ADP Totalsource is well suited for any size company. It is a functional warehouse of information and is especially handy for an HR department and a great investment. It should eliminate employees coming to you all the time with questions about their pay or other financial questions. It is also great if you are someone that switches from one company to another often because it will store all of your information for you. If you do not know about the privacy setting, that could be an issue because then others could view your personal financial information. I would not recommend purchasing if your company is incredibly small depending on how profitable your company and what industry you are in.

UltiPro

Ultipro is a great product for our business due to the 24/7 nature of the workforce. The ability to access self-service and make changes, print pay stubs, change taxes, direct deposit, etc., makes it easier for the Human Resources staff. It also makes open enrollment a breeze where in the past we utilized paper forms.

Pros

  • It does a great job of keeping track of all your pay at various other jobs that also use ADP TotalSource. You can easily log in and verify any information that you might need to check on.
  • The privacy feature is really great so that only you can see documents with financial information on them.
  • The app is also really handy and easily accessible. You can pull up anything in a pinch if you don't have access to your work computer at the same time that you need to look up something.

  • Employee Self-Service - This is a strength because it is easy to use and allows the user to manage their personal information.
  • Business Intelligence Reporting - The IBM Cognos solution used is robust and flexible and is easy for someone with BI experience to create and manage custom reports.
  • Adding a new hire to the system - This process is simple and easy and value rules can be used to make this even simpler.

Cons

  • I wish that there was a feature that would allow you to do some financial planning with your money.
  • If you can't remember your password or username, it is really hard to retrieve and they always take a long time to get back to you.
  • One other con is that it is not always the easiest to navigate and sometimes you don't realize that you have gone to a different screen and then it gets you out of everything and you have to do the log in process all over. This would be more of an issue if you were using a computer instead of the mobile app.

  • I would like to have the ability to do mass updates for employee data besides just supervisor changes
  • When we move an employee from one company to another we have to re-enter their deductions which if an employee has a lot, could be very time consuming and/or missed in the process
  • In Business Intelligence it would be nice to have a search feature to quickly find what you're looking for, I spend a lot of time searching for less commonly used fields

Nov 2018 Update: I'm always in support of keeping Ultipro at my organization, and I spend a great deal of time showing people how to use it effectively so that they too continue to push for keeping the Ultipro HCM solution when the time comes to decide to renew the HCM solution or not.

April 2016: I use UltiPro every day and find value in all of the features that are available to this organization. While I am not responsible for deciding on staying with this HCM solution and renew it in the future, I am a huge supporter for staying with the solution because it packs quite a punch when used as intended.

I've found Ultipro to be completely reliable. Outages are typically planned to occur on weekends and only once did I have connections issues connecting Citrix to the server where our environment was housed, but within the hour connection was restored. I think that's a pretty good track record, considering I've used the suite daily for over three years. Especially when processing payroll--say the internet goes down in the middle of you performing a task... Ultipro is able to recognize that a connection error occurred and quickly restores the process that was running, avoiding lost productivity.

UltiPro has met all of our expectations and provided us with the tools needed to build our employee and management supports and to report the results whenever needed. The program has grown and been modified to keep pace with changes in recruitment practices, and our employees find it easy to access their information and change benefits at any time. Our support staff has been freed up to focus on other areas of business growth. More of our HR processes are automated and need only approval of the self-service processes.

With our prior Payroll/HR software, we could reach a support person with one call. We had a dedicated team assigned to our account. Ultimate uses a case system whereby you must enter a case (support ticket) and wait for a call back on that case. (NOTE: they do offer a direct line for payroll processing emergencies). But sometimes you just need to reach a person to ask a quick question or two so you can move on with your work. Not having that ability is a very big negative. You are given contact information for all of your support reps (you receive a support rep for each area of UltiPro that you use). However, they never answer your call or email in a timely manner. I will say, however, since going LIVE with UltiPro in December 2013, support has improved. It used to be much worse.

We had in person training for UltiPro Time & Attendance. The facilitator was a newer trainer and that reflected in the class. This would probably not be the normal experience in other classroom trainings

The online training experience while we were going through implementation was decent. The environment at that time was a virtual environment and was somewhat difficult to set up on our secure network. However, once the details of the environment were taken care of, the training itself was good. There was a lot of information covered during those training sessions, and we were not yet in our actual environment yet, so it was challenging to visualize the information that was being discussed.
Today, they have done away with the virtual environment for the training and they are doing everything via WebEx and in a sandbox environment with a user name and password provided to you during the training session. It is much easier to attend these sessions. There are also self paced training sessions that are very helpful for those that don't have the time during the day to attend a 2-3 hour training session.

Alternatives Considered

We use ADP simply to to track pay for employees. We really like more of the functionality of Workday as it is really easy to import org charts and track performance. The graphics and appearance of these sections are also really nice! We also use Workday to track time off as it was more popular among employees to use when we asked them to compare more options. However, ADP is much better at tracking pay and because it carries information over from previous jobs, employees really like this as well!

Return on Investment
