ADP SmartCompliance

I believe ADP SmartCompliance is well suited for any organization that has implemented an HRIS system, such as Workday, but do not want to fully be responsible for the tax filings. I also feel it is very well suited to organizations such as ours that have employees in almost all 50 states. This helps to keep our payroll department staff at a minimum knowing we can rely on the cooperation between the Workday and the ADP SmartCompliance system. I think the only way I would not think SmartCompliance would be helpful would be with a very small company that would prefer to fully outsource their payroll process.

If you are handling a large client list, and are selling services, it is dead easy. If you are managing/selling a physical inventory, it seems like it has great options to do that quite well (disclaimer, I do not use those functions, but I have paid attention as that functionality was built into the software). If you want to link your bank account to a bookkeeping platform, this is not the software for you (at least so far).

Pros

  • ADP SmartCompliance is great in that it provides all the reporting and info that you need in one spot and in an organized manner.
  • I like that ADP SmartCompliance allows you to upload agency notices and track the process of where it is at.
  • ADP allows the user to update tax rates an new states easily and quickly.

  • Some of my clients have had international activity. For them keeping track of transactions in currencies other than the US dollar has worked very well, though it does mean having to have a history of exchange rates handy to get the correct rate for a transaction date.
  • The new "Retainers, Escrows, and Trusts" feature (since 2013) has been a welcome addition. I use it for clients who have prepaid for my services.
  • I make extensive use of the ability to export reports to Excel templates. Creating an Excel table from the export file, and then using Pivot Tables, I can summarize data in ways that expand what AccountEdge can do. For example, I can summarize cash receipts by payment type, and tie to the Forms 1099-K that the credit card companies send.
  • Another new feature I have started using is "Pay Payroll Liabilities." It provides an easy "check-off" of the taxes or other payables to specific agencies.
  • I love the ability to custom-design the chart of accounts. In most circumstances having four levels of detail is sufficient. But sometimes it would be nice to have another level or two, especially for manufacturing businesses. And when a client has put something that should be a "Cost of Sales" account into the "Expenses" section, it would be nice to be able to change the account type to get it to the correct section, so that the income statement puts it in the right place.
  • A feature I learned about some years ago can be very helpful if you discover that a correction needs to be made in a prior year — for example, sometimes a client will set up a purchase order, with a payment, and forget to convert it to a bill. If that conversion is done the next fiscal year, it puts the cash basis expense into the wrong year. But by "starting a New Fiscal Year" and choosing to go BACK a year (i.e., from 2015 to 2014) instead of the normal forward, you now can fix that mistake in the correct period. Then go back to the current fiscal year for ongoing transactions.

Cons

  • It would be great to have How To guides more easily accessible. (maybe within the sections that they pertain to). For example, a how-to guide on how to add a new state to the within the set up the screen.
  • I think that being able to download the quarterly tax filings that ADP filed on our behalf are missing. We do not know what was submitted directly to the agencies.
  • A built-in Quarter end / Year end checklist or workflow that is directly in ADP SC would be great. Currently, I reference a spreadsheet that is outside of ADP SC to ensure that I have checked the necessary reports and reconciled. If this could be a step by step task (with the due dates) within ADP SC and if you could mark it complete within the system instead of having to scan and fax the sign off sheet for the quarter... that would be great and would help keep me on track.
  • Reminders within ADP SC that would let me know when it was time to submit my Monthly file for Illinois would be great. I currently have a calendar reminder to remind me to send the monthly integration file.

  • Transition between yearly version updates/upgrades could be smoother.
  • Multi-user deployment and use can frequently cause the program/app to crash or continue to display logged out users as logged-in.

Without a doubt, when you need to do accounting use the program that will get the job done in the least amount of time with the least amount of errors. Once you are using a program that works you stay with it year after year and you will find yourself even excited about the updates

AccountEdge Pro & Basic is laid out in easy to use centers which compartmentalize a users needs based on departments. Along with that one can set up recurring transactions for things that repeat daily through annually and anything in between. You can set a preference for automatic posting or a user specific reminder to post the action

One of the finer advantages of desktop software, it's always available. AccountEdge doesn't suffer from outages or sluggish internet like web based applications do. It's always there when you power on your device!

Rarely do we get support due to it costing money. Sell us on a Monthly service, bump up your CRM and Marketing and AccountEdge could easily be getting $2k/ month from us.

Return on Investment

  • Our Payroll department has been able to move to a 100% electronic payment requirement in the four states we operate in, eliminating approximately $6,000/semi-monthly for postage, packaging and stop payment fees associated with live check processing. We've also been able to reduce the fraud risk in our 64 buildings by eliminating the need to keep a payroll check book in each for emergencies
  • We have been able to reallocate three head counts from manual tracking and entry of garnishments. The Garnishment Service Center has taken the responsibility of answering and tracking orders, issuing copies to employees and handling general inquiries from agencies and employees from our in-house staff.

  • AccountEdge is useful for running reports for submitting our Tax Returns on an Annual basis. To this end, it saves me time.
  • It is not useful for running reports on the analysis of the state of the company. In general, I find using Excel to be more useful, but probably more time consuming than it would be if I were able to run those reports in a comprehensive Accounting System.
