If you are creating forms that you might normally create in Excel, this is an excellent upgrade. PDFs are easy to use and relatively easy to create.

If you are designing a template for any sort of creative piece, LiveCycle is frustrating to use, but it can be done. It'll just require you to have patience and work around the limitations.

Nintex Platform

Nintex Platform is well suited for larger organizations where there are a lot of repetitive tasks. Or a higher turnover in positions where someone may need to start a workflow. It is more accessible than Process Composer or the Salesforce workflows. This allows you to utilize more integrations, Outlook, Slack, Box, etc. I would not recommend this for a small office, because if you are in control of everything, more likely you'd write notes to yourself. It would work well for a high tech type company. There are capabilities for clients to fill out forms on apps. Can be used across many spheres - sale oriented companies, hospitality, standard 9 to 5 office job... really anything that has an input and an output or collecting information. If a task has more than one person involved, then, this can be utilized.

Pros

  • It enables me to quickly update and distribute forms that have been changed.
  • The layout features help ensure that the forms look professional.
  • The ability to preview what the final form will look like and how it will work, while still editing, is extremely helpful.

  • Nintex Workflow allows users to create workflows very quickly and easily compared to SharePoint designer. The graphical editor also makes workflows much easier to maintain and troubleshoot.
  • Complex processes that would normally take several steps in SharePoint designer can be done simply in Nintex workflow, allowing for more complex workflows and extended functionality. Simple workflows can even be created by users with little IT experience.
  • SharePoint is complex and rapidly changing, so having the ability to easily and consistently create and edit workflows is invaluable. It also empowers business users to create their own workflows, which is very useful. When workflows are done by IT or someone outside of the company, it can be difficult to get the requirements exactly right and a lot of time is spent communicating them. With Nintex and a little training, business users don't need to outsource simple workflows.
  • Nintex allows great tracking and auditing capabilities out of the box that makes monitoring and maintaining workflows much easier.
  • There is a lot of great documentation on the Nintex Connect website to assist with workflow development and troubleshooting. Many business scenarios are also addressed in the forums as well.
  • Nintex workflows are very portable and can be easily exported and imported to other sites.

Cons

  • Biggest issue is the user friendliness for the designer. It is hard to get elements to do what you want if you are adding any sort of design to your form. In my case I make flyers which require not only the form fills, but also other elements like pictures and background design elements.
  • The import from PSD or AI function does not work properly most of the time. If you create a document with lots of visual elements, your best bet is to convert as much of that as possible to a rasterized image and then popping that in as the background rather than trying to import elements. They come out very wonky, colors are lost in conversion, and the layout doesn't come over.

  • There are some features available in the Nintex Workflow for on premise SharePoint that are not available in the Office 365 version. This is something that continuously comes up when building a workflow.
  • Trouble shooting can be a bit difficult for end users. There are a few features like variables and log to history that assist with troubleshooting but isn't something that stands out to end users, it requires training them on how to use these features to assist with finding problems.

Even with the limitations of Nintex the functionality and capabilities are strong enough to make this tool a great addition to your arsenal. With clever development close to anything is possible, and I've yet to have a customer believe it was not worth the price point. No product is perfect, and that includes Nintex, but that shouldn't scare you away from considering it for organization.

The Tier 1 support is horrible. It wasn't always this way. Previously their support was great, but lately when submitting support tickets they get lost, I have to ask for status updates and engage with the VP of support to get results.

Alternatives Considered

Because LiveCycle comes with the Adobe Suite, I've never really looked outside of it because it was something I already had access to.

We selected Nintex Workflow because it seemed to be the best and most popular at the time. But after awhile we saw that Microsoft Flow better suited our needs. Its large selection of connectors that allows integration with other services(DocuSign, Gmail, SalesForce) and it's ability to handle large datasets and allow direct integration with platforms like Azure made it a much better solution in our case. Outside of those two I am really not sure any other solution offers anything close to the functionality they have.

This product works well as you scale business processes but there is a point where things become too complex. Administratively it scales fine, number of users is no problem, and since Nintex relies on the build in SharePoint workflow manager, it falls under the same scalability perimeters. Business Process complexity is the limiter for scalability within Nintex.

Return on Investment

  • Having LiveCycle enables me to offer more products in my lineup, so that is always a good thing. Most clients like the idea of being able to purchase a template and then making changes themselves, so I've had quite a few sales here. However it's not really something that will make me rich overnight or anything. It's just a tool that enables me to have different products.
  • If they could figure out a way to improve the limitations in terms of design capability in the form creation process, I could probably leverage this software a lot better since I would use it more.

  • Nintex has helped me build out full end to end processes for clients that would not be possible out of the box with SharePoint 2010 without custom code. Better yet, it made handing it off to a team of individuals easy due to it's ease of use.
  • Paired with Nintex forms, a lot of dynamic functionality becomes available. On the downside Nintex forms is not as well build out as Nintex Workflows. Better than Infopath, but still...
