I don't believe ADP is well suited to the PEO market. Small businesses, who typically rely on PEOs, need service. A company like ADP makes profit from high volume. The small business owner is not serviced well by ADP and in fact, is subject to being out of statutory compliance with state reporting requirements. That is not well suited to any business

Kronos Workforce Ready

Administration and accounting for employees to input their hours. As long as an employee can have the training, then they can go in and input their hours. However, Kronos can be slow and it can be confusing without the training needed to input the hours. Otherwise, once you have the training it's very self-explanatory

Pros

  • The prebuilt reports were excellent
  • TotalSource came with the Employee Service Center support - the best part of TS
  • The software integrated with our time keeping system which made payroll a little easier

  • The customer Service team is exceptional. Their team onboarded our company and trained everyone on the software from the get go and are always available at a moments notice for any questions our employees have!
  • Employees are able to view their hours and paid time off in order to track their data properly. This has allowed for our team to have more time for other initiatives whereas before they were answering payroll and PTO questions constantly.
  • Quick and easy reporting features that we can use to show data to management when requested.

Cons

  • I wish that there was a feature that would allow you to do some financial planning with your money.
  • If you can't remember your password or username, it is really hard to retrieve and they always take a long time to get back to you.
  • One other con is that it is not always the easiest to navigate and sometimes you don't realize that you have gone to a different screen and then it gets you out of everything and you have to do the log in process all over. This would be more of an issue if you were using a computer instead of the mobile app.

  • The tax piece of Kronos was the one thing that has made me slightly regret my decision to use Kronos. We have 7 EINs so we have a lot of taxes to file on a quarterly basis. The BSI system we have to use (which is a third party) is terrible. We have had nothing but problems with it. BSI has some agreement with Kronos that doesn't allow us to speak directly with BSI and it's extremely frustrating. We are on our 5th quarter of filing using the BSI system and are still having issues. This is not much of an automated process and the BSI system seems so far behind Kronos' technology. It's not user-friendly and has definitely caused a lot of issues. If there was one thing I would change about Kronos it would be the tax filing portion. Maybe if we didn't have to use BSI it would be different. The systems I have used in the past have processed our quarterly taxes for us so this was a big change for me.
  • I do not like that the system allows employees to request vacation time that they may not have available. Employees can request time off even if they don't have any vacation available and if their supervisor approves it, it populates in their timecard. I have caught several employees with negative vacation balances in the system. I think it should not allow them to request this time off if they don't have a current balance in the system.
  • When you terminate an employee, their benefits don't automatically terminate. You have to go into each active benefit and put the termination date in or your reports won't be correct. This should be something that automatically occurs once you terminate that employee.

We have begun looking for other vendors to supply this products need as Kronos WFR cannot deliver the suite of applications which it should with this product.*6/5/17 Edit - We started the new year with a new application. WFR proved to be unable to correct the errors within the application. We are much happier with the new application as we can use it effectively.

While some tasks such as updating an employee's basic info, password, and approver preferences are very easy to do and straightforward (all combined on a single employee maintenance page and updateable through a single 'save'), other items prove to be more cumbersome such as navigating through multiple layers of employees when you are up higher in management with more system rights

We were always told that Kronos was the best, but there are reports that we got out of ADP and other payroll providers that we cannot get out of Kronos. One example is a report of Productive/Non-productive hours by department. We also need the dollar amount associated with the hours. This is information that is required on our cost report and we were told that that report is unavailable. It is very frustrating when I can't get what I need.

Kronos support is great in the ability for a representative to take our needs seriously and respond with care, however, there are times when the need for support was time sensitive (for payroll processing purposes) and the response rate caused us hiccups in our timeline. Our company also has many customized options to our package and company build and at times things were miscommunicated in regards to the builds - this was only in the beginning though and has since been great.

Alternatives Considered

We use ADP simply to to track pay for employees. We really like more of the functionality of Workday as it is really easy to import org charts and track performance. The graphics and appearance of these sections are also really nice! We also use Workday to track time off as it was more popular among employees to use when we asked them to compare more options. However, ADP is much better at tracking pay and because it carries information over from previous jobs, employees really like this as well!

We looked at several other HR/Payroll solutions before deciding on Kronos Workforce Ready. I cannot remember the names of any of them, but Kronos seemed to be the most user friendly and complete

Return on Investment

  • It has helped us to keep track of various financial information for employees and this has helped our HR department.
  • We were trying to find a system that was more user-friendly and many people are able to use this pretty easily.
  • We found more cost effective methods to do absence management and goal setting because this system was too expensive and cumbersome for us.

  • From the HR perspective, it has allowed us to track a lot of different information in one spot that we used to have in many different areas. This allows more people to have access to the data and keep it more up-to-date.
  • Our time keeping is more accurate with this system than in our previous system which was antiquated.
