Adobe LiveCycle ES4

We use PDF forms for our submissions to the USPTO as well as for obtaining signature documents. With LiveCycle, I can update forms, save them, load them into my docketing database, and have them pre-populated with data. This process ensures continuity, less chance for error, and the ability to save the paralegals time when it comes to preparing filings.

M-Files

M-Files is well suited for a step-by-step process that involves changes to documents. Such as a document approval process. Specifically in the way that we currently use IT for contracts, which involves revisions and approvals by multiple people, tracking of milestones and important dates, and management of associated insurance requirements. We also have a trip application process that I would love to integrate into M-Files. This would eliminate the need for multiple people to print and sign a document to show their approval. The approval could be granted within the same system and then the application moved to the next step in the approval process. An example of a less appropriate use - M-files would probably be overkill for a simple repository of data/documents that only one person needs to access. Although if I already had M-Files I would probably use it anyway.

Pros

  • Ease of use for end users - the forms made from LiveCycle work flawlessly
  • Adding sections dedicated to pictures or other elements - there is some room for design here
  • Variety of choices for types of input to be added to each form and many options for configuring each of them
  • Works REALLY well for forms that just require text information to be filled in

  • M-Files simplifies access to files, data, etc., located in several different databases and applications. You just need to know what you're looking for not where it's located.
  • M-Files Intelligent Metadata Layer (IML) tool can search several different databases and applications simultaneously, including but not limited to Outlook, SharePoint, OneDrive, and shared drives. The IML results of your search criteria are displayed on a single page, which simplifies review, access and storage.
  • M-Files automatically tracks file/document versions to simplify management and version control, as well as prevent duplicates.
  • Searching specific files using the IML Tool is streamlined by displaying company/customer names, document types, contacts etc.

Cons

  • Biggest issue is the user friendliness for the designer. It is hard to get elements to do what you want if you are adding any sort of design to your form. In my case I make flyers which require not only the form fills, but also other elements like pictures and background design elements.
  • The import from PSD or AI function does not work properly most of the time. If you create a document with lots of visual elements, your best bet is to convert as much of that as possible to a rasterized image and then popping that in as the background rather than trying to import elements. They come out very wonky, colors are lost in conversion, and the layout doesn't come over.

  • None so far, since we're early in our implementation.

I can renew for only 25% of my license cost and keep getting new versions and access to their tech support. If I did not renew though, I think that I could be successful just using the current version I have for many years.

I noticed some lagging with the integration with Microsoft Office but not so much that I would not use it. It has gotten better with updates. to be fair the issues were when Office 2013 first came out.

Alternatives Considered

Because LiveCycle comes with the Adobe Suite, I've never really looked outside of it because it was something I already had access to.

I used Worldox document management system for almost 14 years at a previous employer. Worldox was a good product 2001-2015, however staff use was limited because it was not user-friendly and other products (e.g., M-Files) had more features. I've used SharePoint for ~2.5 years at my current employer. SharePoint 365 is a vast improvement over older versions and we use it extensively. M-Files is very user-friendly and the ability to search multiple systems simultaneously puts in far ahead of Worldox, SharePoint and any other document management system that I've heard of. The intelligent search capability of the M-Files IML Tool which automatically searches for company/customer names, document types, contacts ... is a huge differentiator AND will pay immediate dividends for staff.

Return on Investment

  • Having LiveCycle enables me to offer more products in my lineup, so that is always a good thing. Most clients like the idea of being able to purchase a template and then making changes themselves, so I've had quite a few sales here. However it's not really something that will make me rich overnight or anything. It's just a tool that enables me to have different products.
  • If they could figure out a way to improve the limitations in terms of design capability in the form creation process, I could probably leverage this software a lot better since I would use it more.

  • M-Files has already improved staff efficiencies by simplifying search and storage.
  • M-Files will improve data, file accessibility using the IML tool which can search several locations simultaneously.
