tracked and can be reverted to avoid costly mistakes or even loss of the document. We tried to use SharePoint as a distribution site for several non-changing informational documents and the end result was that we wasted a lot of time posting these through SharePoint without the need for any collaboration. Basically we spent more time making SharePoint fit our needs for something that was best suited for our traditional website.

Pros

  • As mentioned previously, we use the Content Holder module quite often because of the ability to place any html content that is prone to being frequently edited. It simplifies the process and allows us to simplify our templates.
  • We also like the ease of the Photo Gallery and how simple it is to either add or remove photos from the gallery once it has been placed.
  • Media Downloads seems to be a very helpful resource. With its ability to be categorized both by file type and customized categories within the web site and then placed by category also helps us streamline document placement especially when there are large number of those resources to organize.
  • News is obviously a much needed resource and it is simple to add news items, classify them and place them on template pages where they are fed. It is one of the easiest items to teach new clients how to manage.
  • Web Apps is our most prized module because of the ease of creating a database, then being able to style the output in any shape form or fashion.

  • The site creation is about as out of the box as you can get without actually putting your content into it. This is a big time savings for us in that we don't have to create a site from scratch.
  • The logic is built in and familiar. Since we are already using OneDrive for Business this was an easy transition for our users to understand.
  • One of my favorite features that SharePoint does well is that the permissions are fairly easy to understand even when you are granting access to people outside of your organization.

Cons

  • The Web Forms is very helpful and easy to create. Placing the forms is simple especially when inserting as a module. The problem comes after placement. It is time consuming if there are any edits that need to be made to the form. For example, if you are in the U.S., you typically do not want other countries to show up on a dropdown menu. It would be great if BC would allow you to check the countries (or states) that you want to be active. Also, often times within a web form you may want to include to separate address fields. That is not allowed unless you go back and do custom editing for the forms. "Workarounds" are typically possible but for the designer, anything that adds time to the process also cuts down on profitability.
  • Where we enjoy the ease of creating Photo Galleries, we also don't like the fact that you can style the output like you can within other module templates. For example, many clients would like to offer better descriptions and even style the descriptions. If displaying a photo from a art museum, you may want to give the proper title and that would include italicizing the name of the artwork.
  • One of our biggest pet peeves is the fact that BC only offers the European date style when displaying that dates in the modules. You should be able to check a box on which date style should be shown.
  • On Web Apps, almost everything is fantastic EXCEPT for the ability to sort web app items by date. If I wanted to create a calendar of events based on a web app I want to create, I would want to be able to display those items in chronological order.
  • The Event Module is great except the way it uses a quirky form to process payments and reserve events. It should behave more like an ecommerce solution where the form is easier to fill out, customize, submit and process.

  • Forms, forms, forms. We have been forced to use a third party system for data collection, as the form scripts in both 2007 and 2010 versions have been unusable.
  • Browser incompatibility is still a major problem. Get used to using Internet Explorer if you want the most out of Sharepoint, as Chrome and Firefox all present editing snafus, especially when attempting to edit content areas.
  • Fickle navigation errors. Writing and deploying a multi-level navigation menu has caused many headaches. Although Javascript and other languages are largely compatible, it isn't always easy to "plug and play" your working scripts into content areas or navigation panes and expect it to work so smoothly.
  • Site optimization. Sharepoint tends to add a whole mess of unnecessary code with each press of a WYSIWYG button, or even if you simply check in after hand-writing a large chunk of content code. Extraneous code is dropped into content areas whether you want it there or not, which greatly reduces how optimal the page is read by search engine spiders, so if optimization and site validation is important to your site, you might want to use a different tool than Sharepoint.

Overall it is a "plug and play" interface. The majority of the work is done in other software interfaces. Managing billing, user roles and custom reports are all that you need to manage in the actual BC user interface. For my business this is an incredible benefit as I have to leave my preferred software less.

While a little pricy at $10 a month (the other plan isn't worth it), if your team can afford it, MS SharePoint is totally worth it. It is one of the best apps for what it does, beating DropBox and Google Drive in plugins, functionality, and third-party support. And SharePoint also is easy to learn, since it lives in the MS ecosystem.

Return on Investment

  • Well you can't really beat consistency throughout an entire family of programs. Adobe in pretty much uncontested in this arena.
  • If you are a designer, you will need these programs at some point. It is a depressing fact, but Adobe has the absolute monopoly in the business. If it is any consolation, they make excellent programs.

  • The project control processes are automated. A better control is carried out with the versions of the documents, which avoids errors for the purpose of sending information.
  • The integration between departments is vital for the company and more when you have employees in offices in different countries. The workflow is significantly streamlined.
