Adobe Experience Manager

If you have a number of smaller parts of your organization that you want to maintain the same look & feel as the rest of the organization, it is easy to create a base site and then let them customize. Also, if you have contributors of content who are not involved in the web site maintenance - our professors, for example - they can enter the text on a basic page which is then incorporated through tagging

M-Files

M-Files is well suited for a step-by-step process that involves changes to documents. Such as a document approval process. Specifically in the way that we currently use IT for contracts, which involves revisions and approvals by multiple people, tracking of milestones and important dates, and management of associated insurance requirements. We also have a trip application process that I would love to integrate into M-Files. This would eliminate the need for multiple people to print and sign a document to show their approval. The approval could be granted within the same system and then the application moved to the next step in the approval process. An example of a less appropriate use - M-files would probably be overkill for a simple repository of data/documents that only one person needs to access. Although if I already had M-Files I would probably use it anyway.

Pros

  • It's a drag and drop kind of platform, so building pages is very easy and you don't need coding abilities.
  • The ability to copy existing blocks and section from other pages is excellent! Instead of creating content from scratch, you can actually copy the section you want from an existing page, and paste it in your new page and update the content. This saves a lot of time!
  • The block/brick system is very clean and the results look very good!
  • You can easily embed videos from Youtube only by adding the Youtube ID. Very easy!

  • Very user-friendly interface.
  • Quite easy to configure.
  • Extremely powerful user access rights management, including access based on document metadata.

Cons

  • The move to the new interface for authoring is drastically different from the previous interface. Moving has been difficult.
  • Since it is so customizable, a talented web dev team is needed to make all the parts.
  • It is not easy to tell if the page is live or draft in the new interface.
  • Integration with non-Adobe marketing automation tools is very difficult.

  • Add comments to read-only document.
  • Minor improvement - posibility create a new document based on existing document (not copy, just duplicate common metadata).

Likelihood to Renew

I'll continue to use this product for many years. Adobe is making it clear they are taking customer feedback seriously and there continues to be growing demand for Adobe CQ implementations. As a developer, I find that there is still lots of room in this platform to try new techniques and really keep our implementations up to par with the latest standards.

M-Files works best when you make the commitment to completely transform your current document storage system into a dynamic content management system. You can do this in phases, one department at a time which can help companies who are unsure about taking the plunge. M-Files is very flexible and can be easily integrated without lengthy implementation and training. I gave M-Files a 9 for renewal simply because there are no guarantees. We have found M-Files very useful within our organization

Usability

I personally feel that AEM is very intuitive to use from an authoring standpoint. The entire CMS was engineered around the author. Everything about AEM is geared to helping authors generate and maintain content. There are ways that tool tips can be customized so that any individual could simply hover over and be guided step by step on how to author web content

Easy to use. simple. Does everything I need it to do. Makes my job easier and saves me much time in generating proposals. It helps me keep track of those proposals as well as being able to look up contact information on an account and contract agreements at the click of a button.

I noticed some lagging with the integration with Microsoft Office but not so much that I would not use it. It has gotten better with updates. to be fair the issues were when Office 2013 first came out.

Implementation

Depending on your individual needs, It is really quite simple to create an authoring experience for a website that looks really good. I have been part of many implementations and many teams and have seen many projects that were super successful and others that were not implemented well. AEM has room for a lot of flexibility in the implementation process compared to other CMS like SharePoint

Alternatives Considered

We have used both Hybris and AEM, Hybris for e-commerce site and AEM for front facing site. Generally we prefer AEM due to the ease of use and user friendliness, as well as improved interface

We compared M-Files to Blackbaud and decided to go this route because of the complex nature of our process and a document management system that was non-existent. We believed M-Files was the best solution to tackle this challenge
