Kronos Workforce Ready

We have a large population of employees who don't have access to a computer during the day (and some who don't own one at home). The phone app is great! They can see their paystubs, request vacation, look at their benefits, etc., all on their phones. This is a great feature. Kronos is very easy to customize which is helpful because every employee and manager has different preferences on what is on their home page, how they use the system, what they want to see in the system and what they don't want to see. I think it would be very wise of Kronos to find a new partner in regards to taxes. BSI is no where near the kind of company or has the kind of system that Kronos provides. I have been so frustrated at times with BSI that I have thought about switching the entire HRIS system to someone else so I don't have to deal with BSI. The partnership makes Kronos look bad.

Pros

  • ADP Streamline works best if you have a great ADP rep on the other end for your payroll purposes. I had a fantastic rep who was very responsive.
  • The ease and security of the upload process makes things quick and easy. Especially when actually preparing the payroll for upload can be difficult.
  • The report running format when I was using ADP Streamline was extremely user friendly and easy to navigate.

  • The notification portion of Kronos is amazing. It completely automates the process of running anniversary and birthday reports and instead you spend a short amount of time (only once) setting up who gets the notifications and what they say and the system then does the rest for you. You can have the notifications sent to a particular person or each employee's managers. I used to have to run monthly reports and figure out who had anniversaries and when they had them and then keep track and manually notify each supervisor. Kronos has taken that and completely automated it.
  • The reports in Kronos are completely customizable. There are a large number of canned reports but within each of those reports, you have the ability to easily add or remove additional data. You can then save those reports and make them company wide or only for your use. If a manager then runs that report, only the employees who are assigned to that particular manager will show up on the reports.
  • I have used several other HRIS systems in my career and Kronos' reporting functions are by far the best and easiest to use that I have come across.
  • The workflow process is great. If you aren't sure how to set up a particular workflow, Kronos support will walk you through it. It's great how you have so many options of what happens during the HR Action or Payroll Action processes. The one we use the most, across the entire organization, is our workflow for vacation requests. Prior to Kronos, we had paper forms that the employee completed, then the manager signed, then they were sent to HR who had to keep track of them and process them during payroll. Now, the employee requests it online, the manager receives and e-mail that the employee requested time off, the manager approves or denies and then the employee receives e-mail notification of the approval or denial. Employees can see their balances which was not the case before we started using Kronos. Everything is automated and doesn't need my attention.

Cons

  • ADP Streamline billing is slow to react to company changes. Hence incorrect invoices from ADP Streamline were issued and it took a very long time to get their billing department to correct these and issue credit notes.
  • In the payroll system I missed not being able to obtain a per country headcount and payroll numbers. Once payroll is processed it goes directly into an archive and is not easily viewable. It would be nice to have more visibility of personnel and payroll data.

  • The accrual module is probably the weakest area and unlike their original product, Kronos Works, that did the job well. Currently Kronos Workforce Ready (WFR) cannot provide future accrual estimates easily for employees to project time off available for a future date. This is extremely frustrating when we have to manually explain and calculate their potential time available for specific dates.
  • The accrual module generates inaccurate reports of accrual liability. A known glitch that I wish they would fix already is that automatically scheduled reports seem to produce different (wrong) balances versus running the same report manually. Very hard to duplicate accurate results when the timing has to be EXACTLY run on the same day/same time.
  • Inability for employees to request punch corrections (add in punches) and have the system automatically insert time in chronological order makes the self-service feature to correct timesheets almost unusable. The system should just be able to MODIFY or ADD and if add is selected, insert the time punch automatically in the right sequence. Because of this flaw, managers still have to manually correct time punches based on requests and move punches individually to come out with accurate end of day totals.
  • Lack of security in the mobile access to limit the ability to punch when doing a department transfer. HUGE flaw that makes the mobile access unusable for us. No current way to allow access to at least view and request time off and accrual balances without allowing potential fraudulant punching. The mobile access is ALL or NOTHING feature.

We have begun looking for other vendors to supply this products need as Kronos WFR cannot deliver the suite of applications which it should with this product.*6/5/17 Edit - We started the new year with a new application. WFR proved to be unable to correct the errors within the application. We are much happier with the new application as we can use it effectively.

While some tasks such as updating an employee's basic info, password, and approver preferences are very easy to do and straightforward (all combined on a single employee maintenance page and updateable through a single 'save'), other items prove to be more cumbersome such as navigating through multiple layers of employees when you are up higher in management with more system rights

I believe there is too much downtime. Single sign-on has been down 2 times in last 5 days. This downtime has occurred many times in the past 6 months. Many topics mentioned in the user guides have not enough information to use the functionality.

I have had to contact Kronos support a few times regarding questions that I hadn't thought about during implementation. They have a website where you can search for answers to your problems, but if you can't find what you need, then you can submit a case. Usually within a couple of hours, someone that is extremely knowledgeable about your problem will call you, usually log into your computer via GoToAssist and walk you through the solution so that you understand. I have never had a bad experience with Kronos support

We used to use four different pieces to manage payroll and employee related items. We had a separate time keeping system, payroll system, accrual tracker, and hiring process. With Kronos Workforce Ready, we have been able to consolidate all of these down into one system. One thing I remember reading when looking into going with Kronos is how one profile gives employees access to all different areas/modules of the system, and not having to remember login info for multiple programs.
