We use PDF forms for our submissions to the USPTO as well as for obtaining signature documents. With LiveCycle, I can update forms, save them, load them into my docketing database, and have them pre-populated with data. This process ensures continuity, less chance for error, and the ability to save the paralegals time when it comes to preparing filings.

Nintex Platform

Scenario: government customer requires company to ensure tasks are executed by various groups of people where each group is assigned a task. Every time a specified task is completed, it must undergo assessment for approval/rejection by another group, usually high level managers. Approved documents are ultimately delivered to the customer, while rejected documents will be redirected to the originator or the last person who edited the document.

  • It enables me to quickly update and distribute forms that have been changed.
  • The layout features help ensure that the forms look professional.
  • The ability to preview what the final form will look like and how it will work, while still editing, is extremely helpful.

  • Approvals. Assign flexi-tasks and State Machines are brilliant actions that allow for and controlling of any approval set up.
  • Speed of development - Because or the drag and drop and quick configuration, it is possible to setup JAD sessions and build the solution with the users around the table.
  • Integration capability - The Execute SQL, Call Web Service and LDAP query actions allow for integration into almost any system. We connected to an IOT database with the EXECUTE SQL action and configured it to ODBC capability. With the web service we connect to our SAP environment, etc.
  • Tracking of workflows - it has nice built-in functionality to help you track the workflow.

Cons

  • There are so many bells and whistles it can be intimidating.
  • It is not a product you just pick up and use, there is some training needed.

  • Moving to Office 365 has proven to be cost prohibitive for us so we are planning on phasing Nintex out for our Office 365 sites.
  • The Nintex workflow history lists become overwhelming in size. We need a parameter we can set to only keep history back 7 days, 1 month etc. To keep these lists from getting into millions of records like ours are. The adversely affect our performance and especially SharePoint search indexing.

Nintex Workflow does exactly what it is advertised to do: make workflow development fast and easy. It doesn't provide very much new functionality, but it isn't really supposed to.When I am working with a client on a SharePoint project, I am always happy if I hear that they use Nintex Workflow, as it makes workflows much easier.

The Tier 1 support is horrible. It wasn't always this way. Previously their support was great, but lately when submitting support tickets they get lost, I have to ask for status updates and engage with the VP of support to get results.

Alternatives Considered

I have only ever used LiveCycle for our PDF form creation. I am not sure what other options there are, but we have never needed to look into anything else as LiveCycle works for us.

Nintex was selected to extend our Sharepoint-based workflow automation capabilities. It literally grew out of the Sharepoint ecosystem and was used by people who were familiar with this technology stack. Nintex never fulfilled the vision of a process automation stack but found it's niche among technically oriented users who wanted to supplement lists and forms with more advanced workflow.

This product works well as you scale business processes but there is a point where things become too complex. Administratively it scales fine, number of users is no problem, and since Nintex relies on the build in SharePoint workflow manager, it falls under the same scalability perimeters. Business Process complexity is the limiter for scalability within Nintex.
