I think it is well suited as long as the locations where an employee is allowed to clock in and out are tightly monitored by job title to prevent persons from clocking in/out while on their commute or when they are absent

Optimum Solutions HRIS

We use Optimum HRIS in a very small department and generally only one person is working in the database at a time. I would be curious to know how effective Optimum HRIS is at handling a larger number of users modifying the database on a regular basis. For our small shop, Optimum HRIS works beautifully.

Pros

  • I am impressed with the layout of mobile solutions. It is very simple to read and use.
  • I am looking forward to giving our techs access to clock in and out as they complete jobs on their routes to give a more accurate view of time spent driving and time spent at a customer's location.
  • Giving employees mobile access to their own pay statements, W2's allows them to deal directly with loan-mortgage companies when applying for a loan or doing their taxes.

  • First and foremost in my opinion Optimum Solutions has great customer service. We are assigned a specialist and can work with that person for every issue or question that arises. The specialist becomes familiar with our company and processes which makes interactions with them faster.
  • Optimum Solutions knows our business and offers helpful ways for us to work with their software to achieve our goals.
  • The turn around time for any question or issues is usually 2 hours or less. If our specialist doesn't have an answer they will work diligently with other employees with the company to provide us an answer in a quick amount of time.
  • Everyone I've dealt with at Optimum Solutions is friendly and knowledgeable . You can tell they love what they do and are always willing to help. Most employees have been with the company for a long time which tells me it's a great company to work for.

Cons

  • Since our company would like to use this tool for their techs, it would be nice if there was bar code reader (or something similar) so they tie their time card with our serv suite pest management technology.
  • I would like for the mobile app to give the individual the ability to send in address / phone number changes.

  • We are currently using the software designed for the iSeries but are moving to their Windows platform. We are moving to the Windows platform to gain some functionality in terms of a robust Employee Self Service module.
  • In the iSeries software the Payroll and HR functions are separate which makes it a little more difficult to see the whole picture of the employee record. In the Windows version the Payroll and HR functions work as one.
  • The security for the iSeries side is a bit cumbersome in my opinion but we hope that is not the case in the Windows version of the software. We are planning to open up parts of the Windows version to the employee supervisors.

Alternatives Considered

I have not used another mobile solution...But I am impressed with this one. At age 52 if I find it easy to use then it must be very intuitive.

We evaluated some payroll services but found the ongoing cost greater than the initial cost of purchasing our own software and keeping the payroll process in house. Other payroll software was generally more expensive and we are satisfied with Optimum Solutions. I would say the main reason we stayed with Optimum Solutions, converting from their iSeries version to their Windows version, was because of their outstanding staff and support.

Return on Investment

  • We have not had real test of the impact yet since we have not been able to roll out to our pest management techs.
  • I believe that if we keep trying to educate our employees on how to access and use the mobile solutions app we will see more positive feedback because of the ease of access to their information.

  • Optimum Solutions lets us run all our payrolls seamlessly.
  • If we have any questions or problems Optimum Solutions is just a phone call or email away. The Customer Service is the best.
  • With the purchase of the Employee Self Service module that will be implemented in January of 2019 we will be able to eliminate the printing, folding, and distribution of check stubs as they will be available through self service. Also W2 information will be available there as well so no re-issuing of lost W2s saving us time and money.
