SpringAhead

It is an easy time tracking application. It is simple and intuitive enough for any user to add time. Where it falls short is the ability to do more outside the main scope of the application. This is not a failure but just something to think about when evaluating products

Pros

  • Employees enjoy the 24/7 access to their timecards, pay stub, annual statements, and accruals.
  • Managers now have up to date information to review attendance as often as they like.
  • Payroll has been able to eliminate many manual internal processes as a result.
  • Time off reports are easily accessible.
  • Manual calculations are eliminated thus ensuring a more accurate payroll for hours worked, overtime, and benefit usage.

  • Allows for tracking of time very easily. Users can add all their project's time in one place instead of drilling into each project.
  • Managers can approve their team's time all in one place. We do not need to drill down to find the info and approve. Users who don't report to the manager but are part of the project can still be approved by the project manager.
  • Reports are easy to read when looking at historical information. Reports can be run with multiple parameters that the user needs.

Cons

  • Trying to research previous time cards past a month are hard to achieve. There is a custom date range option but it rarely works, the program just sits there and doesn't pull up the custom range.
  • Pulling reports for various needs is also more difficult then it needs to be. Instead of pulling a quick report with the dates and parameters you need you have to go in and edit the report and then go back in and edit it again to return it to default settings.
  • You also have to watch your invoices and make sure you are receiving your discounts otherwise this software can be quite costly.
  • Make sure your employees bookmark the ADP ezLaborManager website, otherwise it gets difficult to find through an internet search.

  • The reporting is not perfect. When I am trying to find history for one person it is very cumbersome to get the info you need.
  • At the current use there is no integration with an expense tracking tool. We had a separate app to track expenses vs. time.
  • Only resources on the project can view time. External customers could not log in to see users' time against the project. Instead they waited for invoices or status reports.

Usability

ADP is a good system to track information but, what it lacks is just some detail that provides time savings. Some instances they have made "updates" that tend to have been better previous to those "updates." One example is for staff to see how they have used their time off in the past. There should be an easy way to report and review such other than looking at pay periods. Pay statement and review and totals can also improve.

Online Training

The training provided was based on a generic database and reporting which made it difficult to compare when you had your own database to work at. It also didn't provide good written materials that would be useful after the training session. It was more geared towards the practice tests or applications within the training.

Alternatives Considered

Cost and time spent on implementation were factors. ADP is reputable as well. Concerns were costs are high and extra modules that should be part of the standard are high.

We selected SpringAhead because of price and usability. This tool is easy to set up and configure. It is a cloud application allowing access from anywhere. There were no training requirements. When you have a small use case this tool is the way to go. We moved off SpringAhead to get more functionality and it has required a lot more training and effort to maintain and utilize

Return on Investment

  • The amount of time it takes to process payroll from manual time cards to ADP ezLaborManager has gone from multiple days trying to chase employees for missing time and clarification to hours with ezLaborManager. Managers can now monitor missing time daily alleviating the end of payroll crunch. This has saved hours for Human Resources that are better utilized elsewhere.

  • Overall the usage of Springahead was very positive since it was easy to use.
  • There was a quick user adoption of the application. We were made very aware of this when we switched off SpringAhead for another app that combined time tracking and expenses into one app.
  • We have noticde a large learning curve with our new app to replace SpringAhead and when comparing the amount of time loss you can see there was a big impact to overall morale.
